WELCOME!Thank you for your interest in Triangle Cyclones Baseball. TCB offers a program for athletes ages 10-13 who are interested in competitive instruction and play. Our goal is to enable players by instilling skills and experience to prepare them for more advanced levels of play. This would allow them to pursue their baseball careers up to high school and beyond.

This Program Handbook is designed to give you an idea of the requirements, financial obligations and involvement needed to participate in travel ball as part of our competitive program. If you have any questions about any information in this Handbook, or our program, please don’t hesitate to contact us.

As a TCB family, we are not only passionate about baseball, we are thankful for the opportunities you allow us and the rest of the TCB staff to contribute to the personal growth and development of your athlete.

Handbook Overview & Expectations

Please ensure that you review this handbook thoroughly and contact the office if you have any questions. Once you have reviewed this information, please sign the accompanying paperwork and return to us on your athlete’s designated tryout date.

Be sure to use the 2020 Program Handbook as your first resource if you have questions throughout the season.

As a program, we pride ourselves on not only the talent, but also on the class and dignity of our athletes, coaches and parents. All members and parents/guardians of the TCB program are bound by the following policies, as well as our Code of Conduct, and are expected to meet these sets of principles and expectations on and off of the field.

Parents and athletes should be aware that travel baseball is a large time and financial commitment. Members of our program are expected to make TCB priority over any other extracurricular activities. Our season lasts for 9 months. Practice is set to begin in February (weather allowing) and run through October. Tournament dates will be shared following team tryouts and assignments. (Fees on page 12 and fundraising and sponsorship opportunities on page 5)

Attendance Policy Absences will be reviewed on an individual basis. A master absence record will be kept throughout the year to record all absences and the nature of the absence. Anything beyond 2 unexcused absences per month will be grounds for dismissal from the program.

Parents should notify coaches as early as possible if an absence is planned for a practice or tournament. This will allow the coaches to plan accordingly to fill their spot. We understand that there will be times when players cannot attend practice, whether it is a serious illness, funeral, school event, etc. We have allowed these 2 absences per month for this reason.

Coaches reserve the right to replace an athlete who misses practice the week of a tournament. If a tournament is missed for any reason, the athlete will not receive any tournament awards.

Please submit all planned vacations and absences in writing at the beginning of the season. Unplanned absences must be submitted via email as soon as the absence is known.

Behavior All athletes and parents are expected to promote friendship through support, encouragement and respect. As a representative of TCB, showing respect for (and good sportsmanship towards) the coaching staff, the umpires, other teams and hosting organizations is expected at all times.

Negativity, hazing, pettiness or hostility towards another athlete, coach, umpire or parent will not be tolerated, and can be grounds for immediate dismissal. If a parent or anyone is observed speaking

negatively about, verbally assaulting or threatening a team, coach, parent, umpire or athlete, he/she will be addressed and/or asked to leave immediately. If the behavior continues to be an issue, the athlete will be removed from the program and will not be allowed to return the following year. No bullying will be tolerated, either in person or on social media, texts or group chats. Any athlete who bullies will be dismissed from the program.

CommunicationAthletes and parents are responsible for regularly checking emails, the website, TeamSnap and/or Facebook group(s) to obtain the most up-to-date information about the program, schedule, events, etc. There is no excuse for being uninformed when the information has been provided.

Tournament BehaviorAthletes and parents are expected to exemplify good sportsmanship and behavior at all times. All program members are required to demonstrate positive support for all athletes, coaches, fans and umpires. No one may approach any event staff (including umpires), other team athletes, parents, supporters or coaching staff, and make negative or derogatory comments.

Discipline If any Program Expectations (including, but not limited to the Codes of Conduct) are compromised, the following actions will occur:

1st Violation – Meeting with the athlete and/or the parent defining the problem 2nd Violation – Meeting with the athlete and the parent 3rd Violation – The athlete may be removed from the team or program

TryoutsAt TCB, we conduct tryouts, so that we can get an accurate representation of the athlete’s overall skills and get to know the athlete personally, as well.

Athlete’s placement is determined by age in order to be competitive at tournaments.

Athlete’s position will also be a component of tryouts. Coaches will be looking for coachable players who are willing to work hard to be part of the TCB family. Athlete’s attributes such as attitude, leadership, drive and overall commitment are factored into the tryout process.

Please remember that athletes are going through the evaluation process to become not just a member of a team, but most importantly, a member of the TCB family.

Throughout the season, and when deemed in the best interest of the athlete, team, and/or program, TCB retains the right to:

Move, replace, add, suspend or dismiss an athlete for a period of time or indefinitely from the program based on criteria including but not limited to:

Coaches also reserve the right to the following, decide the roles and/or positions an athlete will have on their team or request that an athlete or team take additional classes or camps to improve their skills.

Financial Policy A schedule of fees and payment due dates are listed in this handbook. Parents and/or the responsible adult party will be asked to sign an acknowledgement of Financial Policies for the 2020 season and will be responsible for keeping their athlete account(s) current and in good standing.

Failure to meet the deadline for payments, and lack of reasonable and fair communication regarding payment will result in the athlete’s loss of services (sitting out of practice) and/or dismissal from the program. Coaches reserve the right to replace the athlete if this happens.

All travel plans are the sole responsibility of the athlete and athlete’s family, unless otherwise noted by TCB. TCB is not responsible for reimbursing travel expenses to athletes or individuals in the unforeseen cancelling of events, athlete’s loss of skills, injury or athlete’s removal from the program. Some out of town tournaments may be scheduled and travel expenses are not factored into the cost of the program and are the parent’s responsibility. Our goal is to travel no further than 1 ½ hours from the Triangle area.

All tournaments are subject to change and all monies are NON-REFUNDABLE. If a tournament is cancelled by TCB, every effort will be made to replace it with a comparable event, if possible.

All program payments are NON-REFUNDABLE. TCB reserves the right to turn over all delinquent accounts to a collection agency and the parent/responsible party will be responsible for all additional costs incurred.

Full breakdown of season cost is described on page 12 of the handbook.

Fundraising and SponsorshipsAt TCB we want the only limiting factor for player’s participation to be their passion and excellence in the game. Therefore the financial commitment can be offset with donors and fundraising. We will offer different fundraising opportunities during the season. Some examples include DBAP concessions, raffle sales, donut sales and other ideas offered by the parents and coaches. Or finding sponsors to cover the cost of the season for one or more players giving us the opportunity to offer scholarships to families in need.

DBAP concessions are worth $50 to each players account for each slot filled. You and your family and friends may fill as many slots as you would like to help cover the cost of the season for your player. If you are unable to fill the spot you don’t qualify to receive to credit to your players account.

Other sales opportunities will be shared during the season and will credit the account as determined by the coaching team.

We know that some families are unable to participate in this way and would rather pay the full fees and these opportunities are not required for participation. We offer three ways to cover the cost of the season. Examples below. (Speak to Coach Mac if other arrangements need to be made.)

Option 1: Payment in monthly installments Option 2: $500 paid in 2 installments ($100 in January for camp, $250 in February and $250 in

March) and $500 paid through fundraising and sponsorships Option 3: Solicit donors to cover the cost of one or more players, sponsor commitment form due

in January, payment due by 2/28/20

Siblings receive a $50 discount for the 2nd player, only 1 commitment fee is due per family.

Please indicate your preferred method of covering the season cost on your ATHLETE ROSTER CARD.

ScholarshipsScholarships are available for $600 per player, all players must pay the $50 dollar commitment fee and $50 camp fee and the remaining season cost ($400) must be covered through fundraising, family commitment and/or sponsorships.

Scholarships are funded through sponsorships, gifts, donations and the TCB organization. If you are interested in providing a gift or finding a sponsor please reach out to Coach Mac or Kati McDaniels for more information. TCB is a 501C3 Organization and all gifts and donations are tax deductible.

Season LengthDepending on player commitment the coaches will run a spring/summer/fall team or a summer/fall team. Please indicate your preference on the ATHLETE ROSTER CARD.

SPRING/SUMMER/FALLPractice will start in January with a hitting clinic/camp and will ramp up to three days a week by March 1st as weather allows. There will be opportunities for indoor batting practice at local facilities along with field practice no less than 1 time per week from February 1st through March 1st.

Tournaments will begin in March and we expect two tournaments a month through June, July and August we will expect to have one tournament each month and September will have two ending the season in October with one tournament. The budget is based on 35 weeks of practice and 12 tournaments for the season. Total season cost is $1,100 per player.

SUMMER/FALLPractice will start in March with a hitting clinic/camp and will ramp up to three days a week by May 15 th.

Tournaments will begin in late May and we expect one tournament a month through August and September will have two ending the season in October with one tournament. The budget is based on 25 weeks of practice and 7 tournaments for the season. Total season cost is $850 per player.

Practices Practices may be changed or added at any time during the season with proper notice. If a practice is cancelled, make-up practices may or may not be added at the discretion of the coaching staff.

There is a sample practice schedule on page 12 for reference. Please note that schedules will be shared after teams are finalized following tryouts. We will also have joint practices occasionally as needed when fields are limited

Players should wear practice jersey and baseball pants unless notified otherwise. All players are required to wear an athletic cup to all practices and games. Please do not come to practice in shorts unless authorized by the coaching staff. This is a safety hazard to our players during drills involving sliding.

All athletes and parents are expected to respect the privilege of the use of the fields. Players should clean up after themselves following each practice. Trash should be disposed of in the appropriate receptacles and fields should be left better than found at the beginning of practice.

Program Withdrawal or DismissalShould an athlete choose to leave the program at any time prior to the end of the season, a 30-day written notice is required.

In the event that an athlete withdraws from the program OR is dismissed, any fees that are due within the following 30 calendar days should be paid. This includes (but is not limited to) any tournament fees or miscellaneous fees, preordered merchandise, and/or monthly tuition charges.

Athletes that choose to leave prior to the end of the season, or are dismissed from the program will not be invited to tryouts for our program the following season.

UniformsUniforms are designed and produced exclusively for our program by Vision Sporting Goods. Date and time for uniform fittings will be announced after tryouts. Athletes are expected to keep all TCB uniforms and practice jersey in good condition. Parents are responsible for ordering uniforms online by the deadline and replacing any lost or damaged items before any scheduled tournaments.

Uniforms will include two jerseys (home and away). Players should also purchase a navy belt and yellow belt to be worn with the required uniform announced by the coaches before each tournament. Players should purchase long grey baseball pants. Any pants that develop holes during the season should be

replaced before the next scheduled tournament. Cleats are required for play. For teams 12U and below only rubber cleats are allowed. For 13U metal cleats are permitted but not usable on portable mounds. All pitchers must have all purpose rubber shoes when pitching on portable mounts.

Coaches We have four head coaches for the TCB teams, these are volunteers who we believe have the training, skill and knowledge to help our athletes excel. Each of our coaches bring a special set of skills and experience to the program and we are proud of the team. Our coaches are also dads of some of our players but we do our best to not play that role when out on the field. We also encourage our parents (moms and dads) to get involved in filling in our assistant coach team. If you are interested in volunteering your time to support the team please reach out to Sean (Coach Mac). Below is a little about each of our head coaches.

Our coaches are USA Baseball certified (level C) and are consistently looking for ways to increase their knowledge and skills. You will see a copy of our coach’s code of conduct on the following page.

Supporting the teamEach team will need many hours of parental support throughout the season. All the coaches are volunteering their time to lead the team and we need help with other roles as well. If you have a special talent or skill that you feel would benefit the team please contact Coach Mac or Kati McDaniels and they will work to get you plugged in. Coaches Code of Conduct

Principles of the Code The main principles that are covered in the codes are: Competence, Trustworthiness, Respect, Fairness, Caring, Integrity, and Responsibility. The Code of Conduct also promotes fair and responsible behavior by the coach towards the athletes he/she is in charge of. The coach´s function is that of a role model especially considering children and youths, therefore coaches are challenged to constantly behave and act in manners appropriate. The obligation of a coach is not only to promote, advance and support the athletic career of an individual but also to raise the individual to be good persons with stable notions of values and good behaviors and manners.

Competence: Coaches only use methods and techniques that they are confident in teaching, where they possess the qualifications for. The coach avoids using methods that are a risk to health and safety of the athletes. A coach seeks continuous personal improvement. The coach keeps up with the latest developments in coaching and teaching. The coach only uses training methods that will benefit the athletes.

Trustworthiness: The coach has to inspire trustworthiness in athletes. The coach keeps to the rules of confidentiality and discusses with others matters concerning the athlete only if he/she has discussed with the athlete beforehand which information he/she is allowed to share with a third party. The coach involves athletes in decisions that concern them and their future.

Respect: A coach shows respect towards others, one self, the sport, the organization and property. Respect towards others means to show tolerance and to treat everyone equally regardless of their sex, age, race, language, socioeconomic status, ethnic origin, disability, or religion and to respect their rights and dignity. A coach respects the decisions made by others (officials and opponents). The coach treats each athlete as an individual with own rights and needs. The coach respects promises and commitments and keeps to them, both written and verbal. The coach respects the fact that the athlete is entitled to seek opinions and help from a third party. The coach respects the privacy of the athlete. The coach avoids any form of harassment (sex, gender, disability) towards the athlete.

Fairness: The coach is fair to the athletes. The coach provides each athlete with the same opportunities and training times. A coach shows no favoritism to one athlete over the other. A coach teaches athletes to be fair (fair-play) to their team-mates and opponents. The coach has to refrain from using any unfair and illegal training methods (including performance enhancing drugs). The coach has to forbear from allowing any bribery to his person or his athletes.

Caring: A coach provides feedback to the athletes, and avoids too much negative feedback. A coach cares for the well-being of the athletes but avoids any kind of intimate contact with the athletes. The coach ensures that the training and competition requirements meet the abilities of the individual athlete in fitness and age. The coach instructs the athlete to a healthy life style and explains the lifelong benefits of sport. The coach leads the athlete towards becoming a mature individual who is able to take care of him- /herself, make decisions, and show responsibilities for their own behavior and performance in all life situations. The coach has to consider the wishes and opinions of the athletes. The coach has to carefully consider how to deal with the media and always keep in mind what is best for the athlete. The coach cares for the well-being of the athletes and animals he/she is in charge of.

Integrity: A coach should be a person of integrity, keeping to their personal values in word and action at all times. A coach does not take any bribes and discourages any notion of the athlete towards taking bribes or displaying non-sportsmanship like behavior. A coach has to keep a high moral standard and has to follow it at all times. The coach acts as a role-model.

Responsibility: The coach has to give the athletes the opportunities to develop their skills, confidence and self-esteem. The coach ensures that the training-program is adjusted to the needs and capabilities of each athlete. The coach promotes the values of team spirit and fair-play and that winning is only one part of athleticism but that fun and enjoyment are more important. The coach has the responsibility to keep up with the latest developments in training and coaching techniques and makes sure that the training facilities are in good and appropriate conditions. The coach also has the responsibility to act as a role model and to promote a healthy life style for the athletes to follow. The coach acts as an example that the athletes can copy and follow. The coach also has to keep in regular contact with the parents or legal guardians about training schedules, possible trips, rules and regulations, as well as with doctors, physiotherapists and other people involved in the athletic development of the athlete. Coaches should not over train the athlete, but have the athletes well-being at all times as a priority, as well as keeping them interested in the sport. Each individual athlete should be trained in a way that they reach their full potential. Coaches promote sportsmanship on and off the field. The coach also has the responsibility to care for the well-being and appropriate treatment of animals involved in the sport. The coach should also show responsible behavior towards natural resources and the environment and should motivate the athletes to take the same care. Coaches refrain from the use of performance enhancing drugs, smoking and alcohol.

BudgetThe budget is managed by Kati McDaniels. Monthly budget updates are provided via email to the parents. Our goal is to ensure that the team is spending the money for the sole purpose of meeting the needs of our players and be transparent in how the funds are spent. We will look for opportunities to save money on the cost of tournaments and rental of fields. There is a small cushion in the budget to cover any unforeseen expenses that cannot be anticipated. However there may be times that the coaches ask the players to participate in extra fundraising for a specific purpose not covered in the budget. For example, our coaches didn’t budget for a pitching machine in the 2019 season and they ask the players to sell raffle tickets to raise the money to purchase the machine. Any additional funds not spent during the season will be carried over to provide scholarships for players in the next season, provide awards for the players, and cover the cost of tryouts for the next season.

Triangle Cyclones Baseball – Player’s Code of Conduct

1. I will learn the rules of the game and follow them.2. I will respect my teammates, my coaches, my opponents and the umpires, at all times.3. I will show respect towards the umpires and their decisions. I will not argue or dispute a call

made by any umpire. If I have a problem with a call made by the umpire, I will quietly talk with my coach. Only the Coaching staff will discuss calls made by an umpire.

4. I will show respect to the umpires by positively acknowledging them, after every game.5. I will not throw my bat, helmet, glove or any equipment, in disgust, on or off the field, at any

time.6. I will not use foul language at any time while representing Triangle Cyclones Baseball.7. I will exhibit good sportsmanship and not criticize or taunt opposing players or anyone on my

team.8. I will not talk while the coach is speaking and I will pay attention to my coaches during player

instruction.9. I will accept my coach’s decisions regarding player positions, batting order and the amount of

playing time. I understand that this is a Travel Team and there is no guarantee for equal playing time or position. If I have a question, I will discuss with my coach without other teammates present.

10. I will not leave the dugout after practice or a game until it is completely clean and my coach releases me.

11. I will work hard during practice and focus on improving my performance every day.12. I acknowledge that the team comes before me and I will be a good teammate.

I understand that my coaches reserve the right to sit or suspend any player for exhibiting poor sportsmanship, or violation of any of the above guidelines, at any time. Additionally, a player can be sat or suspended for a lack of cooperation, poor attitude, lack of commitment, lack of effort or any behavior that is deemed detrimental the success or perception of Triangle Cyclones Baseball.

For minor injuries, Triangle Cyclones Baseball policy is to call the Emergency Contacts and/or Parent/Guardian listed on this Medical Authorization form, and follow their directions. In the rare case of a more serious injury, TCB policy is to first call 911, then call the Emergency Contact listed below.

Essential Questions to Ask Before Joining a Travel Baseball TeamPlease make sure that you understand the answers to these questions after reading the handbook and any other questions you may have before you commit to being part of the TCB family. Reach out to Coach Mac if you have any questions or concerns.

COST• What is the actual overall cost of what I am signing up for? • What does it include? Usual items included are tournament fees, sanction fees, team insurance, equipment, training clinics, and club fees. • What does it not include? Uniforms, bags, spirit wear, facemasks, etc.? • Are there any unexpected fees that could come up? For example, if the majority of the team feels that they want to play in a more expensive tournament than what is budgeted, do I have any recourse other than to pay the increase? • If I’m an infielder, pitcher or catcher, are facemasks and/or catcher’s equipment included or is it to be paid out of pocket by the player’s parents?

• What are the expected travel expenses? • Are there other players to carpool with? • Can the fees be paid over time? • Are there required fundraisers in addition to the fees? If so, how many fundraisers per season? If I miss a fundraiser will I be assessed additional fees? • Does the team have sponsors? Who is responsible for getting these sponsors?

TEAM/COACH:• What are the coach's qualifications and experience? Does it include experience with your age group? Does he/she have any playing experience? What is his/her coaching/training philosophy? • Are the coaches also parents of kids on the team? How will that affect who plays and when? • How does the coach determine batting order, playing time and positions? Does everyone bat? • What is his/her philosophy on playing time? Some coaches only go to the bench for two or three players while others do their best to play every player. That will make a difference if you envision yourself as a starter or if you think of yourself as the 11th or 12th best player on the team. • Does anyone on the coaching staff routinely get ejected by umpires? • Does the coaching staff display signs of good sportsmanship? Have respect for the game and players? • Is this a year-round commitment or fall (or spring) season only? • Are players allowed to play in other sports or participate in other activities or is that frowned upon? • Am I going to get to play my position (i.e. pitcher, shortstop) or am I going to play wherever the coach feels he needs me? Not an easy question but the answer can be quite telling and can go a long way not only in the satisfaction of the player and parents but also the rest of the team. • What are the priorities of the club, team and coaches (i.e. Winning, tournaments, and scholarships, teaching, developing, and having fun)? • If it’s not a new team, what’s the player turnover rate? • If it’s not a new team, did the players (and the parents) on last season's team have a good experience? If a lot of players are returning, that’s usually a good sign. If there are a lot of openings on the team you should ask why. The parents and players who were on last season's team may be the best overall sources for information about the team and coach.

PRACTICES / GAMES:• Where, when, how often and how long do we practice? • Are there rules for attendance at practices? • Will we practice with other teams in or close to our own age group? If so will there be more than one coach available (what ratio of players to coaches)? • What is the level of commitment required? • Are there acceptable reasons (without consequences) to miss practice/game such as school conflicts, religious reasons, etc.? • Where are does the team play tournaments (How far away)? Does the coach prefer one-day or two-day tournaments? • How many tournaments does the team plan to play per month? • How long is the season?

• Does the team do conditioning exercises at practice?ROSTER SIZE AND PLAYING TIME:• If I show up at all practices and do my best am I guaranteed any specific amount of playing time? • How many players will the team carry? 10? 12? 14? • Are there enough bench players to sub in and out if someone gets injured or needs to rest? • How does the coach deal with playing in extreme heat or cold? OTHER:• How is team communication handled? Email? Group text? Apps like TeamSnap? • What if my player gets injured? Are coaches CPR certified or trained to handle emergencies, when a parent is not available?

• If my player is injured, has competing priorities that come up later, is not happy with playing time, or cannot make some games, do I get a refund?
