Dear IHEA Members:In the past, IHEA has had several very successful, high-quality annual meetings on a cruise ship. We are very happy to announce that we will be heading back to the high seas for our 91st Annual Meeting from March 12 – 16, 2020, on Royal Caribbean’s Brilliance of the Seas, departing from Tampa, FL.

This four-day event will feature two sea days and a day in Cozumel. This budget-friendly meeting allows both the members and IHEA to save money over a land-based resort as the cruise lines include meeting items that land-based hotels charge for. Therefore, registration fees for this meeting are greatly reduced. Depending on the cabin type you choose, members can save between 10 – 30% over our traditional annual meeting costs.

We have an outstanding program planned with timely and important presentations as well as plenty of time for social interaction during receptions, meal functions and of course our cruise ship mini-golf tournament if you choose.

Reserve your cabin now! Payment is due with your reservation, but you may cancel without penalty until December 30. From December 30 – February 10, there is a 15% cancellation fee. From February 10 - March 1 there is a 50% cancellation fee; after March 1, the cabin and registration fees are non-refundable.

We have reserved a block of rooms at the Hampton Inn Tampa Downtown Channel District for the evening of March 11 before the cruise departs. We HIGHLY RECOMMEND staying overnight prior to departure and not trying to arrive in Tampa the day of the cruise. The ship will not wait for you so you can’t afford to have delayed or cancelled flights the day of departure. Rooms are being held for $192 plus tax per night.

Transportation from the Hampton Inn to the Port of TampaIt is a short four-block drive from the Hampton Inn to the Port of Tampa to board our ship. The hotel offers a complimentary shuttle (on a first come, first served basis) for the five-minute ride to the port. You can also call an Uber if you don’t want to wait on the shuttle. The City of Tampa also provides a complimentary ride service that you can utilize to get to the port (no tipping allowed so it’s truly free). CLICK HERE to learn about the service. Note that this service uses small, electric cars only so if you have a lot of luggage, this isn’t the best option.

Our ShipBrilliance of the Seas is a mid-size ship that offers a great array of lounges, food options & entertainment. At 91,000 gross tons, Brilliance of the Seas is the perfect size to balance a multitude of amenities with an intimate feel. She is built on the same hull as Celebrity Constellation, which hosted IHEA’s 2015 Annual Meeting.

ItineraryThis four-night cruise will depart from Tampa, FL, on Thursday, March 12. We will have two days at sea and one port of call in Cozumel on this itinerary. The ship will return to Tampa on Monday morning, where guests will disembark to return home.

StateroomsAs there are a variety of stateroom classes available onboard Brilliance of the Seas, the cost of your room will vary depending on type and location of your cabin. IHEA has secured cabins in several different categories to provide cost flexibility to members. The cabin price is for one or two guests in the cabin. There is no discount for a single passenger in a cabin. See the Deck Plan for available stateroom categories and pricing.

Registration Fees$495 (or one membership voucher) for IHEA Members $695 for Non-MembersThere is no registration fee for spouses or guests. NOTE: Registration fee will be added to the price of your cabin selection during online registration.

ns What is NOT included in the cruise fare?Additional expenses will include airfare to and from Tampa, transportation to and from the port, pre-cruise hotel (if arriving the night before), purchases made at onboard shops, the spa & casino and any expenses incurred while ashore in Cozumel.

Do I need a passport?YES, you will need a passport! Regardless of whether or not you disembark in Cozumel, you will be required to have a valid passport before boarding the ship in Tampa. We will be traveling in international waters and will be required to show passports to clear customs upon returning to Tampa. You will be denied boarding without a valid passport. REMEMBER: Passports should be good for at least 6 months after the end of the meeting! Check your passport expiration date now.

Will I get seasick?While sea conditions cannot be predicted, ships of this size are equipped with stabilizers that minimize motion under normal conditions. For those who are prone to motion sickness, over-the-counter medications, skin patches, and pressure point wrist bands can be helpful.

Will there be long lines?Embarkation is typically a very quick process without long lines. Busy times in the buffet restaurant can require you to go through a line, but these are typically short. Getting off and on the ship in port is normally a quick process as well.

Will I feel claustrophobic?The inside of a cruise ship is very similar to the inside of a large hotel. Brilliance has plenty of space to “get away” from it all if you prefer a quiet place to sit and read. She is filled with beautiful lounges, dining areas outdoor deck, pools and spaces to prevent anyone from feeling claustrophobic.

Can I book through my own travel agent or the cruise line?No! In order for you to receive the IHEA rates and participate in the Annual Meeting on the ship, you must book through IHEA.

Are there specific airlines/flights to book?Tampa is served by a wide variety of airlines. Check out several to ensure the best airfare.

When can I board?Boarding typically starts about 11:30 AM on embarkation day. Plan to be onboard at least two hours prior to sailing. Sailing time is 4:00 PM.

What if I need to cancel?We understand that occasionally something comes up and you need to cancel. Royal Caribbean has specific cancellation fees as follows:

• No penalty if your reservation is cancelled before December 30, 2019.• From December 30, 2019 until February 10, 2020 there is a 15% cancellation fee of your cabin and registration cost.• From February 11 through March 1, 2020 the cancellation fee is 50% of your cabin & registration cost.• There are no refunds after March 1, 2020.
