President’s Welcome LastseasonrepresentedmyfirstyearasPresidentanditwasayeartoremember!OnbehalfoftheentireBoard,thankyouforyourenthusiasm,supportanddedication.The2019/20seasonwasfilledwithmanyaccomplishmentsextendingbeyondmeetresults.Lastseasonsawstrongteamwork,clubpride,thedeepeningoffriendshipsandclosedoutwithaglobalpandemicthatprofoundlychangedallaspectsofourlives.ItiswithouthesitationthatIsay,thatMAC’straditionofexcellenceandstrongvalues,reinforcedourreputationasoneofthestrongestswimmingorganizationsinCanada.TosaythatIamproudofthisclubwouldbeanunderstatement.AsIlookforward,Iamtrulyexcitedaboutthepossibilitiesthatlieahead.MAChasbeenpromotingexcellenceinthesportofcompetitiveswimmingfornearly50years.Throughoutthoseyears,MACathleteshaveproudlyrepresentedourcommunityatlocal,regional,provincial,nationalandinternationallevels.Toourreturningfamilies,Ilookforwardtoreconnectingwitheachofyou.Ialsowanttoextendaverywarmwelcometoournewmembers.WearethrilledtowelcomeyoutotheMACfamily.TheimpactofCOVID-19lingerson.Theupcomingseasonandcompetitionswilllookandfeeldifferent.Therearesomanymovingpartsandtheneedforagilityhasneverbeengreater.WhatIwanttoreinforceisthattheBoardiscommittedtoupholdingourtraditionofexcellencewhileboldlyexecutingonourstrategyofbecomingCanada’spremiercompetitiveswimclub.IwasthrilledtohireandwelcomeSeanBakerasMAC’sHeadCoach.Sean’sexperienceandcredentialsareexceptional,andhisresumeisfilledwithremarkableaccomplishments.Asaparent,IfindSean’scommitmenttodevelopingfutureleadersinspiring.Soherearethefacts:MAChasanoutstandingrosterofreturningandnewathletes;MAChasfantasticcoaches;wehaveastrongandcollaborativerelationshipwiththeCityofMarkhamwithaccesstooutstandingtrainingfacilities;wehaveoneofthestrongestofficialsbaseinCanada;wearesurroundedbyexceptionalschoolswhorecognizetheimportanceofstudent-athletes;andwehaveyou…ahighlyengagedmembership!Iencourageyoutotakethetimetoreadthisdocumentsothatyoucangetthemostoutofyourmembershipespeciallyinauniqueyear.Theworldofcompetitiveswimmingcanbeanoverwhelming.AsamemberoftheMACfamily,wearecommittedtonavigatingthese“waters”together!Ifyouhaveanyquestions,pleasereachouttoaparentrep,ourclubadministrator,aBoardmember,orthecoaches.Here’stoagreatseason!GOMACGO!!!


Welcome Letter from the Head Coach DearMACmembers,Iwouldliketowelcomeyoutothe2020-2021seasonwiththeMarkhamAquaticClub.Whetheryouareareturningswimmerorjoiningtheclubforthefirsttime,youareabouttoembarkonanexcitingjourneythatwebelievewillenricheachchild’slifeexperience.Weareproudtoprovideaprogramforeachindividualtoreachtheirmaximumpotentialthroughaprogramthatemphasizesoldfashionedvaluesthat,overtime,producesuccessfuloutcomes.This“processoriented”approachisthepathwaytowinninginandoutofthepool.WeareaSwimmerOriented,CoachDriven,ParentSupportedprogramthathasarichhistoryofsuccessintheswimmingcommunityandhashadrepresentationateverylevel.ThispastJuly,IbecamethenewHeadCoachoftheteam.WeworkedthroughthechallengesofCovid19andhavebeguntolaythefoundationforMACtomoveintocontentionasoneofthebestyouthorganizationsinthecountry.Todate,wehavehadaninfluxofathletesandaspikeininterestfromthecommunity.Wearenowlessthanayearoutofthe2021Olympics;whatanexcitingtimetobepartofthisorganization!HowexcitingwillitbetoseeMACatthenextOlympicTrials?Willyoubethere?WillMAChaveanotherOlympian(s)in2021?Thefuturelooksbright&wecanallcelebratebeingakeycomponentofthisclub.Togetherweallmakethisteamwork;youshouldallbeproudtobelongtosuchaground-breakingorganization!Forthoseofyouwhoarenewtothesportorourclub,Iwelcomeyou.PleasetalktoasmanyofthecoachesasyoucantogetagoodideaofwhatMACstandsfor&whatthisorganizationdoesforchildren/youngadultsoutsidetheparametersofcompetitiveswimming.Youwillfindthatthelifelessonsandthelifeskillswilltransferintotheswimmer’sdailylivesandspilloverintosuccessatschool.Studieshaveshownconclusivelythatstudentsinvolvedinstructuredsportachievehighergradesthanthosewhodonot.


Herearemytop3tipsforparentsasweheadintotheseason:

1. Readtheclubmanualandwebsite.Itcontainsalotofthepertinentinformationthatwillhelpyoumaneuverthroughtheyear.

2. Besupportiveandpositive.MAC’sprogramisoneofthebestinthecountry,butwearenot

perfect.Wewelcomeallmemberstocontributetotheorganizationinavolunteercapacity.Withoutparentalhelp,theclubdoesnotexist.Weareaswimmerfocused,coachdriven,parent/boardsupportedprogramdedicatedtoexcellence.

3. Letthecoachescoach.Trustthatyourcoachhasyourchildren’sbestinterestsatheart.MAC

Financial Commitments Theoverallamountpaidtotheclubismadeofthefollowingcomponents:

● SwimOntarioFee.Thisone-timemandatoryfee(billedonOctober1st)andispaiddirectlytothegoverningbodyofswimminginOntariotoregisteryourchildforcompetitionandforinsurance.Thisfeeisbasedonyourswimmer’sage:

9-10 $141.40

11-14 $161.40

15&O $181.40

● Programfees(i.e.swimdues,dryland/gym).Theprogramfeespayforcoaching,poolrentals,

dryland,andotherclubexpensesandischargedonthe1stofthemonthfor6months(Oct1sttoMarch1st).PleaserefertotheMAC2020/21ProgramFees.

● VolunteerFees.ThisamountcanbeearnedbackasyouattendclinicsandvolunteeratMACmeetsorforotherclubpositions.Thevolunteerfeeischargedonthe1stofthemonthfor6months(Oct1sttoMarch1st)

● CompetitionFees.Thesefeescoverthecostsassociatedwithattendingacompetitionincludinghostclubfees,travel,food,andaccommodations.Thesefeesalsocovercoachandchaperonecosts.ThesefeesarechargedtoyouraccountasincurredandareNOTincludedinProgramFees.

Anyprogramfeesoutstandingfromtheprioryearmustbepaidinfullbeforeregistrationforthecurrentseasonispermitted.Swimmerswillnotbepermittedtoregisterforthecurrentswimseasoniftheirduesareinarrears.Registrationformsforthecurrentswimseasonmustbeaccompaniedbyacreditcardauthorization(whichisenteredduringonlineregistration).

Allaccountsmusthaveavalidcreditcardonfile.Byprovidingacreditcardnumberyouauthorizetheclubtochargethecardforfeesincurred.

Arefundchequewillbeissuedattheendoftheswimyearforanycreditbalancesgreaterthan$10.

Swim Challenge Thisyeartheclubwillbeholdingtwo(2)SwimChallengeevents.Swimmerswillswim1Kor5Kbasedontheirgroup.Familiesarerequiredtoraiseaminimumof$100forthe1Kswimand$200forthe5Kswim. Volunteer Commitment MACisanon-profitorganizationthatwouldnotbeabletomeetitsgoalswithoutastrongcommitmenttovolunteerismfromitsmembers.ToensurethecontinuedsuccessofMAC,itisexpectedthatallmembersareactivelyinvolvedinvolunteeringwiththeclub.


VolunteeringwillbenefityourMACexperienceinmanyways:● Helpingtoshapeandsupportyourclub’sfuture● Capitalizingonyourexperiencesandexpertisebygivingtoothers● Settingagreatexampleforyourchildren● Showingyourchildrenhowimportanttheireffortsarethroughyoursupporttotheclub● Helpingtolowercostsoftheclub● HelpbuildastrongcommunitywithinMarkham,andbuildastrongswimmingcommunitywithin

Avolunteerdepositispartofyourfeeschedule.Thisdepositcanbeearnedbackbyvolunteeringforoneofthemanyclubjobs.Volunteerpointsarecreditedbacktoyouraccountattheequivalentdollaramount.

Mostvolunteeringisdoneasanofficialataswimcompetition,howevertherearemanyothervolunteerpositionsattheclubincludinghelpingwithorganizingsocialevents,becominggroupparentrepresentatives,joiningtheBoard,helpingwithfundraisinginitiatives,teamwearmanager,andchaperoning.TheMACwebsitehasacomprehensivelistofvolunteeringopportunities.

Swimmer Moves (“Move-ups”) Move-upsduringtheseasontoanewtraininggroupareatthediscretionofthecoachandconsidertheswimmer’sage,training,abilityandattendance.Themove-upwillbecompleteduponagreementfromthemembertopaythefeedifference(s)forthenewgroup.

Reducing Your Fees Thereareseveralprogramswhichcanhelpyoureduceyourfees:

● Fundraising–Theclubmayapprovefundraisingopportunitiesthroughouttheyear.Membersarerequiredtoparticipateinfundraisingopportunities.Apercentageofprofitswillbecreditedtoyouraccount.

● Advertising–TherewillbeadvertisingopportunitiesattheMACswimmeetswherememberscangetlocalbusinessestoplaceadsinthemeetprograms.Apercentageofprofitswillbecreditedtoyouraccount.

● Sponsorship–MemberscaninvitebusinessestosupporttheclubbybecominganofficialMACsponsors.Therearevarioussponsorshiplevelsforbusinessesrangingfromacknowledgementsonthewebsitetonamingandadvertisementrightsformeets.50%ofthesponsorshipmoneybroughtinwillbecreditedtoyouraccount.

Withdrawal Policy Ifyoudecidetowithdrawfromtheclub,youmustprovidewrittennotificationtotheMACAdministrator.AfterthenotificationisreceivedbytheClubAdministrator,thefollowingproceduresandpoliciesareinplace:

● Theswimmerwillceaseattendingpracticeimmediatelyuponsubmittingtheirwrittennotification.● SwimOntariofeeanddrylandfees(ifapplicable)arenotrefundable.● Meetfeesforcommittedmeetswillbechargedtotheaccount,unlessthecoachisabletowithdraw

theswimmerbeforethemeetdeadline.● Youraccountwillbechargedthenextinstallmentpaymentperyourfeeschedule.


● Anybalanceowingtotheclubwillbechargedtothecreditcardonfile.● Anybalanceowingtothememberwillberefundedbycheque.● Afterthemembersaccountisclearedtheircreditcardinformationwillbedeletedfromthesystem.

Officiating Officialsplayanessentialroleincreatingagoodcompetitionenvironment.MAChasanoutstandingreputationforhostinghighcalibreinvitationalandchampionshipcompetitionswhichiswhyitisessentialthatMAChasalargecontingentofqualifiedofficials.Therefore,itisexpectedthatMACparentswillsupporttheclubwheneverwehostameet.

Officials Commitment MAChostsvariousswimmeetsduringtheseasonwhichareanimportantsourceofrevenuefortheclub.Parentparticipationisthekeytoasuccessfulmeet.Familiesarerequiredtovolunteerforshiftsbasedontheleveloftheirswimmerasshownbelow.

Therearemanydiscussionsunderwayaboutcompetitionsforthe2020/21.Atthistime,guidelinesandtimeframesforplanningandhostingcompetitionshavenotbeenfinalized.Assuch,weexpecttohostin-housecompetitions/timetrialsthroughouttheseasonsothatMACathletescanobtainofficialtimesandmonitorprogress.Withthisinmind,itisexpectedthatparentswhohaveanathlete(s)participatinginthetimetrialvolunteerasanofficial.Pleasenotethattimetrialsdonotqualifyforvolunteercreditsastheyarenotrevenuegeneratingcompetitions.Anadministrationfeemaybechargedforinhousecompetition(s)tocoverthecostofrentals,electronics,etc.

Officiatingatswimmeetsincludesthe“ondeck”positionssuchasTimers,StrokesandTurnJudges,StarterandRefereeand“offdeck”positionssuchasprogramsales,cafeteriahelpers,andrunners.

Officialsarepresentatallcompetitionstoimplementthetechnicalandadministrativerulesofswimming,thusensuringthatthecompetitionisfairandequitabletoeveryone.Withoutthiscommitmentfromthefamiliesofswimmers,thesportcouldnotsurvive.

AstheresultofCOVID-19,wedonothaveclarityonwhat/howswimmingcompetitionwilltakeplacethisseason.Whileweareconfidentthatwewillhostandattendcompetitions,wehavetakenaconserveapproachtotheofficial’scommitmentforthisseason.Thefollowingtableshowstheminimumrequirednumberofclinicsandmeetsessionsthatmembersmustattend.

Training Atleastonefamilymembermuststrivetoupgradeskillsaccordingtothechartbelowinordertomoveuptheofficialladder.Betterofficiatingmeansbetterandmoreefficientmeets.

Toperformthedutiesofanofficialyoumustattendtrainingclinics.ClinicinformationwillbepostedtothewebsiteandwillincludeMACin-houseclinics(SeptemberandDecemberand/orApril)andCentralRegionclinics(FallandSpringofferedatlocationswithintheGTA).

TAG CertifiedLevel1official.AttendTimersandSafetyMarshallclinicandJudgeofStrokeandTurnclinic.

BronzeCertifiedLevel1officialorabove.AttendTimersandSafetyMarshall,andStrokesandTurnsJudges,and1moreclinic(ChiefTimer,ClerkofCourse,ChiefFinishJudge,etc.).

Silver CertifiedLevel2officialorabove.AttendTimersandSafetyMarshall,StrokesandTurnsJudges,and1moreclinic(ChiefTimer,ClerkofCourse,ChiefFinishJudge,etc.).

GoldorSenior CertifiedLevel2or3officialandabove.

Competition and Training Standard Asaparticipantintheclub,swimmerscompeteatswimmeets.DuetoCOVID-19andSafeSportplanning,SwimCanadaandSwimOntariohavenotreleasedcompetitionguidelinesforthe2020/21season.Assuch,the2020/21meetscheduleisnotyetavailable.

Meetscheduleswillbeamendedfromtimetotimeduringtheyear.Itisthefamily’sresponsibilitytoensuretheyareinformedofwhichmeetstheirswimmerwillbeattending,byconsultingthewebsiteunderEvents–EditCommitmentand/orcontactingtheircoach.SwimmersarerequiredtoattendallMAChomemeets.

Asaparticipantintheclub,swimmersareexpectedtoadheretothetrainingscheduleprovidedbythecoach.TrainingscheduleamendmentswillbemadefromtimetotimeontheMACclubwebsiteonGroupCalendars.Itistheswimmer’sandparent’sresponsibilitytoreviewthetrainingamendmentsandadjusttothechangesintheschedule.

MAC Team Wear and Equipment

MACteamequipmentpolicyisseteachyearbytheHeadCoach.Swimmersmustensuretheyhavethecorrectteamwearandequipment.ItistheresponsibilityofeachswimmertoobtaintherequiredMACswimwear,teamwearandequipment.

Parentsareaskedtoclearlylabelallequipment/clothingwiththeirswimmer’sname.ThefacilitiesthatMACusearepublicfacilitiesandtheclubcannotbeheldresponsibleforitemsthatarelostormisplaced.

Equipmentmaybepurchasedatthesupplystoreofchoicewhereasteamwearisavailablethroughtheclub.

TeamwearcanbepurchasedthroughtheMACoffice.Theofficemaintainsinventoryofcoreteamwearthroughouttheyear.Inaddition,anonlineswimstoreismadeavailable2-3peryearforteamwearandfanwearpurchases.

SwimMeets(new):Swimmersmustwearblackswimsuits(includingracingsuits)forcompetitions.Swimmerscompetingatnationalcompetitions(i.e.Easterns,CJCs,CSCsorTrials)arerequiredtohavetheirtechnicalracingsuit(s)approvedbytheHeadCoach. Podiumpresentations:MACtracksuitforthetop4groups(Senior,Gold1,Gold2&Silver1).TheremaininggroupsarerequiredtowearacurrentMACt-shirtforawardspresentations.

Team Travel Policy Travel Meets TheHeadCoachmaydesignateanyswimmeetortrainingcampheldawayfromanyMarkhamAquaticClubscheduledpoolsasaTeamMeetorTeamTrainingCamp.Thismeansthatswimmersparticipatinginthismeetwillberequiredtotravelandroomwiththeteam.Theclubwillarrangefortravelandaccommodationfortheswimmers.Thecostsoftravelandaccommodationsareinadditiontoregularswimfees.

Swimmersareexpectedtoparticipateinanysuchtravelmeetsortrainingcampsasrequiredbythecoach.ExceptionsaretobeattheapprovaloftheHeadCoachandthecoachinchargeofthetrip.Inorderforourswimmerslearntotravelindependently,managetheirsleepanddietaryrequirementsandhandlethestressesassociatedwithmeets,theywilltravelandstaytogetherasateam.Parentsarediscouragedfromstayinginthesamehotelastheteam.Accesstotheswimmersinthehotelwillbeminimizedbytheeventmanagerstoallowroommatesundisturbedrestperiods.

Onceaswimmercommitstoatravelmeetortrainingcamp,theyarerequiredtomakethenecessarypaymentsandcompleteanynecessarytravelformsasdeterminedbytheclubintheamountsandatthetimesadvisedbythecoaches.Failuretomakethepaymentsorcompleterequiredformswilldisallowtheswimmerfromtravelling.Allswimmerswhohavecommittedtoatravelmeetortrainingcampareliableforanynon-refundablecostsiftheyfailtoattend.Allswimmers/parentswillbefullyresponsibleforthepaymentofanycostsrequiredtosendaswimmerhomefromatravelmeetortrainingcamp,shouldtheswimmerviolatetheCodeofConductrequiredofallMarkhamAquaticClubswimmers.


Code of Conduct

Expected Standard of Behaviour ItisanobjectivefortheMarkhamAquaticClubtoprojectanimageindicativeofexcellence,fairplayandprideinone’steamandoneself.Athletes,memberfamilies,coaches,andmanagerswiththeMarkhamAquaticClub,representthemselves,theclub,theirfamiliesandtheircommunity.TheCodeofConductisinplacetoprotecttheswimmers,theirfamilyandtheclub.

Tothatend,allindividualsontheteamareexpectedtoabidebythefollowingCodeofConduct.TheCodeofConductisineffectatalltimeswhiletheswimmeristraining,travelingorcompetingwithorfortheclub.Theagreementoftheswimmerandtheparent/guardianontheMemberCommitmentformindicatesthememberfamilyandswimmer’sagreementtoabidebytheCodeofConductandanacknowledgementoftheconsequencesoffailingtoabidebytheCodeofConduct.

Fordesignatedtravelmeets,theCodeofConductisineffectfromthetimetheteamleavesuntiltheteamreturnstoitshomebaseortheathleteissignedoutatthecompletionofthemeet.

Code of Conduct AsamemberofSwimOntario,swimmersandparentsarerequiredtoread,understand,andcomplywithSwimOntario’sCodeofConduct.TheCodeofConductisavailableontheSwimOntariowebsite.

Discipline Theclubhasaprogressivedisciplinepolicythatallowsaswimmerampleopportunitytocorrectinappropriatebehaviour.InfractionsoftheCodeofConductcouldresultin,butnotlimitedto,thefollowingdisciplinaryactions:

● Parent/Swimmer/Coachmeeting● Suspensionfrompracticeand/orcompetition,whichinsomecasesmayresultintheathlete’sfamily

havingtoassumethecostofanathlete’searlyreturnhome● Terminationofmembership

Privacy Policy/PIPEDA Policy

Asaclubwecollectandmaintainpersonalinformationfromswimmersregisteringwiththeclub,aswellasclubvolunteersandcoaches.Thisinformationiswhatisrequiredtoconducttheoperationsoftheclubincludingbutnotlimitedtobeingabletocommunicatewithswimmersandtheirfamiliesorguardians,makeavailableappropriatehealthinformationforthesafetyoftheswimmers,properlymanageswimmer’saccountswiththeclub,givetheclub’scoachesthetoolstotraintheswimmers,allowcoachestoenterswimmersintoswimmeetsandotherswimevents,enableourclubtohostswimmeetsandputonclubevents,andtodoclubplanningandorganizing.

InthecourseofbeingacompetitiveswimclubbasedinOntario,MACdoesprovideswimmerinformationasrequiredwithCityofMarkham,SwimOntario,SwimmingCanada,swimmeetorganizers,andotherswimrelatedentities.Also,ourorganizationleveragesthirdpartyserviceproviderstoperformvariouscontractedservicesforMAC,duringwhichtheseserviceprovidersmayhaveaccesstoormaintaininformationonbehalfofMAC(forexampleourwebsiteandswimmerdatabase).Welookto


ensurethattheseserviceprovidersandswimrelatedentitieshaveprivacypoliciesinforcethatarecomparabletoMAC’sandthataccessislimitedtotheinformationthatisrequiredfortheseotherentitiestoperformtherequestedservicesforMACorfortheotherswimrelatedentitiestocarryouttheirroles.

Youshouldbeawarethatswimmernames,agesandswimeventresultsarepublishedelectronicallyandinothermediaintheordinarycourseofcompetitiveswimming.

OnoccasionMACmaychoosetoshareeitherwithinMACorwithoutsideentitiesaggregateinformationabouttheclubanditsswimmersifthisaggregateinformationdoesnotincludeanydetailsthatwouldallowfortheidentificationofspecificindividuals.

Wedonototherwisedisclosepersonalinformation.Asanorganizationwetaketheprivacyofourmembers,volunteers,andcoachesseriouslyandwetakereasonableprecautionstoprotectthisinformationfromunauthorizedaccessandinappropriateuse.

Photo Policy

ByregisteringwithMarkhamAquaticClub,youaregrantingpermissiontothecluboritsagentstophotographorvideoanymemberofyourfamilyparticipatinginaMACevent.Thesephotosorvideosmaybeusedforpromotionalpurposesincluding,butnotlimitedto,website,advertising,brochures,socialandtraditionalmedia.

Medical/Injury Policy

AnyswimmerwithaninjurythatpreventshimorherfromattendingpracticemustsubmitaDoctor’snotetotheMACAdministratoratinfo@markhamaquaticclub.comMembershave3options:

1. Donothing.Thememberwillcontinuetopayallduespertheschedule(usuallyforlessthanfourweeksabsence).

2. Withdraw.Themembermaychoosetowithdrawfromtheclubperthecancellationpolicystatedintheregistrationpackage.Themembermayreapplytotheclubatanytimeinthefuture,buttheirspotwillnotbereserved.

3.
