Sydney West Rugby Referees’ Association Inc. Registration Form 2018 Season This cover page contains information you need to know prior to joining Sydney West RRA and registering for the 2018 season. Please read it carefully before you begin to add your details. Our registration form is comprised of three parts. All three parts must be completed. PART 1 is Rugby Australia’s 2018 Membership Form. The information you provide here will be used to update Rugby Australia’s Rugby Link database and Sydney West RRA records. Rugby Australia membership ensures that you remain covered by their national insurance scheme while active as a referee, assistant referee or referee coach or when involved in activities related to those disciplines. Registration Form — 2018 Season

This cover page contains information you need to know prior to joining Sydney West RRA and registering for the 2018 season. Please read it carefully before you begin to add your details.

Our registration form is comprised of three parts. All three parts must be completed.

PART 1 is Rugby Australia’s 2018 Membership Form. The information you provide here will be used to update Rugby Australia’s Rugby Link database and Sydney West RRA records. Rugby Australia membership ensures that you remain covered by their national insurance scheme while active as a referee, assistant referee or referee coach or when involved in activities related to those disciplines.

PART 2 is particularly important. Here you provide details as to what, when and where you expect to referee or referee coach in 2018. Details of all restrictions or limitations likely to impact on your availability must be recorded here as clearly as possible. PART 3 is where you provide details of your clothing and equipment requirements for 2018.

Changed Circumstances: If at any time during the season your circumstances change or you become unavailable for appointment, it is important that you quickly update your Referee Appointments System record. How you go about doing that is outlined on page 7.

Accreditations & Certifications: Without current Smart Rugby certification or the correct accreditations in place, you’re not able to be appointed to referee matches and we’re not able to provide you with clothing or equipment. Follow the advice on page 8 to ensure that all of your accreditations and certifications are current and in place for 2018.

Paying Your Annual Membership Subscription: Your $25 annual membership subscription ($15 for members who are students or apprentices) will be deducted from any payment due to you for refereeing or referee coaching in 2018. As mentioned previously, for those who hold assistant referee accreditation only and who register as associate members, we happily waive payment of our annual membership subscription.

REGISTRATION TERMS AND CONDITIONS Unless otherwise stated, terms in this document shall have the same meaning as defined in the Rugby Australia Code of Conduct. A copy of the Code of Conduct is available in the Policy Register.

1. By completing this Registration Form, you (or if the participant is under 18 years of age, that participant’s parent or legal guardian on behalf of the participant) agree: i. The information you have provided is true, correct and accurate. ii. The information you have provided will be used and disclosed for the purposes specified in the Privacy Policy, including being used by your club and Member Union to administer the Game and provide rugby activities and rugby-related services. A copy of the Rugby Australia Privacy Policy is available in the Policy Register. iii. To comply with and abide by the rules and regulations which govern the Game and its authorised variations, including, World Rugby Laws of the Game and Regulations, the Rugby AU Code of Conduct By-Law, the Rugby AU Policies (including Rugby AU Anti-Doping Code and Rugby AU Member Protection Policy) and the competition rules governing sanctioned competitions and events, available at Running Rugby. iv. You have fully disclosed any suspension you may be serving imposed by any sporting body, and will disclose any suspension imposed in the future.

v. You must pay all fees, including but not limited to, registration fees. vi. Rugby Australia, your Member Union, Rugby Body or Club may use your name or image in any form or medium for marketing, promotional and research activities. vii. Rugby Australia may deregister you at any time by notice.

RISK AND LIABILITY 2. The Game and its variations can be hazardous and incidents may happen. To the extent permitted by law, by accepting these Terms of Registration, the participant and/or his/her parent or legal guardian assume the risks associated with participating in the Game and acknowledge this warning of the injury risks involved, and in doing so, waives all claims for liability against any participant and releases every participant from all liability, provided that such liability arises while the participant is participating in the Game.

3. Rugby Australia will hold the benefit of this release and waiver on trust for all participants. Rugby Australia makes no warranties regarding services associated with the Game or the fitness for purpose of materials provided.

INSURANCE Whilst performing their Role as a Match Official, registered participants of the Game are provided basic levels of cover under the Rugby Australia Insurance Plan for Sports Injury (Accident) cover, excluding cover for medical expenses where there is any Medicare Contribution (i.e. Medicare Gap). It is recommended that all participants consider Private Health and other Insurances as required for their individual circumstances, over and above the coverage provided under this Plan. Insurance is not applicable to those members with no defined volunteer role, i.e. life and social members. Further information is available at Running Rugby and Rugby Australia Insurance plan.

Part 2: Appointments Related Information Here you indicate precisely when, what and where you’re available in 2018

Your responses to the questions below provides some basic information about you and helps to identify restrictions or limitations on your availability for appointment. These details are used with a view to maximising refereeing enjoyment and minimising inconvenience to you and other members.

It is appreciated that referees sometimes need to restrict their availability. Doing so, however, may limit the size and nature of the pool of matches then available to them. While every effort is made to appoint referees with restricted availability, finding matches appropriate to their skill level, grading tier and experience at the times and locations those referees want them, may not always be possible.

QUESTIONS 1~10 RELATE TO AVAILABILITY AND MUST BE ANSWERED BY ALL MEMBERS

Question 1: What types of matches are you looking to referee and on what days and at what times are you available on weekends?

STEP 1: Check the small square boxes to indicate your interest in handling the various match types that may be available on weekends. If you’re not available on a particular day or not interested in a particular match type, leave that particular small square box unchecked.

STEP 2: If you’ve checked a particular match type but you’re available for only part of that match day, show the time period you expect to be available in the larger rectangular shaded box to the right of the small square box.

NOTE: When you check a small square box and show nothing in the larger rectangular shaded box to its right you are, in effect, indicating that there are no time restrictions on your availability for that type of match on that day of the week.

Question 3: If you answered YES to Question 2, what weekend team or teams do you have a commitment to as a player, a coach, a manager, a parent, etc.? If your refereeing appointments need to take into account those sorts of commitments, then you must tell us:-

(a) The name of each club and/or school team that you or your children play for on weekends. (b) The age group and grade of each team that you or your children play for on weekends. (c) The days on which each of those weekend teams play (i.e. Friday evening, Saturday, Sunday). (d) The nature of your involvement with each weekend team (e.g. are you a player, a team coach, a

team supporter, an assistant referee, etc.).

Please provide each of the requested details (a), (b), (c) and (d) in the shaded box below. Your response needs to be as detailed as possible. For example, you might say something like “My son plays on Saturday for Oakhill College U.14A and on Sunday for Dural U.14C, a team that I also manage” or you might say something like “I play on Saturday mornings for TKS U.16B”.

     

Question 4: Some members accept appointments at venues on the north shore or northern beaches or in the inner western, eastern or southern suburbs. Are you available for appointment to grounds outside the area normally serviced by Sydney West RRA?

Question 11: If you are a student or an apprentice, please show the name of the school or institution you attend and the year of study that you’re undertaking in 2018 (e.g. Muirfield High School Year 10; Granville TAFE Graphic Design Year 2; Western Sydney University BBus. 3rd Year).

     

MEMBERS WHO ARE NEW IN 2018 MUST COMPLETE QUESTIONS 12 AND 13

To become an active referee you must first register for and attend an appropriate Rugby Australia course and pass the relevant online exam. Before we can appoint new members to matches, we need to know the course or courses you have attended and which online exams you have passed. The responses of new members to Question 12 and Question 13 provide that information.

Part 3: Referee Clothing and Equipment Here you identify your gear requirements for 2018

It is a NSWRU requirement that clothing they supply be issued only to active and registered members for whom all necessary accreditations and certifications are in place and current. NSWRU defines an “active referee” as one who officiates in a minimum of five matches each year.

Accredited Referee Members: New members seeking level 1 referee accreditation will be issued with an accredited referee jersey, a pair of shorts and a pair of socks once they have attended the Foundation Course, passed the law exam, joined the association and are ready for active involvement as a referee. Other active accredited referees will be provided with a jersey, shorts and socks in 2018.

Pathway Referee Members: New Pathway referee members will be provided with a Pathway referee jersey, shorts and socks once they have attended the Refereeing Kids’ Rugby U8-U12 course, passed the Pathway referee exam, joined the association and are ready for active involvement as a referee. Other active Pathway referees will be provided with new shorts and socks in 2018.

THINGS THAT EVERY MEMBER NEEDS TO KNOW ABOUT AND ATTEND TO

1. SAVING, NAMING AND LODGING YOUR REGISTRATION FORM

Prior to returning your Registration Form, please check to ensure that all relevant sections of Parts 1, 2 and 3 above have been completed.

When you’re satisfied that all required details are present and correct, follow the directions in the next paragraph when you save this form as a Word document.

To assist with processing, please incorporate your surname and your preferred first name — in that order and separated by an underscore — as the file name of the saved document. For example, if Amy Perrett was to again join Sydney West RRA she would give her registration form the file name “Perrett_Amy.docx” when saving it in Word format.

To facilitate subsequent processing, DO NOT save this document as a PDF or JPEG unless absolutely necessary.

Attach the saved Word document to an email message and forward it as soon as possible to the association’s public email address [email protected]

2. UPDATING AND REPORTING CHANGES IN YOUR AVAILABILITY

Information drawn from Part 2 will be input to the Referee Appointments System (RAS) and used during the appointments process. RAS is an “opt out” system. If RAS has not been updated to show you as being not available on a particular date, it assumes by default that you must be available on that date and it may list you for appointment.

As soon as you know that you’re not available on a particular date, you MUST take action to “opt out” of the appointment process for that date or range of dates. Failure to do so may result in inconvenience and disruption to you and other referees.

To enable you to take responsibility for the accuracy of information held for you, a self-service web portal allows you to input particular items of data direct to RAS. After you have been registered and your RAS record created and activated (a process that may take a day or two), you will be able to log-in to RAS via the Rugby Portal and carry out the following tasks online:-

● Input or adjust details of any days or times that you are not available for appointment (i.e. quickly and easily “opt out” from being appointed on certain dates or at particular times).

● Update any team relationship you have with a club or school as a player or as a parent that needs to be taken into account when appointments are being considered. This allows you to be appointed around your playing commitments or your child’s playing commitments.

The link to the Rugby Portal is available from the Links page of our website. Our website and the RAS web portal are both available 24 hours a day, seven days a week. Please make a habit of using them.

3. CONFIRMING YOUR ACCREDITATIONS AND CERTIFICATIONS

In Part 1 you were asked to enter your MyRugby ID number. You’ll find that number on your MyRugby Card or on a course registration confirmation advice issued to you by Rugby Australia.

Your MyRugby Card also shows the expiry date for each match official accreditation and certification held by you.

You can also check these details by accessing your Rugby Learning Centre record. To login to the RLC, simply follow the path from the Links page of our website to the Rugby Portal.

If your Smart Rugby certification or a match official accreditation has expired or is about to expire, it is essential that you take action asap to correct that situation. A document summarising accreditation and re-accreditation requirements for referees, referee coaches and assistant referees is available from the Resource Library Index page of our website.

Smart Rugby re-certification and the exams necessary for match official accreditation and re-accreditation are completed online via the Rugby Learning Centre. As mentioned on the cover page, without the correct certifications and accreditations in place, you cannot be appointed to matches and we’re not able to provide you with clothing and equipment.

These matters are a personal responsibility and must be attended to without delay.

Ideally, we’d like to have every registered member kitted-out, fully accredited and with all required certifications in place by the time the 2018 season gets underway or as soon as possible thereafter.
