We Appreciate You! Thank you for volunteering your time to assist the girls in your troop and Girl Scouts of the Colonial Coast (GSCCC) with the 2018 Fall Product Program. With your help and support, girls will have the opportunity to participate in a quality program as well as develop five key business and leadership skills, all while they generate funds for girl-selected troop activities and projects.

All who participate win! Girls not only learn new skills but they do so while earning cool rewards. By taking part in our Fall Product Program, troops generate funds for supplies, activities and trips. Your participation helps the Council continue to offer affordable, quality, programs and events for girls, adult trainings, and helps maintain our camps.

2018 Fall Product Volunteer PatchVolunteers who sign the Troop Fall Product Coordinator Agreement and turn in their final fall product reports to their SUFPC no later than November 26, 2018, will receive a volunteer patch. The patches will be sent to the service unit with the girls’ rewards. (A maximum of two patches per troop)

Participation & Proceeds

The Fall Product Program combines educational activities with money-earning opportunities for troops and individually registered members. During the program, girls participate in traditional and online selling- all of which go a long way to help with back to Girl Scouts start-up funds. The Fall Product Program is a simple, fun introduction to Girl Scout product sales!

To Participate:• Troops must have one adult troop fall product coordinator (TFPC) who is a registered volunteer, with a current

background check, has attended training, and has signed a Troop Fall Product Coordinator Agreement.• Girls must be registered for the 2018-2019 membership year.• Participating girls submit a fully completed and signed Caregiver Permission and Financial Responsibility Form.• Girls and their caregivers are clear of outstanding debt from a previous product sale program.

What can a troop earn? When 10 girls sell at least 5 online items (magazines, tumblers, plants, candles) and 20 order card items, the troop can earn approximately $500!

Proceeds - Order Card and Girl Delivery Troops may receive an extra five cents per item if they opt out* of receiving rewards. Troops that opt out of rewards still receive patches.

• $8 items = $1.35 with rewards or $1.40 if opting out of rewards.

• $7 items = $1.25 with rewards or $1.30 if opting out of rewards.

• $6 items = $1.15 with rewards or $1.20 if opting out of rewards.

* Troops/groups with registered Girl Scout Daisies and/or Brownies cannot opt out of rewards.

Proceeds - Online Orders (Nuts/Candy, Magazines, Candles, Tumblers and Plants) All troops receive 20 percent proceeds on online orders whether the troop opts out of rewards ornot (Girl Delivery orders are NOT included in online proceeds).

Better Together Bonus! New this year, troops have a chance to earn even more during the Girl Scout Cookie Program by participating in Fall Product! Here’s how it works:

• Fall Product - troops must have at least 4 girls selling fall product and have a per girl average (PGA) selling of $200 or more.

• Cookies - troops must have at least 4 girls participating in the cookie program and have a per girl average (PGA) selling of 230+ boxes or more.

Troops that achieve these metrics will receive an additional $0.01 per box of cookies sold.

Getting Started

You’ve attended your Service Unit Fall Product training, signed your Troop Fall Product Coordinator Agreement, and have an envelope full of forms. What’s next?

• Review the Caregiver Guide and this entire Troop Guide. If you have questions, contact your Service Unit Fall Product Coordinator (SUFPC).

• Schedule time during the next troop meeting to explain the program and hand out forms to the girls and their caregivers.• Explain the online portion requires no handling of money or product ... it’s easy!• Set troop and individual goals for those participating.• Talk about troop proceeds and rewards. Do the girls want to earn rewards or opt out for higher proceeds?• Get the girls thinking about what they could do with their troop proceeds. The girls may decide to take a trip, buy

troop supplies or support a local community service project.• Caregivers will receive a launch email to help them get started approximately a week before the program starts.

Welcome to Unify!In previous years there were two online systems, now we are “unified” in one. Unify is easy to use and has features designed to help your Fall Product Program be a success!

With one login you will be able to access your troop(s) dashboard and your girl(s) dashboards! From the Troop Dashboard you will have access to enter orders, transfer product, run reports, message families, track each girl’s progress and much, much more.

Unify – Girls & CaregiversHow to Help Setup a Girl’s Online Store• Caregivers should visit www.girlscouts.qspgao.com/colonialcoast.

• If they participated last year, click Returning Participant; login credentials remain the same.

• New participants click First Time Visitor. Enter all requested information; carefully choose the option for your role.

• Need additional help? QSP technical support is available at 1-877-305-4146.

• If you are prompted at any time for the Council online ID, enter 2690139.

• A Product Manager is the same as a Troop Fall Product Coordinator.

Tools for FamiliesUnify comes with a new set of resources that allow the caregivers to actively manage the Fall Product Program.• Initial Order Entry* - adults can choose to enter their girl’s initial order.• Reward Selection* - girls can choose their rewards at each level, even if not yet earned.• Program Resources - there are trefoil and calendar icons on the girl dashboard too. From these icons, adults and

girls can access training and program materials as well as view deadlines.

*As a Troop Fall Product Coordinator you will have the ability to review and modify orders and reward choices.

Girl SafetySafety has always been the main focus and priority for our Council. More detailed information can be found in Volunteer Essentials and Safety Activity Checkpoints on the Council’s website at www.gsccc.org.

Social Media and Online Marketing• No girl, or adult acting on behalf of girl members, can collect money online for Girl Scout products or

a money-earning activity online. The exception to this is the GSUSA-approved product sale program.

• Girls/caregivers may only post about their participation in the online program on social media sites that allow them to restrict access to friends and family (e.g. Facebook), and not to social media sites open to anyone (e.g. Craigslist, yard sale sites, neighborhood sites, Amazon or e-Bay).

• Girls/caregivers may post online to inform customers that they are selling and where they will be selling. Girls/caregivers may not post to any online site where they will exchange money online for product sales (e.g. Craigslist, yard sale sites, Amazon, or e-Bay).

Girl Delivery, Safety & Cupboards

Girl Delivery (formerly known as Nut Promise)• Caregivers/girls choose by customer whether they have the option to pay online and have a girl deliver

product.

• Only items listed on the order card are eligible for Girl Delivery.

• Caregivers must request product from the troop to fill Girl Delivery orders.

• Proceeds are earned as if these were order card sales.

• These orders count towards the MyCreation patch and personalized t-shirt rewards.

CupboardsCupboards are designated volunteers across our Council who have opened their homes to our troops so that they may pick up additional product throughout the program.

• All cupboards are available to volunteers in any service unit or troop.• Inventory can be picked up by the piece; full cases not required.• Cupboard rosters will be e-mailed to troops periodically throughout the program.• BEFORE visiting a cupboard, check with your SUFPC to see what items they have on

hand. Schedule all cupboard visits per their instructions listed on the cupboard roster.• A signed cupboard authorization card is required EVERY time you visit a cupboard.• Be sure to count all items and sign a receipt before leaving the cupboard.• Cupboards will consolidate towards the end of the program.

Transferring Product (after the Initial Order)• Cupboards will enter the items picked up by your troops in Unify and those items will appear in your

Troop Cupboard.• Troop Fall Product Coordinators transfer the items from Troop Cupboard each time caregivers sign for

product.

2018 Girl RewardsOnline Rewards (Includes nuts/candies, as well as magazines, candles, tumblers and organic plants)

• Girls who send 15+ unique emails will receive an online patch.

• Girls can earn a MyCreation custom patch when they reach $250 in online sales.

• Girls can earn a personalized t-shirt when they reach $350 in online sales.

• A maximum of two adult volunteers can earn a MyCreation custom patch when the troop reaches $500 in online sales.

Adults will receive an email asking you to finalize designs/personalizations as goals are reached. Allow 4-6 weeks for processing after you have completed the confirmation process. Items will be shipped directly to the girl.

Hometown Heroes The Council’s community service project “Hometown Heroes” continues with the USO of Hampton Roads and Central Virginia. Customers can support Girl Scouts and the USO by purchasing Thank You Nuts. During the 2017 Fall Product season, Girl Scouts of the Colonial Coast donated over 1,599 items to the USO.

Since 1941, the USO has provided help to over 10 million military service members and their families. Wherever and whenever they go, the USO will be there. The USO is a non-profit 501 (c)(3) organization; they rely on donations to fund programs and services that best fit the needs of our service members and their families.

• Girls who sell five or more Thank You nuts will receive the Share patch.

All rewards are non-transferable and non-refundable.

On December 21, 2017, Girl Scout Cookie Captains and CEO Tracy Keller visited the USO Service Center at Norfolk International airport to hand out a portion of our Council’s Hometown Heroes donation.

BankingYour Responsibilities• Remind girls and caregivers that they may NOT collect payment before delivering nuts/candy.

• Always provide a receipt for all product distributed and payments received.

• Enter payments under the appropriate girl in Unify as received.

• Deposit payments into the troop and Council bank accounts as often as possible. The safest place for money is in the bank!

• Enter deposits made to a Council bank into Unify.

• All final payments are due to the troop no later than November 19, 2018.• Make at least three attempts to reach UNCOLLECTED amounts from caregivers.

Document your attempts on the Uncollected Form found on the Council forms page.

Submit the Uncollected Form along with required documents with your final paperwork.

*Uncollected Forms are required for any caregiver who is not paid in full.*

Accepting Checks• Checks are to be made payable to GSCCC or Girl Scout Council of Colonial Coast.

• Deposit all checks into a Council bank account.

• List your troop number in the memo section of the checks.

• Do not accept post-dated or two party checks.

(Two Party checks have more than one name in the “pay to the order of” section)

• Verify the written amount of the check matches the dollar box.

• Checks must have a complete address and phone number listed; no starter checks.• Returned checks will be handled by Global Check Recovery and will be assessed a

return fee. Global Check Recovery can be reached at 1-866-524-3339.

Making Deposits• Complete all fields on the deposit slip (date, troop, name, phone number and total).

• List the last name of the person on the deposit slip, NOT the check number. • If you have multiple checks with the same last name, include the first letter

of their first name.

• If you are writing a check from your troop account to Council, enter your troop

number instead of a last name.

• If the number of checks to be deposited exceeds the available lines, total your

current deposit slip and start a new slip as needed.

• Each deposit should be individually entered into Unify. Do not total combine

same day deposits in Unify.

• A validation stamp is REQUIRED on all deposit slips. You should receive two

validated deposit receipts for each deposit. Be sure to check for the validation

before leaving the bank.

• One deposit slip will be turned in with final paperwork, the other is for your records.

• Council will receive “bank corrections” direct from our Council banks. The troop

leader and troop fall product coordinator will be notified immediately of the

correction by the Product Sales team.

Credit Cards & Inventory

Credit CardsEach troop is responsible for determining if they are willing to accept credit card payments during the Fall Product Program. Keep the following in mind when considering:

• Troops assume the responsibility of paying any fees and handling any issues that arise as a result of accepting credit card payments. Troops are responsible for paying Council in full for all items purchased with a credit card.

• You must use your troop bank account. Do not use a personal account to connect your credit card reader.

• Council will not be able to provide any technical support when accepting credit card payments.

• ONLY adults may process credit/debit card transactions.

• You will be REQUIRED to submit a summary report of all transactions processed with your final paperwork. If you need assistance generating these reports, please contact your vendor.

Troop Inventory• Your troop is ultimately responsible for all of the products you order.

• If you have a surplus of product, promptly notify your SUFPC about your extra products; this will enable her/him to locate troops who might be in need of your excess items. In addition to asking for help, you may also want to consider a troop walkabout.

• Remember, product can continue to be sold after the program ends, however, all money owed must be deposited by November 19, 2018.

Damaged Items - Product Quality Concerns• All damaged items must be returned to the cupboard immediately.

• Only like-for-like exchanges will be made.

• If a customer has a concern in regards to the product quality, please have them call Ashdon Farms at 1-800-274-3666 for a refund or exchange.

Your SUFPC may have surplus product on hand. BEFORE reordering from a cupboard, see if you SUFPC has what you need.

Booth Basics• Booth sales begin October 21, 2018.• Each service unit has the option to setup booths for the Fall Product season. The

service unit establishes all booth locations, dates and times.• Although a service unit may not decide to setup booths individually, troops can still

have booths sales; contact your SUFPC for more information.• Inventory can be picked up by the piece.

Booth Adult/Girl Ratios• Girl Scout Daisy, Brownie, Junior and Cadette booths must have at least two girls and

two adults; at least one of the adults must be a registered Girl Scout.

• Girl Scout Senior and Ambassador booths must have at least one girl and one adult; who must be a registered Girl Scout.

• Keep girls safe during money-earning activities. During Girl Scout product sales, adults are responsible for the safety of girls, money and products.

Booth Policies and Etiquette• Arrive and leave on time.

• Come prepared.

• Girls are to wear their Girl Scout uniform or other Girl Scout attire

• Remember that you are a guest at a place of business, and you are representing Girl Scouts. Please be friendly and helpful, considerate and caring as well as responsible for what you say and do.

• Sell only Ashdon Farms products at your booth.

• Keep your money protected.

• Wear clothing appropriate for the weather. You may be outside.

• Siblings and friends (non-Girl Scouts) are not to participate in booth sales.

• Leave the area clean.

• Thank the store manager when you are leaving.

When ordering the In-Person nut and candy orders, simply enter the number of units sold in the box after price. Unify will do the rest of the calculations for you! When you’re finished, click save and continue.

While in the Manage Orders section of Unify, you can also send helpful reminder messages to the girls in the troop.

Quick Facts! Unify allows easy access to girl information through the troop dashboard. • Hover over a Girl Scouts’ name while in the Manage Orders Tab and you will see quick info pop up. • Here you will see a summary of Online sales and In-Person sales.

CommunicationNot only can you send troops reminders via email, but you can now set reminders and notes to show up on the homepage. • Notes will be located under the messaging tab. • Click on Post Messages to enter a reminder or some encouragement to your troops. • Before saving your message, set how long you would like this to appear on the Girl Dashboard by clicking

on the calendar icon. The calendar icon next to the trefoil is also a great place to remind everyone of important dates

Wrap Up Checklist:All product has been transferred from Troop Cupboard to the girls in Unify.• If a girl is not listed, be sure to complete the Add a Girl spreadsheet and

submit to Council no later than November 18, 2018.All reward selections have been made in Unify.• This is only required if there is a choice at one or more reward levels; all other

rewards are automatically calculated.All troop proceeds listed on the T2 report in Unify have been deposited into the troop account.• There are several “proceed” line items; be sure to total them all.• If a caregiver is uncollected ensure the troop has received their proceeds,

then short pay Council.• Overpayments to Council in the amount of $20 or more will be refunded to

the troop approximately 4-5 weeks after the program ends. Amounts under $20 will be sent to the service unit.
