2016 Stanford Mass Spectrometry Research

Applications Symposium

Information for Sponsors

First and foremost, thank you for your support!

The Stanford University Mass Spectrometry Research Applications Symposium, SUMS-RAS (formerly known as the

Stanford Mass Spectrometry Users’ Meeting) would not exist without your generous support and participation. We

aim for an event that is beneficial to all involved,

and welcome your input.

The first Stanford Mass Spec Users’ Meeting was

held in 2005 – a morning of mass spec user talks

with a small gathering of 30 or so Stanford

scientists. Over the years, the Meeting has

expanded to include a full day of programming

with active sponsor participation and interaction.

Who attends?

These days, meeting attendees mainly come from

Stanford and the surrounding Northern

California area. See pie charts for 2015

demographics.

Attendee engagement

A “meet the exhibitors” game breaks the ice

and promote meaningful dialog between

exhibitors and attendees. Coffee breaks are

extended this year to provide more time for

exhibitor interactions. High-level sponsors

have the option to display scientific posters

all day, and to present a seminar and discuss

with attendees during the sponsor hour.

Keynote speaker

We are delighted to have Richard N. Zare give the 2016 keynote presentation. Professor Zare is the Marguerite Blake

Wilbur Professor of Natural Science with an appointment in the Department of Chemistry and (by courtesy) in the

Department of Physics, Stanford University. He is renowned for his research in the area of laser chemistry, resulting

in a greater understanding of chemical reactions at the molecular level. By experimental and theoretical studies he has

made seminal contributions to our knowledge of molecular collision processes and contributed very significantly to

solving a variety of problems in chemical analysis. Prof. Zare has long been involved in Hadamard transform TOF-

MS, and more recently has moved into diverse applications of desorption electrospray ionization (DESI).

Meet ing Webs ite

Current information will be available on the meeting website, which will go live a few months before the meeting:

https://mass-spec.stanford.edu/2016-sums-ras. Please send updates and corrections to [email protected].

Meet ing Locat ion: Arr i l laga Alumni Center

The 2016 meeting is being held in the same location as the past four years, at the Frances C. Arrillaga Alumni Center

– a state-of-the-art conference and event facility located on the Stanford campus. With unique meeting rooms, an

elegant reception hall and beautiful outdoor gardens, the Alumni Center is the premier location for Stanford events.

For more location information and floor plans, please refer to the Alumni Center website at

http://www.stanfordalumni.org/aboutsaa/alumni_center/conference/home.html. Talks and exhibits are located

in McCaw Hall; breakout sessions are in the Fisher Conference Center.

Wireless Internet Access

No password is required to access the “Stanford Visitor” network. A username and password will be provided in the

sponsor packet (see below) for a faster connection.

Meet ing Sponsor Packets

Upon arrival the morning of the meeting, please pick up your company’s meeting sponsor packet at the registration tables.

Level-Specific Sponsorship Benefits

2 . Park ing

Event parking will be in the Galvez Lot, across Campus Drive from the conference center (map & directions on p. 6).

3. Exhibitor Game & Raf f le

Each meeting attendee receives a raffle ticket at registration. Attendees can earn more tickets via a “meet the

exhibitors” game. Attendees are responsible for depositing their ticket stubs in the collection container at the

registration area. Sponsor reps draw ticket stubs to award their raffle prizes; holder of the matching ticket number

must be present to win. Selection of the raffle item(s) is entirely up to the sponsor; please no more than 3 items per

sponsor.

The exhibitor game is designed to promote meaningful conversations, as opposed to a mere “please sign this” request.

Each exhibitor is requested to provide 3 facts about their company for use in the game. A mix of quirky and serious info has

been proven to generate entertaining and productive discussions.

4-6. Company Logos

A high-resolution logo for your company is needed for printing in the program and other meeting publicity. If you

are a new sponsor (or if your company logo has changed in the past year), please email the logo file to

[email protected].

7. Program Insert G uidel ines

Size: Single sheet, ½ page (5 ½” x 8 ½“) Can be portrait or landscape orientation; no heavy cardstock please

Quantity: 250 copies

Date needed: Deliver pre-printed inserts to SUMS at the address below by Monday, September 26th, 2016.

Delivery address: Stanford University Mass Spectrometry SUMS-RAS, c/o Dr. Allis Chien Stanford University 333 Campus Drive, Mudd room 175, MC 5080 Stanford, CA 94305-4401

8. Scient i f ic Poster

A 4’ x 8’ poster board will be made available for sponsors to present a scientific poster. The posters are displayed all

day, and the poster session & reception is held toward the end of the day, just before the famous sponsors’ raffle.

9. Sponsor Int roduct ions

One representative from each company sponsoring at the Postdoc or Faculty levels will be introduced during the

meeting sessions and given a minute or two to say a few words. Please refer to your meeting sponsor packet on the

day of the meeting for scheduling, and check in with the session chair immediately prior to the session.

10. Exh ibit ion

Tables (2.5’x7’) for the exhibition will be set up inside McCaw Hall, around the refreshment area between the

registration and main session areas. Undergraduate level (exhibit-only) sponsors will share a table with one other

sponsor. Postdoc and Faculty sponsors will have an entire table.

Tables will be designated as shared or solo; specific selection is first come, first served. The building opens at 7 am.

Display preparation should be completed by 8:30 am, and remain in place until the closing reception. The building

must be cleared by 5 pm. For exhibitor unloading/loading on the meeting day, vehicles may be briefly parked directly

in front of the Alumni Center, with flashers on. A cart is available to help move items if needed.
