b. President’s Report.

Council Representatives. Chapter President Ed Ponder asked that council attendees provide the names and contact information of their Chapter representatives as soon as possible on the start of the 2016-2017 Fraternal Year; and he asked all Chapter member councils to pay their dues as soon as possible.

d. Secretary’s Report.

Chapter Minutes. A motion was made and seconded to accept the minutes of the Greater Dayton Chapter Meeting, Wednesday, May 18, 2016. Following discussion, during which there were no changes, the minutes were approved.

Dayton-area Representative to the 134th Knights of Columbus Supreme Convention. On alternate years, the Dayton area usually provides a representative to attend the Knights of Columbus Supreme Convention, provided that that representative is elected to do so at the Northern Archdiocese of Cincinnati area caucus at the Ohio State Council State Convention. At the State Convention Sam Robinson of Council 5129 was elected to attend and John Hoffman of Council 7981 was elected as alternate to attend.

Chapter Treasurer Bob Weaver reported that Councils 624, 3344, 3873, and 6144 have not paid their dues for this fraternal year. Chapter President Ed Ponder posed the rhetorical question about whether the Chapter should remove those councils not participating with paying Chapter dues annually and/ or not sending attendees routinely to the Chapter meetings; DD4 Frank Carchedi recommended the Chapter write a letter to the non-participating councils and see what the response is before the Chapter takes any actions with respect to removing councils from the Chapter’s roll; on Tom Forsthoefel’s recommendation, there was agreement to defer further discussion until next month’s Chapter meeting.

f. Warden’s Report. No report.

4. Chapter Service Program Reports.

a. Chapter

Greater Dayton Chapter Website. The Greater Dayton Chapter website, www.DaytonKofC.org, has a listing of the current degrees. Additionally, the website has information on Greater Dayton Chapter programs, State Warden announcements, Chapter announcements, and information from recent presentations to the Greater Dayton Chapter. DD8 Bob Burns, who is the website administrator, said among other activities, he: (i) updated the Knights of Columbus field agent page; (ii) added the Assembly 3273 “To Be a Patriot” Award video presentation on Assembly 3273’s involvement with the Final Salute Society; (iii) posted information on Naim of Greater Dayton, which is a Catholic organization for the widowed to enhance the ability of its members to adjust to their new phase in life as widowed; and (iv) added the upcoming Honor Flight dates.

Greater Dayton Chapter Paul Gruhler Award. Chapter President Ed Ponder announced (at the end of the meeting) that Bill Wirtz was the selectee for the 2016 Paul Gruhler Award, which is the award the Greater Dayton Chapter of the Knights of Columbus gives to the outstanding Knight from the Chapter’s participating councils for that Knight’s contributions to church, community, and the Knights of Columbus. A celebratory social gathering for Bill Wirtz of attendees present followed at the end of the meeting.

35th Annual Shrine/ Knights of Columbus Golf Outing. The 35th Annual Shrine/ Knights of Columbus Golf Outing was held on Monday, June 6th at Sugar Isle Golf Club, State Route 235, New Carlisle, Ohio. Proceeds from this fundraiser event were shared between the Shriners in support of the Shriner’s Children Hospital and the Knights of Columbus supporting the Special Olympics Foundation.

Chapter Picnic. Chapter President Ed Ponder facilitated a discussion, which began at the State Convention, on potential ideas to have a Chapter-wide picnic, possibly with the Cincinnati Chapter. Following additional consultation with past Chapter President John Hoffman and DD4 Frank Carchedi, Chapter President Ponder said he would provide more idea information at the Dayton Chapter’s next meeting.

b. Church

Columbian Classic Dayton Deanery Priest Appreciation Golf Outing and Dinner. No report.

c. Community

Greater Dayton Chapter Serving Those Who Served Program. DD8 Bob Burns, who is temporarily the Chapter’s Dayton Veterans Affairs Voluntary Service (VAVS) Program focal point, reported on these and other happenings with the Dayton VAVS Program: (i) the Dayton VAVS is looking for volunteer gardeners to help maintain the Dayton VA’s award-winning Grotto and surrounding gardens; (ii) there will be vintage baseball game (played by 1860s’ rules) VAVS fundraiser at the Dayton VA at 6:30pm on July 22nd; and (iii) the next dates for Honor Flight returns include Saturday, September 3rd, Saturday, October 1st, and Saturday, November 5th.

Knights of Columbus Night at the Dayton Dragons. Chapter President Ed Ponder said there still are available seats in the Knights of Columbus section at the Knights of Columbus Night at the Dayton Dragons on Saturday, July 2nd, and he encouraged the Chapter’s attendees to spread the word about participating in the Knights of Columbus Night, as well as to spread the word about Fourth Degree Sir Knights participating in the Fourth Degree Color Corps Honor Guard for the presentation of the colors at the beginning of the game. He has packets with additional information. DD5 Steve Zemanek provided additional information regarding the number registered, the registration procedure, etc., and highlighted how this is a great opportunity, which can be used as a recruitment tool.

d. Culture of Life

Ultrasound Initiative. Chapter President Ed Ponder discussed his conversations with Walt Amrein, who is the President of the Greater Cincinnati Chapter of the Knights of Columbus, regarding the Dayton Chapter, potentially with assistance from the Cincinnati Chapter, raising funds for a 4D ultrasound machine for Elizabeth New Life Center at its Sharonville location. The goal is to raise

$18,000, which will be matched by Supreme under its Ultrasound Initiative Program. Chapter President Ponder said he would provide more information at the Dayton Chapter’s next meeting.

e. Family

Dayton Family Rosary Rally. Don Coty said Fr Chris Worland, who is the pastor at Ascension Catholic Church in Kettering, will be the presider at the Dayton Family Rosary Rally XII on Sunday, October 9, 2016, at the University of Dayton Arena. The prelude music will begin at 2:30pm and the Exposition, Live Rosary, and Benediction will be at 3:00pm to 4:00pm. At the beginning of the 2016-2017 Fraternal Year, Don Coty will contact the Chapter’s member councils’ grand knights and the Chapter’s member assemblies’ faithful navigators in order to solicit funds for the Dayton Family Rosary Rally XII (in late August, he will be asking for $50 to $100 from each council and assembly). Additionally, for those councils participating in the usher program at University of Dayton basketball games, consider designating the Dayton Family Rosary Rally as a recipient of the funds earned by the participants in the usher program.

f. Youth

Greater Dayton Chapter Youth Ministry Awards. No report.

Columbian Squires. Chapter President Ed Ponder said he will be facilitating a gathering in early August of the four Dayton-area Columbian Squires circles in order promote regional comradery.

5. Ohio State Council Program Staff Reports.

State Community Director. State Community Director Tom Forsthoefel encouraged all councils to keep recruiting and to complete the Knights of Columbus Form SP-7, “Columbian Award Application,” and to submit it by June 30th.

State Retention Director, West. State Retention Director, West, Bill Wirtz said councils should establish their retention committees when organizing council activities for the 2016-2017 Fraternal Year and district deputies should encourage their councils to do so; he said the billing process should not be a council’s retention program.

Assistant State Membership Director. No report.

State Membership Director, Cincinnati. State Membership Director, Cincinnati, Mike Felerski discussed closing the remaining gap between the current status of Knights of Columbus membership in Ohio and the Ohio State Council’s quota and between the current status of Star Councils in Ohio and the Ohio State Council’s quota. He encourage all councils having candidates to schedule their Admission Degrees as soon as possible and to be sure to forward the associated paperwork to Supreme and to the Ohio State Council immediately on completion of the degree. Additionally, he discussed one-on-one recruiting and church drive recruiting and the need to ask individuals about joining the Knights of Columbus; do not assume that an individual potentially interested in the Knights of Columbus is going to take the first step. He said to encourage in candidates small involvement initially in council service program projects in order to give new members time to grow in the Order. He stressed brotherhood and fraternity and friendship as reasons for joining and emphasized the different ways an Admission Degree can be accomplished, so there is no need for a council to have a long wait to get a candidate to his Admission Degree. Chapter President Ed Ponder said councils should press ahead with degrees now

and not wait until the next fraternal year, as the Ohio State Council is extremely close to meeting its 2015-2016 Fraternal Year membership quota.

District Deputy Coordinator, Cincinnati. District Deputy Coordinator, Cincinnati, Sam Robinson reminded all that: (i) the Knights of Columbus set a new all-time record last year for charitable donations and service hours with $175,079,192 in donations and more than 73.5 million hours of service. Hence, the need continues to complete a council’s or assembly’s Knights of Columbus Form 1728, “Annual Survey of Fraternal Activity”; (ii) district deputies are to complete Supreme’s District Deputy 2016-2017 Orientation Seminar, which is a fraternal officer training webinar for district deputies. Each district deputy, regardless of years of service, is encouraged to attend this online training prior to attending his jurisdiction’s organizational meeting of district deputies. The District Deputy Orientation Seminar curriculum consists of the following module presentations: (a) duties; (b) 10 keys to success; (c) resources; (d) responsibilities; (e) administration; and (f) certification process; (iii) our Worthy State Chaplain Fr. Edward Janoch is asking all Knights of Columbus in the Great State of Ohio to pray a novena for the successful conclusion to our Fraternal Year 2015-2016, especially in our efforts to make more men better Catholics, husbands, and fathers by becoming a member of the Knights of Columbus. Please see Attachment 2 for the enclosed novena, which he asked to be prayed beginning on Tuesday, June 21st and ending on Wednesday, June 29th. Let us make the State of Ohio to be a true compass leading all to Christ; (iv) the District Deputy Semiannual Meeting will be on June 25th-26th. Councils having issues, problems, or concerns, which councils would like raised with the leadership of the Ohio State Council or with the visiting dignitaries from Supreme, should pass those issues, problems, or concerns to their district deputy in time for the meeting. For those interested, District Deputy Coordinator, Cincinnati, Sam Robinson has a copy of the agenda; and (v) the Ohio State Council State Tour will be on Saturday, July 9 th here at Dayton Council 500.

6. Fourth Degree Hennepin Province Staff Reports.

Ohio District Two, District Treasurer and Cincinnati Executive Director. Ohio District Two, District Treasurer and Cincinnati Executive Director Bob Weaver had no report.

Ohio District Two, Assistant Marshal. Ohio District Two, Assistant Marshal Jack Shaw reminded all that the Dayton-area Fourth Degree will be present for the Color Corps Honor Guard for presentation of colors at the Knights of Columbus Night at the Dayton Dragons on July 2nd. He emphasized that all participants should endeavor to ensure that their regalia is in good shape. Additionally, he asked all to recruit new Fourth Degree knights, as the next Fourth Degree Exemplification is on Saturday, September 10th.

7. District Deputy Reports.

District Deputy #4. DD4 Frank Carchedi had no report.

District Deputy #5. DD5 Steve Zemanek reminded all councils to complete their Knights of Columbus Form 185, “Report of Officers Chosen for the Term,” and their Knights of Columbus Form 365, “Service Program Personnel Report.” He said the District Deputy Orientation Seminar curriculum’s module presentations takes about two and a quarter hours to complete, although an individual can stop anytime

and then restart from where stopped. Finally, he said, in order to reduce costs, the Ohio State Council’s State Convention in 2017 will be during Memorial Day weekend, i.e., May 27-28, 2017, in Columbus.

District Deputy #6. No report.

District Deputy #7. DD7 Tim Mangan reminded all councils to complete their paperwork for Star Council, ensuring the paperwork gets submitted to Supreme, to complete their elections for the upcoming Fraternal Year, and to prepare for installation of council officers as soon as practical. Additionally, he said Supreme will no longer issue the “Surge … with Service” program manual. Instead, Supreme will provide councils multiple plastic business cards to council financial secretaries for distribution within the council; these cards state, “Visit kofc.org to review and download Surge with Service materials and other fraternal leader resource materials,” on the front side and on the reverse side these links: kofc.org/surge, kofc.org/star, kofc.org/recruit1, and kofc.org/domesticchurch.

District Deputy #8. DD8 Bob Burns reminded all councils that there still was time to meet their Supreme membership and insurance quotas, which are needed to be met by June 30 th, and to complete their paperwork for the Columbian Award and for the election of their officers and the selection of their service program personnel. He also announced several upcoming degrees, which are listed on the Chapter’s website.

District Deputy #16. DD16 Bill Wirtz had no report.

District Deputy #17. DD17 Bob Weaver had no report.

8. Unfinished Business.

Delegate Enfranchisement. No discussion. In September, Mike Thomas led a discussion on whether council delegates to the Dayton Chapter should be allowed to vote if the delegates’ councils have not paid yet their dues to the Dayton Chapter. Because the Chapter attendees could not reach a decision, Chapter Vice President Jack Shaw said then that Chapter President Ed Ponder will address this topic at the next Chapter meeting in October. At the October Chapter meeting, Chapter President Ponder said he is not ready yet to address this topic and it will be tabled until November’s Chapter meeting. At the November Chapter meeting following discussion, during which it became apparent that the Chapter Bylaws do not address this issue, Mike Thomas agreed to propose a resolution at the January meeting to amend the Chapter bylaws to address this matter, however, because Mike Thomas has been unavailable, this unfinished business is postponed until later.

Internal Revenue Service (IRS) Form 990. No discussion. Councils should have submitted their Internal Revenue Service (IRS) Form 990, “Return of Organization Exempt from Income Tax,” which typically is due by May 15th for those councils, which are calendar-year filers. Mike Gauder, Grand Knight of Council 500, asked whether the Chapter should file an IRS Form 990, although to do so, the Chapter will need an employer identification number (EIN). Chapter President Ed Ponder replied that the Chapter officers will investigate and report back regarding the Chapter having an EIN and filing an IRS Form 990.

9. New Business.

TK Hausfeld Ride for Life and Festival. A motion was made that the Chapter donate $1000.00 to the TK Hausfeld Ride for Life and Festival; the motion was seconded; on discussion, the motion was amended

to donate $500.00 rather than $1000.00; the amended motion was approved. The Chapter will donate $500.00 to the TK Hausfeld Ride for Life and Festival.

10. Council Announcements. There were several councils’ announcements, including: (i) Council 500 announced logistics details related to its hosting the Ohio State Council State Tour on Saturday, July 9 th; (ii) Council 3724 announced details of its Clark County Ride, Run, Walk for Life upcoming event on Saturday, June 25th; (iii) Council 4022 announced its installation of officers on Saturday, July 9th; and (iv) Council 4424 announced its upcoming Men’s Fellowship Conference , “Merciful Father,” on Saturday, August 6th; please see Attachment 3 for more information.

11. Assembly Announcements. Ed Hiehle from Reverend BF Kuhlman Assembly 815 said that the Fourth Degree Color Corps Honor Guard will be participating in the United Irish of Dayton Celtic Fest Gaelic Mass on Sunday, July 31st, and in the Germanfest Polka Mass on Sunday, August 14th. For those interested contact him for additional information on Assembly 815’s call-outs.

12. Knights of Columbus Insurance Program. No report.

13. OSC State Warden Remarks. SW Larry Droesch reminded all council representatives to keep their eye on the prize, especially with respect to achieving their councils’ Star Council membership, insurance, and program goals; he said the “Eye of the Tiger” is on that prize. He suggested that he’s considering asking the Cincinnati Chapter and the Dayton Chapter each to sponsor two to four Admission Degrees per year before the start of their chapter meetings; one goal of doing so is to encourage additional attendance at chapter meetings, thereby promoting the chapter. SW Droesch agreed with Chapter President Ed Ponder that SW Droesch would install the 2016-2017 Fraternal Year chapter officers at the Chapter’s September meeting. SW Droesch said to get the changes in council (and assembly) officers to Dale Bottoms ([email protected]) as soon as possible in order to update the Archdiocese of Cincinnati directory, assisting in Knights of Columbus communications within the Archdiocese of Cincinnati. Finally, he congratulated those from the Dayton Chapter area having earned recognition at the Ohio State Council State Convention, whether at the individual level or at the council level, including Herman Karhoff, who is has been an active member in the Dayton Chapter, and who is the Ohio State Council 2016 Volunteer of the Year, and Council 3724, which has been an active member in the Dayton Chapter, and which is the Ohio State Council 2016 Patriotic Award winner.
