Board of Directors Report
2015 – 2016
Date: February 5, 2016_
Office: Southeast Regional Director Chapter: Upsilon Phi
Goal: Preside over meetings for the Southeast Region and observe that Regional officers and committee
chairpersons perform their duties
Communicate electronically and via telephone with the members of the SER Officers and some
committee chairpersons as needed.
Actively preparing for the 63rd
Southeast Regional Conference in Hilton Head SC. Signed contract for 64
th Southeast Regional Conference in Atlanta, GA.
Goal: Represent the Southeast Region at appropriate activities
Attended the Fall Board of Directors Meeting in Greenbelt MD.
Attended the Spring Board of Directors Meeting in Indianapolis, IN
Attended Boule in Indianapolis, IN
Attended Pi Chapter’s 9th
Annual Scholarship Luncheon
Attended Alabama’s Connect the Dot Program in Birmingham AL
Attended South Carolina’s Connect the Dot Program in Florence, SC
Made emergency visit to Mu Eta Chapter, VI to handle imminent issues
Goal: Appoint Southeast regional committees, chairpersons, appointed officers
SER committees and chairpersons were reviewed and appointed
Serve as a resource to chairpersons and officers as needed
SER will continue with the Chi Rapid Response Team (first Responders)
Goal: Disseminate all pertinent information from national and regional to chapter basilei within the region.
Forwarded communications from national to chapter basilei on an ongoing basis
Conducted conference calls bimonthly for information dissemination
Disseminated two Service letters to Regional Officers and Chapter Basilei
Objective: Utilize principles of transformational leadership to develop global nursing leaders.
Communicated with Southeast Regional officers, Chapter Basilei and committee chairs regularlyregarding progress towards goals for the region and need for assistance.
Identified members across the region to present at the 2016 Southeast Regional Conference to
showcase the leaders within the SER.

Objective: Revisit the structure and function of the Region.
Participated in the Regional Directors’ conference call with Supreme Basileus Moving toward incorporation and group exemption.
Refined Regional program to ensure alignment with National protocol
Objective: Increase membership
Challenging each chapter in the Southeast Region to host at least one reclamation activity; with a
goal to reclaim at least one member.
Working with the Chair of the Southeast Region Expansion Committee, Technology Chair and
National Organizer to reactivate inactive chapters and pursue interest for new chapters in the region.
Chartered Graduate Chapter Xi Chi Chi, Hattisburg MS o Nov. 14th
, 2015.
Four chapters are approved for chartering.
Serve as a resource to chapter regarding membership questions as needed.
Try to discover the real reason why members are becoming inactive.
Encourage two way dialogue with inactive members.
Stress to chapters the importance to listen to what members have to say and offer.
Objective: Restructure the relationship between graduate and undergraduate chapters.
Adopted National process to align undergraduate with graduate chapters in the roster
Oriented the 2nd
Assistant Regional Director (Undergraduate member) to assist with the
enhancement of the Beta members.
Approved the Beta Round Up at the upcoming Regional.
Appointed a Beta Coordinator.
Objective: Increasing membership of undergraduates to graduate chapters Tracking the number of Betas graduating and percentage passing boards on first attempt
Tracking the number of Betas crossing over to graduate chapters
Keep an open dialogue with the Betas to help encourage their transfer into the graduate chapter.
The Southeast Region “Back to Basics through LOVE” was the platform of this regional director. In order
for us to move on and grow we must forgive. If we can forgive we can love and with love in our hearts we
can overcome any obstacle that is placed before us. I hope that I was able to achieve that goal.

2015 – 2016
March, 2015 Attended the SER conference, including the post board as First Assistant SERDirector for 2015-2016; reappointed by the body during final plenary session
April 2, 2015 Executive Committee Conference Call to discuss region, charge for parliamentarian, and brain storming for ideas to help improve SER; discussed costof regional and strategies to improve finances.
May 13, 2015 SER Executive Committee Teleconference with SER Director presiding; parliamentarian information discussed; discussed next SERmeeting, with ideas about workshops; to survey member with survey
monkey to gain feedback
September, 25, 2015 Executive Board Teleconference meeting; discussed SER, registration,workshops, etc. Still need to generate more funds to help support region.Current workshop presenters discussed; need packets by October to getinformation in for approval.
December, 2015 Conference with SER Director regarding AKB tickets for chapters. Ticket scannedand sent to director for printing for chapters. Forwarded letter for fundraiser toSER Director for distribution to all chapter; each chapter received 100 tickets at$2.00 each for Anita K. Bass Scholarship fundraiser.
January, 2016 Tele-Conference with Soror Carlon Mitchell concerning CEU packet informationand fees. Soror Carlon completed packets and will forward to Soror Killian forreview and approval. (Thanks Carlon and Robbin-without you it would not have been possible)

Madam Regional Director, Regional officers, Sorors and Fraters, the summary of activities for theSoutheast Regional Grammateus are as follows:
DUTIES:
Make an Annual Report of Official Activities at the Annual Meeting
Prepared Grammateus Report for the Book of Reports for 63rd Southeast Regional Conference which
includes duties from March 2015 to February 2016.
Record the Regional Minutes and Send Copies
The minutes for the 62nd Southeast Regional Conference were prepared and emailed.
Compile and Preserve a Record of Membership Containing the Names and Addresses of All
Members of the Southeast Region.
Preserved the copies of the chapter rosters received.
Updated the list of addresses of Chapter Basilei based on information available. Emailed 2015-2016
Directory to Executive Committee, Chapter Basilei, Beta Sponsors, Committee Chairmen and Members –
at- Large as compiled from information submitted by chapters. Directory also included Members-at-large.
Complete Correspondence Connected with the Business of the Region at the Direction of the SERD Sent correspondence to Executive Committee and chapter Basilei on behalf of SER Officers and
Committee chairmen.
Sent email correspondence to region to inform them of a “Fallen Limbs” (death of members) outside our
Region.
Sent email correspondence to region to inform them of a “Fallen Limbs” (death of members) within our
Region.
Sent correspondence to region to inform them of when a member within our Region experienced a
“Fallen Limb” (death of a family member).

Prepared and emailed the Call to SER Conference with required deadline dates, forms needed by chaptersto the Executive Committee, Chapter Basilei / Beta Sponsors, Committee Chairmen and members-at-large.
The mailing included the SER Yearly Checklist, SER Credentials Form, Necrology Form, and SER
Financial reporting form.
The Call to SER included information concerning registration and hotel information.
Compile a Book of Reports for Distribution at the Annual Meeting
Prepared Workbook to be distributed to each member registered for the Regional Conference.
Compiled reports received from SER Officers and Committee Chairpersons and ensured printing of the
2016 SER Conference Workbook and Book of Reports for Executive Committee and members who paid
fee for purchase of Book of Reports.
Prepared and secured printing for the Workbook and Book of Reports.
Serve on the Registration and Credentials Committee
Made myself available to Registration and Credentials Chairperson to assist with 62nd SERC registration.
Will serve at the 63rd Southeast Regional Conference.

Other Tasks/Activities Attended and presided at the 62nd Southeast Regional Conference held March 2015 in Montgomery,
Alabama as the Southeast Regional Grammateus.
Presented spiritual devotion to Faith Nursing Home and donated supplies with Upsilon Phi Chapter toresidents on May 7, 2015.
Compiled and sent volunteer list for SER committees to SERD.
Compiled and formatted appointed committee list for 2015-2016 SER committee list and sent to SER
Executive Committee, Chapter Basilei, Committee Chairman and Members at large.
Conducted ongoing email and telephone communication with the SER Director.
Attended and participated in the South Carolina Connect the Dots program on February 27, 2016 in
Florence, South Carolina hosted by Upsilon Phi Chapter.
Attended the Memorial Service of Past Supreme Basileus Verdelle Bellamy. Compiled and emailed SER Directory.
Discussed agenda and assisted in drafting agenda for the 63rd SER Conference.
Performed ongoing communication with chapters, committee chairpersons, and Regional officers in the
SER.
Answered questions and referred questions to appropriate individuals regarding SER business.
Sent correspondence to SER Executive Committee and Chapter Basilei as requested by SER officers andSER committee Chairmen.

March 18th-22nd, 2015 – Attended the 62nd Annual SERC in Montgomery, Alabama.Functioned as the Southeast Region Tamias
Frequent visits to Regions Bank to care for financial business for SER. Many months spentresearching and tracking funds paid by members with the assistance of the SERD. Audit Chairreviewed vouchers and receipts for deposit and disbursements
April 7, 2015, successful in getting American Century Investment Account out of dominatestate due to years of no activity. Required several correspondences via email and telephonecalls since March 23, 2015
Frequent visits with documentation to Wells Fargo Bank to remove CD Account out ofdominate state due to no activity since 1996. Successful as of May 1, 2015, after six weeks
May 16, 2015, participated in May Fest doing health activities with local chapter, PHI CHI,Augusta, Georgia
Received SPOTLIGHTER of QUARTER Certificate at PHI CHI’s Chartering AnniversaryEvent
Coordinated incoming and outgoing funds for 2015; working closely with Audit CommitteeChairperson, C-vent Chairperson, SERD and National in an effort to obtain appropriatevouchers, receipts and signatures for reimbursements, payments and finance reports of SERMembers. This was done via postal mail, telephone and emails
April 2015, attended Nurse Showcase Annual Celebration, Augusta, Georgia
Taught several classes on Sexually Transmitted Infections t/o the year to Soldiers of all branch
of military services August 3, 2015, appointed Fort Gordon, Georgia’s HIV Nurse Coordinator/Program Manager;
inclusive of Puerto Rico, SOUTHCOM Florida, Sumter, South Carolina and Atlanta, Georgia
Attended Boule’ in Indianapolis, IN and served as delegate for PHI CHI Chapter. Elected toserve on Nominating Committee representing the SER
October: attended two days training in Macon, Georgia: HIV Testing & Counseling
October, 2015: started researching ON LINE Registration for the SER.
Donated to two families of financial needs for Christmas with my local Chapter, PHI CHI,Augusta, Georgia
September and October 2015, participated in vaccinating >10,000 people in Flu Campaign(injection and nasal spray) at Fort Gordon, Georgia
Participated in all scheduled conference calls with the SERD and Executive Officers
Face to Face consults with three Accounting Firms regarding an Audit. Consulted with theExecutive Board of information received that will be the best for the SER. In conclusion,financial records have been submitted to a CPA and waiting report.

Thank you for the opportunity to serve as your SER Tamiochus, Registration Chair and WebsiteTechnician. Thanks to the SERD, SER Tamias, other Regional and National Officers and the SERWebmaster who have provided me with assistance on this journey.
Communicated with SER Tamias to look at and evaluate the possibility of online registration.We researched this possibility with two online providers without success due to high cost.
Developed Registration form with assistance of Tamias and SERD; Minor changes were made ontwo forms. Forms listed below were emailed to Chapter Basileus for distribution to chapter
members, Regional Officers and placed on website @ serchietaphi.org to facilitate registration.

Regional Website.
Communicated with SER Webmaster to provide the 2016 SER Conference Information on ourWebsite. Communicated with Chapter Basileus for Chapter Rosters to be placed on Website.Thanks to those who provided the information.
Communicated with Outgoing SER Tamiochus. Received Transmittal Forms with checks, whichwere then submitted to the SER Tamias. Records were also received.
Communicated and received the list of contributors from the 2015 Conference. Same informationwas shared with the SERD and SER Tamias.
Received 2016 SER Financial Reports, Credential Reports and Member Registrations withapplicable fee. Chapters and member were notified of discrepancies and corrections requested.Monies forwarded to SER Tamias for deposit. Communicated with SERD related to progress ofregistration.

BUDGET AND FINACE COMMITTEE REPORT
Board of Directors Report
2014 – 2015Madame Regional Director, National Officers, Regional Officers, Sorors, and Fraters, asummary of activities is as follows:
October 31, 2015: Informed two budgets will be required for proposal at SERC 2016.Immediately started researching and consulting the difference of two budgets (Operational andConference).
Mid November 2015 started soliciting members from several chapters to serve on the Budgetand Finance Committee via emails and telephone calls.
January 2016: committee diligently working and discussing budgets via conference calls,emails and telephone calls.
January 28, 2016, submitted first drafts of budgets to SERD, as requested, to be sent to ChapterBasileus(s). Comments, suggestions, questions, etc. were requested to be sent directly to theChair for committee to convene to prepare responses.
February 15, 2016: After receiving questions, comments, suggestions, Committee had aconference call and finalized two budgets for submission in Book of Reports for membership.

BYLAWS COMMITTEE REPORT
Board of Directors Report
2014 – 2015
Activities:
1. Southeast Region Bylaws Committee submitted the 2015 SER Bylaws using the RegionBylaw Format Sample to the National Bylaws Chair for approval.
2. SER Standing Rules that were included in the Articles of the Bylaws were removed fromthe list of Standing Rules, other Standing Rules remain as previously written.
3. A Proposed Bylaws Amendment is being held until final approval of the 2015 Bylaws ismade.
4. Approval of the 2015 SER Bylaws from the National Bylaws Chair has not been received prior to the dateline for submission of this report. Upon approval the SER Bylaws will bedistributed as required.
4. The SER Bylaws Committee will continue the function of SER Bylaws Article IX CommitteeSection 2, in preparation of future amendments to SER bylaws.

1. Exceptional tour, truly wonderful to be a part.
2. A walking tour would have been well received by the attendees. Did walking tour on my own.
3. Host chapter cordial and eager to help.
4. Unable to attend any Support chapter activities due to extremely long plenary session.
5. Time was not appropriately placed to view all tours in its entirety.
6. The tour to Tuskegee and Auburn was awesome. However, I thought that the tour to Selma was
included in that price. The Selma tour was extra, and was already full when it was announced
during the Plenary session.

1. Was not made aware of “green” book with reports in it from credentials area.
2. This was an educational conference and activities.
3. Observed some bylaw changes were redundant.

6. I would like to see a two tier registration: one to cover all workshops/luncheon/breakfast; second to cover

9. Difficulty with getting a seat at the Anita K. Bass Luncheon.
10. The plenary sessions ran much too long. The debates regarding financial issues became borderline hostile.
11. Too many sorors continued to harp on the negative.
12. Need to be able to sit with the chapter, not state for delegate seating.

please don’t talk down to others.
OVERALL CONFERENCE RATING:Please rate the entire conference using the following rating scale:

Comments:
1. The financial issues weighed heavily on the conference; attendees feel there was no transparency in
the actions of the board.
2. If you are going to charge more for the conference, need to offer more seminar variety at the same
time vs. just two seminars.
3. Notify chapters of financial issues prior to the conference.
4. Adhere to time schedule. This has not been a good conference.5. I think we have a way to go before we are professional women.
6. Excluding the negative tone, and issues with finances, excellent.
7. I enjoy attending SERC will continue to do so.
8. Registration was handled poorly as tickets and delegates identifiers were left off.
9. All past SERDs should have attended the Lateral Violence workshop.
10. The conference tone was very unprofessional. X2
11. The food during the breaks was good, we just need more time on breaks so that everyone is
served.
12. Book of Reports should go to all registrants of the conference, even if an additional fee is added to
the registration.
13. The closing Plenary was too long. X2
14. Poor communication to the membership to vote on important issues.
15. Encouraging sorors to bring families is not conducive when schedules are not adhered to.
16. The issues from the last conference tainted this conference.
17. SERC was very disorganized this year. No structure.
18. Great experience, maybe more interactive activities with sorors and fraters.
19. Appreciate all the host chapter did to provide us with a good experience.
20. Be mindful not to talk down to the Betas.
21. If the rates are increased please include breakfast and lunch daily.

10. Negative tone, lack of sisterly love demonstrated at delegates meeting. X3

8. Handouts for all workshops, including Leadership Breakfast.
9. Music during the luncheon.

Purpose:
The Awards Committee is responsible for: Receiving and reviewing applicants for regional awards
Sending information to chapters regarding deadline for submitting applications for the Beta Image Award,
the Beta Highest GPA Award
Sending information to chapters regarding deadline for submitting applications for the Soror/Frater of the
Year which is done in the odd year.
Reviewing applications and making recommendations to the Regional Director
Meeting with the credentials committee during the SERC and prior to the Anita K. Bass luncheon todetermine the highest number in attendance and the greatest percentage of chapter members in attendance
for the Graduate and Undergraduate chapters
Presenting awards at the Anita K. Bass luncheon
Goals:1. Give recognition to Graduate and Undergraduate chapters in the Southeast Region that continue to support
the Southeast Region through attendance.
2. Recognize Beta Chapter members’ who’s Academic Achievement have been exemplary and evident by
GPA.
3. Recognizing the Graduate Soror/Frater of the year.
Purpose:1. A letter of information was sent to the Graduate Chapters, Beta Chapters or Sponsors and the committee
members by email.
2. Awards and criteria were identified for the upcoming year with deadlines for submission included.
3. Entry judging will take place at the SER Conference.
4. Recognition of Chapters and Betas will take place during the Anita K. Bass Luncheon.

MUSIC COMMITTEE REPORT
Board of Directors Report
2015 – 2016
From February 2014 to September 2015, I was hospitalized ten (10) times and had
four (4) surgeries. Therefore, I was unable to perform any of the duties of the
Chairman of the Music Committee or the Pianist.
I was informed by some of the members of the SER Conference Choir that there
were volunteers to play for the Choir and the Choir did sing well.
I thank the musicians who filled in and the members of the choir for their
commitment and dedication in my absence for the 61st and 62nd SER Conference.
I thank you, SER Regional Director, Supreme Basileus of Chi Eta Phi Sorority, Inc.
and other members of the Sorority for your prayers, cards, calls and concerns
during my extensive period of illness.
I am grateful to God for His miraculous healing power. I am doing well.

Madam Regional Director, Regional Officers, Sorors and Fraters, the summary of activities for theSoutheast Region Chi Rapid Response Team Committee are as follows:
Attended and participated in the 62nd Southeast Regional Conference.
Communicated with the Chi Rapid Response Team (CRRT) Co-chairman regarding theexpectations for committee during the 62nd SER Conference.
Solicited volunteers to serve on the CRRT by sending request to chapter Basilei to pool their
members on desire to serve on committee.
Prepared health bags for committee members to use for medical first aid during the 62nd SERC.
Provide health tips for Grammateus to place in Conference Workbook.
Lime green Health bags with medical cross provided to committee members.
Green and yellow stoles with XHO on one end and the red medical cross with CRRT on other endwas provided to committee members for ease of visibility to members in end to identify rapidresponse team assistance.
I would like to thank the members of the SER CRRT for volunteering to serve and for theirwillingness to provide rapid response to any Soror/Frater in need.

Dixie Classic FairgroundsCrop Walk
The sorors of Chi Chi Beta volunteered at theannual CROP Walk for Hunger in Winston-Salem,
NC. We assisted with set up, passed out t-shirts,
and prepared snack and water tables for the
participants.
Kidney Triad Walk The Sorors of Chi Chi Beta Chapter volunteered at
the annual Kidney Triad Walk in Winston-Salem,
NC. We assisted with registering individuals,
passed out t-shirts, and prepared snack and water
tables for the participants.
JDRS Triad Gala The Sorors of Chi Chi Beta Chapter participated inthe Juvenile Diabetes Research Foundation Gala in
Winston-Salem, NC. We assisted with greeting
individuals and assisted them in navigating
around the Gala.
Study Session for Junior
Nursing Students
The Sorors of Chi Chi Beta Chapter participated in
a Summer Study session for the junior class
nursing students. This program allowed for
individuals to gain a better understanding of their
courses.
Sickle Cell AwarenessProgram
The Sorors of Chi Chi Beta Chapter raisedawareness to our peers on campus about Sickle
Cell Anemia.
Childhood Obesity Program
at B&G Club
The Chi Chi Beta chapter attended a local boys
and girls club and taught children, ages 6-12,
about the importance to exercising.
Health Fair Event The Sorors of the Chi Chi Chapter obtained vital
signs and passed out fliers about hypertension,
Diabetes, and safe sex to our peers on our campus.
Dental Clinic The Chi Chi and Chi Chi Beta Chapter attended aDental Clinic in the local area and helped patients
check in and obtained Blood pressures.
