    Dear Marching Band Member:

    Welcome to the 2015 Seventh Edition of the Marian University Marching Band!

    You are part of the largest and most visible student organization at Marian University. The importance of the band is greater than any one of us, but it could not exist or succeed without our individual contributions. You are a vital part of this family, and we look forward to sharing a great year with you!

    This packet of information is our official Band Camp Mailout. Please read ALL DOCUMENTS IN THIS PACKET as you are responsible for the information contained within them. Taking care of all of the needed items in advance of your arrival on the Marian University campus will help us have the most successful band camp possible.

    New for 2015-16, our band camp move in date has changed to Monday, August 10, 2015! This is an exciting improvement in what we will be able accomplish together this fall! A tentative band camp schedule is attached. This will be updated and posted on our Facebook page later in July.

    The change in date was a decision by our housing and student life people and no the Directors or Department of Music. The Monday Move-in is intended to help make Knight Quest more organized and more expedient for all involved. When moving in large numbers of students on a Sunday as in previous years, students were often hindered by the fact that not everyone in all offices involved with Knight Quest would be on campus and open for business. Moving in on a Monday ensures that everyone is here, every office is open, and every problem can be solved that day, rather than having to wait until the next business day. This should not affect our camp other than starting a day later.

    The MU Marching Band performs a different halftime for each of our home games. However, we also have an exhibition show that we work on and develop throughout the season. Our 2015 exhibition show will use the music of Imagine Dragons and others to create the energy of technology-laced rock music. This show will be our most contemporary to date! We dont do theme shows and our shows dont have names. We are just The 2015 Marian University Marching Band, but everyone that sees us is going to remember us! Please contact us as soon as possible if you have any questions. Once August 10 arrives, the band will operate at 100 miles-per-hour! Dont delay in taking care of any arrangements or details that need to be organized prior to that day.

    This document will help you know what to expect during band camp, rehearsals, and game days.

    1. No walking on the band f ield! Run back for two reasons: It saves time and its a tradition in the Marian University Marching Band.

    2. Recommended wear for outside rehearsal is shorts, t-shirt (preferably the newer moisture-wicking fabrics), socks and comfortable athletic shoes. Any time the band is in St. Vincent Health Field, everyone in the band will wear a designated shirt. Shakos will be brought to the stadium for ALL rehearsals.

    3. We share our EcoLab rehearsal space with athletic teams, bird watching clubs, elementary school field trips, MU life sciences classes, intramural sports teams, and more. However, the band ALWAYS gets the blame when trash is left. Take pride in this space and help keep it clean by picking up ALL trash, even if you know it is not yours.

    4. Absolutely NO playing outside until your section warms up together. This includes walking across campus, or on the way to the field or stadium. Very important meetings and/or martini parties take place in the Allison Mansion, which youll walk right by every time you come to the rehearsal field. Pecking on your drum or honking on your horn outside the Allison Mansion could jeopardize the bands rehearsal and/or ability to use the EcoLab in the future.

    5. Parking at the EcoLab is a problem. Only staff and designated students who haul equipment for the band (tubas, water coolers, etc.) may park at the EcoLab. All vehicles must park in the gravel parking lot and not on the grass.

    6. Bring sunscreen and insect repellent. Bugs are not usually a problem, but when they appear it is in swarm-type events at our rehearsal field. Bugs also swarm in the stadium believe it or not.

    7. Bring your own personal cooler of ice water to every rehearsal block. Staying hydrated is critical to success in any athletic activity, and ESPECIALLY critical during our marching band camp. Remember, its an August November marathon, not a sprint. If you try to push your luck rather than taking care of yourself, you may or may not be successful. If you stay hydrated, you WILL be successful.

    8. NEVER assume a rehearsal or performance is cancelled because of inclement weather. If it is raining at the start time of a rehearsal, come to the music building. DO NOT CALL OR TEXT THE BAND DIRECTORS.

    9. During band camp morning rehearsals, your shoes and socks will get very wet from the dew on our field. If you buy new sneakers for school, keep your old ones and use them on band camp mornings. Dew is not a problem after band camp. It is not recommended to buy a new pair of $100 sneakers for band camp!

    TRADITIONS

    1. TRADITION: Act like youve been there beforewith a spotless horn. 2. TRADITION: Our football stadium, St. Vincent Health Field, is hallowed ground. Its where our 2012

    National Championship was earned. Any time the band is in the stadium, the drum majors will designate a specific shirt that will be worn for that days rehearsal. Shakos will ALWAYS be brought for every rehearsal in the stadium. This will help us look more uniform and professional, and make sure that we have a performance mindset whenever we are in the stadium.

  • ! Page 2 July 6, 2015 3. TRADITION: No walking on the band field. Get out of your comfort zone and hustle! 4. TRADITION: We have simple and clear grooming standards when in uniform. Gentlemens faces must be

    clean-shaven, no tattoos or jewelry (including earrings and bracelets) may be visible, and visible hair must be trimmed short. All other hair must be up inside the shako or baseball cap and not visible. Ladies hair must be entirely up in the shako or baseball cap at all times. Flyaways must be controlled with hair products. Ladies may wear MU Band earrings. No other tattoos or jewelry (including bracelets) may be visible.

    5. TRADITION: We adopt our new members into the band family on the first day. Each new squire will have a Band Mom or a Band Dad, whose family history traces back to the first MU Marching Band in 2009. In your second year, you become a Band Mom or Band Dad. Every members family goes back to the 2009 band.

    6. TRADITION: We cheer with the cheerleaders any time they are cheering. Battery percussion in the stands will learn some simple cadence-type diddies to play with the cheers that reinforce the cadence and rhythm of the cheer. The more synergy that we can create at games, the better!

    NEW FOR 2015

    1. New for 2015: We are going digital! A major program goal for the 2015-2016 year is to improve communication by moving everything to your smart phone or device. Well show you more at camp, but we think youre going to like having all the information you need with you all the time.

    2. New for 2015: Band physical exams go through the Health and Wellness Office as part of your medical clearance. Participation in marching band requires FOUR preparticipation clearance forms completed and submitted to the Student Health Center: 1) Band past medical history form, 2) band physical form, 3) Student Immunization form and 4) Student Health Record. All FOUR documents must be updated EACH YEAR.

    3. New for 2015: After considerable discussion and collaboration, we have decided to expand our experimentation with percussion in our exhibition show. We successfully explored the idea of switching battery players into non-traditional roles in our 2014 ballad. In our 2015 exhibition show, all percussionists will form a single percussion ensemble with each individual assigned roles based on his/her strengths. This allows us to write a more integrated percussion book heavy in the use of cutting edge technologies and techniques. For everything else outside of our exhibition show (pregame, pep rallies, spirit events), all percussionists will form a 15+ person battery! More information will be provided to percussionists prior to camp.

    4. New for 2015: Were expanding our use of SmartMusic. Every musician in the program will now have small assignments due on Fridays, starting at band camp. Last year our assignments were too large and infrequent. Were going to try smaller five-minute assignments due each week to help build skills.

    5. New for 2015: We have begun partnerships with IUPUI and Ivy Tech. Students from those schools may now participate in the MU Marching Band through a credit exchange program. Our band family will grow this fall with several new students from these fine institutions!

    1. The band is the soundtrack for the game. Everything we do and everything we play is related to the game on the field. If you do not know NCAA football rules, learn them! This will allow you to anticipate what tune we will play next. The easiest way to learn the rules is to play NCAA Football by EA Sports on a gaming console.

    2. Organized cheers are always better than acting silly or goofy. Instead of trying to be cute by yelling random things at referees or players (who cant hear you anyway), cheer with the cheerleaders or start a school cheer. Youll be surprised how many people join you!

    3. Only current band members should sit in the band section. There is space in the front row of the band section for friends, parents, alumni, and other guests. If friends come to visit you, move to the aisle and keep it briefthe band has a job to do!

    4. When the band is entering or leaving the stands, JOG up or down the steps. It takes a very long time to get the band into and out of the stands. Every second counts!

    5. If you have a restroom emergency, notify someone in your section and go. No more than one person should be gone at any one time.

    6. There are no breaks to go to the concession stands. Please eat before or after the game. Ice water is available in the band section at all times.

    7. NEVER USE PROFANITY! It shows a lack of class and reflects negatively on the band. 8. Cell phones and sunglasses are not part of the uniform. Nothing looks worse than a photo or video clip of the

    band in the paper or on TV where somebody is looking down at a phone instead of playing.

    ON GAME DAY

    1. As a member of the Marian University Marching Band, you are the biggest part of the best stadium atmosphere and home field advantage in the NAIA.

    2. EVERYTHING you do on Game Day is part of the show! Once you walk out the door of the music building or dorm, you are on stage in full uniform.

    3. Be courteous and professional to everyone you encounter. Most people do not know band culture. 4. Never run in uniform, even if you are late for warm up. Walk briskly, with intent until you meet the band. 5. No playing outside until your section warms up together. This includes walking across campus, or on the way

    to the field or stadium.

    INSTRUMENTALISTS

    1. Instrumental ists: Every time you play a note, your instrument must produce a quality sound. Always strive for the highest musicianship, regardless of your surroundings. YOU WILL GET TIRED in our band, and as you get tired, you have to work HARDER to play well. Keep yourself and your instrument under control at all times.

    2. Instrumental ists: We play in the stands. A LOT. We strive to play whenever the ball is not in play. Make sure you understand this is an expectation of a university band, and one that your predecessors in our band worked very hard to make sure that our band does well. It is your responsibility to continue that tradition.

    3. Instrumental ists: Strive to play the first note of EVERY PIECE after every play. You do not have to wait until the tune is called to put your horn up. Work on memorizing offense and defense cheers to be more efficient.

    4. Instrumental ists: Keep one hand on your instrument at all times. NEVER set your instrument down in the stands or on the field. It WILL get stepped on or knocked off the bleachers and damaged, or possibly ruined.

    The Marian University Marching Band uniform was created in 2009. The uniform is a carefully designed blend of traditional and contemporary styles. We go to great lengths to make sure the uniform is clean and perfect. We take great pride in caring for the uniform. We hold every MU student who wears the uniform to the same exceptionally high standard that was started in 2009.

    In 2013, the band switched to Shakos from the original Cadet Hats. It is of extreme importance that the white, cloth shako be handled carefully. Take every measure to make sure it does not get stains or fingerprints on it. Always set the shako down with the brim of the hat on the bottom rather than setting it down like a bucket. Handle plumes correctly and insert/store them by grasping the metal part first.

    WHAT TO WEAR WITH THE UNIFORM

    When performing in uniform, well wear with the uniform:

    1 pair of black MTX marching shoes (NOW PROVIDED BY THE BAND!) Plain white t-shirt/undershirt Athletic shorts or compression shorts (i.e. UnderArmor, etc.) Long black socksno low-cut, or ankle socks of any kind When performing not in uniform, well wear:

    Band shirt (issued at band camp) Khaki or tan shorts (cargo shorts are acceptable)

    Athletic shoes which are primarily white, black, or grey in color

    In order to take the best possible care of our students, each band member must undergo an annual physical examination and present updated medical records annually to the Health and Wellness Office. ALL FOUR of these forms MUST be completed and returned to the Student Health Center before a student will be allowed to participate in the Marian University Marching Band.

    ATTENDANCE RELATED ITEMS

    The purposes of the following documents are explained below: Registering for Required Classes All band scholarship students, and non-scholarship marching band students should register for MUS 103 University Band (MWF 3:30-5:30, TR 4:30-6:00) for the Fall semester. Additionally, all scholarship band students should register for a 30-minute MUL (.5 credit) private lesson. Please do this as soon as possible so that we can plan accordingly. ALL SCHOLARSHIP STUDENTS MUST MEET WITH THEIR PRIVATE LESSON INSTRUCTOR ON THE FIRST WEEK OF CLASSES! Band Camp Confl icts If you will miss any part of band camp rehearsals for an unavoidable conflict with another campus event (i.e. RA training session, San Damiano Scholar retreat, August SOAR, etc.) please fill out the Conflict Approval Form and mail or email that to the bands office immediately. ALL conflicts should be approved with this form. If you do not submit a conflict approval form, then you will be expected to be at all rehearsals and performances for band camp week without exception. Fal l Semester Class Confl icts If a course that is required for your major is in conflict with MUS 103 University Band (MWF 3:30 5:30, TR 4:30 6:00) rehearsals in the fall semester, please fill out a Conflict Approval Form for each course and mail or email that to the bands office immediately. ALL course conflicts should be approved with

  • ! Page 6 July 6, 2015 this form, even if you have discussed it with the Director of Bands. An approved Conflict Approval Form must be on record to avoid grade reduction. Absences Any band function that is missed requires an Absence Documentation form to be turned in for the absence to be considered as excused. Emails and phone calls are appreciated as good communication, but any excusable absence will yield some type of document that must accompany your Absence Documentation form. Without this document and form, an absence is considered as unexcused. Your cooperation in registering for all the necessary classes and understanding how our attendance procedure works will ensure that we get the maximum impact from every moment of band rehearsals.     Sign your Scholarship Agreement if you are on scholarship and have not signed a 2015 Agreement.

    Fill out and sign your Release & Assumption of Risk form.

    Work out any class conflicts with band on MWF 3:30 5:30 using the Conflict Approval form.

    Return all three of the above forms to the band office: Marian University Band, 3200 Cold Spring Road, Indianapolis, IN, 46222.

    Get your physical and complete all associated medical paperwork. Return to the Student Health Center: Marian University Student Health Center, 3200 Cold Spring Road, Indianapolis, IN, 46222.

    Pre-Register for Band Camp at our Facebook page or https://www.surveymonkey.com/s/mubandcamp

    Add performance dates from the band calendar to your calendar including playoffs and Nat.Championship.

    Register for MUS 103 University Band class and a 30-minute (.5 credit) MUL-1XX music lesson.

    IUPUI and IvyTech students are not required to take lessons at Marian University.

    Notify [email protected] whether you want to add any guests to the comp ticket list for home football games (Each band student can add two people this includes IUPUI and IvyTech students).

    Check the bands Facebook page often (SmartMusic info will be posted there in a couple of weeks).

    Respond promptly to all calls and correspondence from the band!

    Buy your supplies for band camp, including water bottle/cooler, sunblock, plain white t-shirts, athletic shorts, and long black socks.

    This agreement is between the Marian University Marching Band and _______________________________________ for the academic years 2015 2016.

    The aforementioned student will remain as an active member or a member in good standing with the Marian University Bands as defined in the Marian University Bands handbook. Active membership and good standing are contingent upon the students agreement to abide by the following regulations:

    1. The student will represent Marian University, the School of Liberal Arts, the Department of Music, and the University Bands in an exemplary manner at all times.

    2. The student will establish and maintain the minimum cumulative grade point average (GPA), as established in the Marian University catalog, under the Academic Probation and Dismissal section.

    3. The student will establish and maintain good academic and social standing with the Office of Student Life. 4. The student will attend all scheduled rehearsals and performances. 5. The student will successfully participate in the following courses, earning a grade of C or higher each semester:

    Woodwind and Brass Marching Band 30-minute private lesson

    Concert Band, Basketball Band, or Jazz Ensemble

    30-minute private lesson

    Percussion Marching Band 30-minute private lesson

    Failure to abide by any of the aforementioned regulations can result in dismissal from the bands program and/or revocation of music and/or band scholarship monies.

    I certify that I hereby release and forever hold harmless any claim, cause or suit against any agents, employees, representatives and/or members of Marian University which may arise out of my participation in TRAVEL WITH THE MARIAN UNIVERSITY BANDS PROGRAM. I acknowledge that while on the trip I am a representative of Marian University and shall act accordingly. I understand that during this Marian University trip all policies of the university apply and I am responsible for understanding and abiding by the Student Code of Rights and Responsibilities. I will abide by all university and travel policies. I recognize that I can be held financially responsible for any damages incurred by my actions. Further, I acknowledge that this is a substance-free university sponsored event. I will not consume any alcohol or illegal substances on this trip, regardless of age.     Requests for exemption to these requirements based on religious grounds must be made in advance and signed by the student.

    A medical exemption will be granted upon receipt of a written statement from a healthcare provider indicating the nature and duration of the medical condition which contraindicates an immunization, along with the specific vaccine identified as detrimental to the student's health, certifying pregnancy or suspected pregnancy, or verifying that the student is currently completing the course of all required immunizations. Medical exemptions expire when the medical condition(s) contraindicating immunization change in a manner which permits immunization.
