If there is one thing I’ve experienced in my 31 years of Microsoft Dynamics, it is

change. I started back in the day before IBM had personal computers! Just think of

the tremendous changes we have since adopted and can’t live without.

We are living in exciting times. Many of you are upgrading and taking advantages

of the great work of Microsoft Dynamics GP 2013, which means you likely made a reporting

solution switch. Perhaps your field team is asking for device connections, or your management

wants easy access to business intelligence. This is a lot of change, and oftentimes it comes at a

pace faster than we can manage.

While exciting, change can also be stressful. Here’s a great quote from Albert Einstein on

the subject: “The measure of intelligence is the ability to change.”

In order to get ahead as a company or a professional, you need to accept change. We live

in a fast-paced world where changes are exciting, required, and necessary. Now more than

ever, networking with others who have or are experiencing the same changes as you is very

important.

GPUG® offers several educational and networking opportunities to leverage as you go

through change. We host regular Special Interest Group (SIG) sessions, Regional Chapter

meetings, Distance Learning, and GPUG Collaborate, to name a few. Never in the history

of Microsoft Dynamics have you had so many opportunities. It’s time for change and to get

connected so you can keep up.

In this issue, you will read about experiences our Members have shared with us as well as

changes they are undergoing. You’ll hear from Microsoft on new updates including Microsoft

Dynamics SmartList Designer. You’ll gain insight into security changes, an important concern

with all that has recently unraveled in the retail industry. This robust magazine is a must-read

issue full of great learning; please share it with others in your office.

What made you decide to become a GPUG® board member?

I did it to help continue the GPUG vision, help with GPUG direction and

decisions, be a part of a great organization, and, ultimately, get the message

out to Microsoft Dynamics GP Users that GPUG exists and can provide

great learning and resource opportunities.

What is your vision for GPUG?

My vision is to see continued growth in Members, continued education of

Microsoft Dynamics GP Users, and more online/offline tools for Users to

access to grow or enhance their knowledge.

What made you decide to become a GPUG board member?

There were many things that I wanted to bring to my local chapter that I felt

could help. When I was approached to be on the board, I saw an opportunity

to take those ideas to the top and flush them out with other board members.

On a more personal note, when I see something of value, I go after it and

want to participate. This is one of those things. It has value, and every

month it is actively creating additional value for the GPUG community. I am

honored to be a part of it.

What is your vision for GPUG?

There is not one single vision for GPUG. Every quarter we have ideas and

questions that are addressed by all board members. My “vision” includes the

great ideas of the group, ultimately creating a unified vision.

Write up goals as if you are starting over; document your must-haves. Pool talent of your staff, do you have SQL

talent, etc. Research available replacements. Ask fellow peers for advice on GPUG Collaborate. Attend Special

Resources. Begin to graph out points you find on options; know where must-haves are covered. Consider ROI.

Leverage the Microsoft FRx migration tool. Evaluate reports that are most important and put a plan together

on what should migrate to MR; make plans for dropping unused reports; research the leveraging of other tools

to make reporting easier.

Start by using Microsoft Excel and record what you think you want to track. From there, tweak and come up

with a proven list of reports. Consider leveraging Business Analyzer, and use the dashboards provided. Once

you know what you want to monitor, use these tools or consider a third party who specializes in this. NOTE:

Start with what already exists and let it evolve. Understand that true BI will be constantly changing, so do not

wait until it’s perfect to use.

Average User is only using 30 percent of what Microsoft Dynamics GP offers. First consider doing a “wellness

check” with your Partner. Leverage educational offers available such as webinars, 50 tips, books on Microsoft

Dynamics GP, etc. Then conduct internal education through lunch and learns or quick sessions. Start with one

new process a month and go from there. Soon new processes will become habit for everyone. You will soon

gain a better ROI on your investment and processes will improve.

Conduct a process review with your staff. Understand if they are doing processes as planned; improve where

you can. If you don’t process data correctly, your reporting will not be accurate. Have employees understand

the importance of what they are doing as it pertains to reporting and then ultimately to business decisions.

To automate, first have manual processes well-defined and documented. Perfect them and then begin to

automate them. Consider setting up Business Alerts. Schedule reports that help with checkpoints of how

work is being done. Do process reviews annually with your Partner or during changes in operations.

Staying on a supported version is far too important to ignore. Set up a documented plan to plan and execute

Understand if customizations are needed and what the upgrade path will mean. Understand implementation

plans, training, and support practices.

Consider moving to Web client. When considering third-party apps, ask for their roadmap and strategies for

devices. Have a BI strategy and process in place before you implement devices.

Make a strategic decision on when you need to close month- and year-end. Then work backwards on a

scheduled plan. Consider Accolade Publications’ book on year-end (www.accoladepublications.com). Take

GPUG Academy course on best practices. Review past GPUG webinar recordings.

Keep dialed into GPUG Collaborate for what topics are hot. Sign up for blog postings (GPUG Bloggers Corner,

www.gpug.com/member-resources/bloggerscorner/). Set up a test system so that you have a playground to

try things. Set up a calendar on taking time to learn. Attend meetings and conferences to hear from peers.

Read books on Microsoft Dynamics GP. Once you uncover new processes, plan on how and when you share

with other Users. Make learning a planned practice.

Attend the new Security SIG. Schedule regular internal audits to check on policies and procedures. Ask Users

to do tests on other processes to see if they can break things in the test environment.

Schedule time to review service pack and roadmap information. Add http://Connect.Microsoft.com to Users’

desktops so that they contribute updates/suggestions themselves. Make it someone’s role to own updates

so that they will understand what is happening and when. Consider the ROI on projects before you move. If

possible, train internal staff to do upgrades instead of relying on your Partner.

Attend or watch recordings of the GPUG Integration Showcase Series to understand tools available. Hire talent

to do and manage integrations. A good database administrator is key in having solutions work well together.

When considering third-party solutions, know what their plans are for upgrading/tools/training when it comes

Aaron Back’s agenda for the year ahead

makes a couple of things abundantly

clear. He’s passionate about growth.

And he’s confident that Microsoft

technology – specifically, Microsoft

Dynamics technology – is the way to make it happen.

Aaron is IT systems administrator for The

Gorilla Glue Company, which for more than a

decade has been selling glue first discovered in

Indonesia. From its four-building headquarters

in Cincinnati, Ohio, the company offers Gorilla

Glue, Gorilla Tape, Gorilla Super Glue, Gorilla

Wood Glue, and Gorilla Epoxy. The glue products

are sold at many large retail chains as well as

independent hardware stores. The company

also sells skin creams developed specifically for

people with extremely dry skin through O’Keeffe’s

Company (www.okeeffescompany.com), part of

The Gorilla Glue Company.

“We started out with a focus on sales and

marketing, getting the products out and creating

brand recognition,” Aaron says. “Slowly we’ve

evolved into manufacturing right here in

Cincinnati.”

The Year Ahead

Tying the separate units and functionality

together is a powerful lineup of Microsoft

technologies, each of which Aaron plans to amplify

this year.

The upgrade to Microsoft Dynamics GP 2013

is slated for Q1. “We’re going to add a robust

warehouse management solution,” Aaron says.

“Our goal is to streamline the pick, pack, and ship

process – picking the inventory from the shelves,

packing it, and then shipping it out the door.”

Currently, Gorilla uses the solution for both

core financials and manufacturing, which includes

inventory, purchasing, and anything related to the

supply chain. An add-on for EDI handles order

submission for many of the company’s larger

customers and then automates the importing of

related data into Microsoft Dynamics GP.

The benefits, Aaron says, are considerable.

“Microsoft Dynamics GP helps us streamline

throughout the financials,” he says. “The EDI

capability alone saves us from having to hand-

key thousands of orders. We’re also able to

automatically invoice many of our orders, which

saves a lot of time.”

To maximize the value of the IT investment,

Aaron works closely with Socius (www.socius1.

com), a Microsoft Gold Partner. In fact, Aaron

says the ease of customization is one of Microsoft

Dynamics GP’s chief benefits. “Since each

company is unique, the ISVs are key to addressing

specific needs,” he says. “We rely on ISVs for help

with our operations, including the supply chain,

purchasing, and planning.”

In addition to the Microsoft Dynamics GP

upgrade, Aaron plans to have Microsoft Dynamics

CRM up and running by Q3. “I’ve had a wonderful

experience with it in the past,” he says, “and I like its

ease of use, greater flexibility for customizations,

and its tight integration with both Microsoft

Dynamics GP and Office.”

He also plans to tighten the link between

Microsoft Dynamics CRM and Microsoft

Dynamics GP, expand to use the full Microsoft

Office 365 suite, and move toward a single sign-on.

A Positive Influence

As the person responsible for any and

all enterprise-level apps and add-ons, a

bit of apprehension might seem in order.

But Aaron says he’s more than ready:

In addition to his own technological

expertise and the support of Socius,

he says the value of GPUG is nearly

limitless.

Last year, Aaron joined the national

board and became chairman of the Ohio

Chapter, but his GPUG roots run back

to when he was a basic User. “I saw the

value of Users helping Users because I’d

received a lot of help myself,” he says.

“I was really pleased to see ordinary

folks helping each other on the GPUG

forums, sessions at the annual Microsoft

Convergence event, and one-on-one

through networking opportunities.”

In addition to answering questions,

Aaron enjoys connecting people with

those who can answer their questions

and sharing his experience via Special

Interest Groups (SIGs) and GPUG

Collaborate, where he’s posted SQL

code for scripts for functions such as

pulling information from the Microsoft

Dynamics GP database or starting a

SmartList.

Aaron doesn’t believe that a lack of

time is a good excuse for not getting

involved. “People often only understand

bits and pieces of Microsoft Dynamics

GP, just enough to get through the day,”

he says. “The technology can save a lot

of time, but you have to learn about it.

That’s where GPUG comes in.”

Whether participation happens at

chapter events, online activities, or

national gatherings, Aaron says that a

relatively small investment of time can

yield large rewards in terms of technical

knowledge and industry trends.

For Aaron, though, there’s yet another

benefit: He likes helping people learn. “I

find it rewarding to know that I’ve been

a positive influence,” he says. GPUG

A poorly designed account structure can put your system, even your company, in jeopardy. For sure, it

will put your job in jeopardy!

Planning is the key to everything; the COA (chart of accounts) is no different. Recognize that creating

a COA is not only one of the first things you need to do when setting up your system, but it is also one of

the most critical.

“…Begin with the end in mind...” Probably the best advice you could heed when designing your COA is to follow the

advice of Stephen Covey from “The Seven Habits of Highly Effective People”.

Don’t just forge ahead and use whatever format that was used in the past. Now is your opportunity to design an

account format that really works for your company. To help with the decision, be sure to involve the consumers of the

reports from your new system. Don’t forget about the IRS and other regulatory agencies; they need reports, too.

There is no such thing as a “standard” chart of accounts. Not all companies need the same accounts. An accounting

firm needs to record income from accounting and tax services; a distributor doesn’t need those accounts, but probably

needs more detail about shipping charges and landed costs.

Ask questions; be sure you understand the metrics that management uses to evaluate the company’s performance.

Find out what information they need (or wish they could have) to make business decisions. Don’t go this alone; your

new COA should involve input from everyone who will be analyzing these numbers. Make sure you are able to capture

information required by banks, audit firms, stockholders, and regulatory and governmental agencies, as well as

management.

Understand how management assesses the performance of your company’s responsibility centers so that you can

provide better information on budgets and results.

Most companies err on the side of having an account format that is too small. Don’t make that mistake. Use the

number of segments you need to separate the departments, cost centers, locations, etc. Remember, it’s a lot easier to

combine segments later than to separate them.

Under no circumstances should you use a single segment to represent two things. For instance, don’t use the first two

characters of the main account to mean department for expense accounts and product type for income accounts. This

is not a good plan; it’s a nightmare when it comes to reporting.

Additionally, the same main account should be used across departments to represent the same thing. For example,

department 40 shouldn’t have 405000 as the main account for travel expense and department 50 have 502000 as the

main account for travel expense. In this example, the department should be a segment and the main account for travel

expense should be the same for each department. In our example, the accounts would look more like 40-65000 for one

department and 50-65000 for the other one. If you think you need to structure your accounts in such a way that doesn’t

conform to the previous example, you are likely missing a segment.

Another common mistake is creating too many accounts. Don’t run your business from the general ledger. The

subsidiary modules are there to track the detail. You don’t need a general ledger income account for each one of your

products; you can get product sales information from Sales Order Processing or Invoicing. Projects should be managed

using some kind of project accounting system, NOT using a segment in the COA. If your projects are small and short-

lived, consider using Multi-Dimensional Analysis or Analytical Accounting instead of a full-blown project cost system.

Strive to keep your chart clean while still providing enough detail to generate robust financial statements.

Start your design by gathering management and regulatory reports, and then work backward to create an account

structure that can produce those reports. Look for the spreadsheets people update every month and endeavor to

eliminate them.

Microsoft Excel is a powerful analytical tool, but it should never be used to produce data that ought to be available

from your accounting system. Instead, design a system that can produce those spreadsheets. Let your accounting team

spend their time creating analysis tools, not creating the data

they are trying to analyze.

Here’s an example. My fictional company operates in six

regions that are broken down into four areas. Each area has an

area manager who is responsible for that area’s performance.

There are several departments within each region, and four

distinct product lines, each with a product line manager. How

many segments should make up the chart of accounts? While

there is no “right” answer for every situation, this would be a

good place to start:

» Region

» Area

» Department

» Main Account

Information about product line can be retrieved from

subsidiary modules such as Inventory or Sales Order Processing.

Notice there is no segment for “sub account”. There should never

be a sub account; either your main account isn’t long enough

or you need another segment. Both Management Reporter and

Microsoft FRx were designed for an account structure with a

single main (also called “natural”) account and no sub account.

You will do yourself a huge disservice if you create a so-called sub

account.

What about the length of the account? There are a couple

of things to keep in mind regarding the length of the account

number. As far as individual segments are concerned, the main

account should never be four characters long. Trust me, you will

run out of account numbers down the road. Consider, if you set it

at four characters, you really only have three. The first character

is nearly always used for the kind of account: “1” for assets, “2”

for liabilities, “3” for equity, and so on. While you might not

think of it at the get-go, you’ll soon realize that you really only

have three characters for your main segment.

The physical size of the entire account number field also needs

consideration. The Microsoft Dynamics GP “account” field

will only display about 27 numeric characters. If your account

number is longer than that, the entire account number will not

display in the account number field on the window.

To overcome this display limitation, Microsoft Dynamics GP

provides horizontal scroll arrows so that you can scroll left to right

in order to see the whole account number. You can activate these

scroll bars on the User Preferences window where indicated below:

Alternatively, you can widen the account number field on each

window using the Modifier tool. Neither is a fun solution, but

they are available.

Another thing to keep in mind is that the account number is

an alphanumeric field; you can use both letters and numbers.

Letters make it easier to read but much harder to key. If you

need letters, consider creating numeric account aliases so that

you can key more quickly. In addition, letters can be wider than

numbers. If you find that your letters are being cut off, go into

the Account Format Setup window and change the Display Width

of the segment. You can choose from three different widths,

depending on the widest letter in your account segment. The

Account Format Setup window is shown below with the Display

Width field marked:

Four different widths are available, Standard, Expansion 1,

Expansion 2 and Expansion 3. Below are the suggested widths for

the characters you might use in your COA.

» Standard - 0, 1, 2, 3, 4, 5, 6, 7, 8, 9, F, I, J, L, T, and Z

» Expansion 1 - A, B, E, K, P, S, V, X, and Y

» Expansion 2 - C, D, G, H, M, N, O, Q, R and U

» Expansion 3 - W

Even after all of your careful analysis, the chart of accounts will

continue to evolve. Don’t forget to give yourself some room for

growth. It’s likely not to be perfect the first time. With the aid of

the Professional Services Tools Library (PSTL), you can always

combine accounts if you have too many; it is much harder to

split one apart if you have too few. Like most things in life, it’s a

balancing act.

You need to collect at least the following information to create

your chart of accounts in the system:

» Listing of account categories

» The overall length of the account

» The number of segments

» The length of each segment

» The order in which to list the segments

» The account numbering scheme

» Listing of posting accounts

» Listing of statistical (unit) accounts

» Listing of fixed allocation accounts

» Listing of variable allocation accounts

Although we would be the first to admit that this product could

use some additional features, there are some nice things you can

do quickly that standard Microsoft Dynamics GP SmartList can’t do.

Here are some tips from our first few attempts at rolling this out at

Customer sites:

 

TIP #1 – Create Your SmartList in

the Correct Series

To create a SmartList in the Designer, your cursor can be sitting

on a SmartList in Microsoft Dynamics GP. As you choose to create

a NEW SmartList in Designer, it will default the details from the

module you are sitting on.  Therefore, if you are sitting on Purchasing

but want to create a Fixed Assets SmartList, it would default the

incorrect info for you at the top of the screen (see window). 

If you were to leave the defaulted details as shown, the new

SmartList would be listed under Purchasing instead of Fixed Assets

(see top of next column).

TIP #2 – Use SmartList Designer to

Show 1099 Box

A GREAT feature available in SmartList Designer is the option to

list the 1099 Box Number information within the SmartList.  In the

standard SmartList screen, the Box Number fields are not available

in vendor SmartLists. So, if I want to know if a vendor has the 1099

amounts going to the correct box, I can easily do this within SmartList

Designer!

TIP #3 – When Using Multiple Tables,

Limit the “Join” Statement

This one is a bit more technical, and is simply a warning to the

limits within SmartList Designer. If there are several tables needed

for the information requested in SmartList, there is a limit of 32K for

the select statement that selects the specific records and tables.

The key “tip” here is to select only specific fields within a “joined”

table, and not the entire table. This way only the selected fields will be

in the SQL “join” statement.

If you create a SmartList and it doesn’t seem to show any results

when you hit the “execute” button in Designer, then just go to the

“T-SQL Query” tab at the bottom of the screen.

This will show you the full Query the SmartList is attempting to use. In

our example, we’ve only added five fields from the Vendor Maintenance

Table, so it will fit within the 32K limit, but if we had selected several

tables and fields, it would not have been under the 32K limit.

You can add more fields, as long as the SQL remains below the 32K

limit. That becomes a mostly trial-and-error process, as there is no

current documentation on the SmartList Designer table join feature.

Try Out SmartList Designer Yourself!

To test out SmartList Designer, just be sure you are using Microsoft

Dynamics GP 2013 Service Pack 2 or higher, select the “New” button

in the left-hand corner of SmartList, and practice modifying it for

your needs!

system with Microsoft Dynamics GP? We are looking to streamline

the approval process and get rid of the mounds of paper invoices.

If you have gone paperless, have you had any issues with auditors

requesting real invoices instead of paper? Thanks!!!

Microsoft Dynamics GP Excel Paste

Has anyone had experience setting this up? Do the DLL files

need to be copied on Users’ local computers (we have local copies

of Microsoft Dynamics installed)? What happens after the DLLs are

installed? It looks like there is some additional complicated set-up

within Microsoft Dynamics itself.

Any help would be great so we can start using this add-in.

Automated/Integrated Expense

Reporting System

We are planning to implement an expense reporting system for

our sales force to enter and document their expenses, mostly credit

card expenses.  Are any of you using such a system that you would

recommend?  I am currently looking at two of them and would like to

consider at least a third viable source before moving forward in the

decision-making process.  Would love to hear from Users the pros

and cons that you have experienced.

Microsoft Dynamics GP 7.5 Install Disks

I need to upgrade a client from Microsoft Dynamics 6.0 on

Pervasive, and I need to locate the 7.5 install disks for both P-SQL

and SQL. I have everything else I need for conversions from P-SQL,

but I’m missing the actual installations. Does anybody know where I

could locate these?

Management Reporter -

Consolidated Reporting

In Management Reporter,  I am setting up a report to consolidate

eight companies. I have created a Reporting Tree with @ANY in row

one and the eight companies in Rows 2-9. In the Column Definition,

on the Reporting Unit Line, I have a separate column for each of the

eight companies and have linked each to the Unit (Company) from the

Report Tree definition. Data returns for three of the eight companies

only. A similar report definition in Microsoft FRx pulled data for all

eight companies. Any ideas on why some companies are not pulling

data when running the report in Management Reporter?

Reoccurring Sales Invoices

We have a series of invoices that occur each month with no change

to anything. Does anyone know if we can do a reoccurring sales batch

or any other ideas to eliminate the duplication?  I know you can copy

invoices, but that is still more work than we’d like it to be.

Deleting Accounts in

Microsoft Dynamics GP

It is my understanding that if an account has any activity in it, that it

cannot be deleted. Is this correct? What if an account has no activity in

the current year but had activity in a previous year. Can it be deleted?

Do the answers for the above questions change if the deletion is done

by a “mass deletion” out in a SQL database (not sure if I am using the

correct technical terms in this sentence, so feel free to correct me)?

Working on the Back End of a

In 2012, Richard Hartigan attended his first GPUG Summit. While there, he asked Kim Peterson,

the director of GPUG, if there happened to be a chapter near the headquarters of the National

Youth Advocate Program (NYAP, www.nyap.org), where he works as senior accountant. Her

response, Richard says, was to congratulate him on being the first Member of the Ohio Chapter.

While he laughs at the memory, he didn’t shy away from the challenge: The GPUG Ohio Chapter

is now holding quarterly meetings that this year will move away from the Columbus area – where NYAP is

headquartered – and be held in locations across the state.

In fact, doing his part to address big challenges is a fact of daily life (literally) for Richard, who joined

NYAP eight years ago and currently oversees the organization’s small accounting staff and administers

Microsoft Dynamics GP, a technology he’s been working with since 1996.

“Without the work that people at NYAP do, a lot of the kids we serve would be lost,” he says. “They’d

be in institutions instead of caring homes. In accounting, we’re in the back end, so we usually only see the

numbers part. But we’re all aware of the purpose the organization serves. It’s one of the main reasons we

work here.”

While NYAP offers a broad range of programs and services, the agency is best known for placing youth

in foster homes. “We advocate for the youth,” Richard says, “doing whatever we can to ultimately unite

them with their families.”

Unfortunately, that’s a mission that often takes a while: Circumstances dictate that many youth spend

time in foster homes. Across the six states it serves, NYAP matches those youth with the most suitable

homes available, which requires the organization to contract with hundreds of agencies across those six

states. “Everyone wants us to report the same basic information, but some places want it in just a slightly

different format. Microsoft Dynamics GP helps with that.”

Keeping it all organized is no small job. With approximately 1,000 foster parents, Richard estimates that

NYAP serves about 2,700 foster kids per month. “When the agency started in 1978, there were a lot of kids

in prison because there wasn’t any place else that could handle them,” he says, adding that a lot of the youth

have behavioral issues ranging from starting fires to having an established track record as a sex offender or

gang member. “Our goal was and is to offer an alternative with good role models.”

Providing that alternative requires a network of homes. “We’re looking for foster parents who have

a whole lot of love,” says Richard. “We recruit or they come to us.” The foster parents are required to go

through more training than biological parents are; they take courses, either at one of NYAP’s 30 offices or

online, on relevant issues. They also stay up to date on things such as CPR and first aid.

Foster care is the service NYAP is most known for, but the organization offers much more.

for youth in crisis situations. “If the parents

have been arrested, for example, or the kid

has acted out in some way, we help match

the circumstances of the child with the

foster parent who is willing to take a child

under those circumstances,” Richard says.

“The goal is to keep youth from spending

the night in jail.”

And, when absolutely necessary, NYAP

does offer care in emergency shelters and,

in the state of Ohio, in group homes. “We

strongly prefer that children be placed in

foster homes, but there are some cases

where that is simply not possible,” he says.

“In crisis situations, we provide contracted

care management by partnering with

county agencies.”

On the preventative end of the spectrum

is another offering, Constant and Never

Ending Improvement, or CANEI. It’s a 26-

week program that Richard describes as

“intensive, home-based, and group-based.

It tries to alter the youth’s paradigm of

violence. The facilitators are people who

will not give up. They stay on the kid’s tail,

helping create a sense of responsibility. It’s

been in existence for more than a decade

and has a great track record.”

So far, Richard thinks GPUG has a great

track record as well. “I’d been working with

Microsoft Dynamics GP for years before I

got involved,” he says. “I became a premium

Member, and when I went to GPUG Summit

in 2012, I was blown away by all the training

that was available.”

Richard says his favorite part of the

group, however, is the sense of community

it fosters. “At Summit I was able to talk to

550 people just like me, people who can

help me with things I’ve stumbled on or

had problems with, like SSRS,” he says.

“It’s very valuable to meet others who are

experiencing similar challenges.” GPUG

At the past two GPUG® Summits, I’ve presented a session

titled “Microsoft Dynamics GP User Adoption – Myth

or Reality?”. I review two case studies and ask the

audience to cast their votes regarding the success of

the projects as we examine the key elements that can

make or break the opportunity for successful User adoption.

Typically, after we’ve covered the second of six elements, the entire

audience has settled on which project was successful and which

was not. Maybe I’m providing unintended visual cues during my

presentation (I think the unsuccessful project still causes a small

nervous facial tick), but I believe that when we can view a change to

the organization from an unbiased viewpoint coupled with a simple

evaluation model, it’s crystal clear what “good” change and good

outcomes look like. Don’t get me wrong – I’m not saying organizational

change is simple. At its core, change is about humans and human

behavior, which are incredibly complex and unpredictable subjects.

And if you take nothing else away from this article, remember that

point: while models and tools are helpful, navigating change is about

how your human teammates bring to bear their history, current state,

attitudes, beliefs, and behaviors in the workplace.

To address this infinite variability, the first model I present in the

session is the “Cycle of Change”. I picked this up some 15 years ago

while consulting for a Big 5 accounting firm. I believe its origins stem

from psychological research and the Hopson, et al Transition Cycle

in the early 1970s. There are a number of variations of this model

available online, and I’ve re-drawn it here to simplify the discussion.

While it is a deceptively simple model, it is immensely powerful

in concept and in its adaptability to any change context, especially

because you can so easily apply it to your individual teammate:

Deceptively simple, right? As you see, it’s made up of four

phases, with a key decision point occurring in Phase 3 regarding

the individual’s commitment to the change. While you can use a

variation of this model to just about any change in your organization,

let’s apply this to “Bob”, an end User in your organization, as you are

readying for an upgrade to Microsoft Dynamics GP 2013.

In Phase 1, Bob has heard about the impending upgrade and some

“neat” features that the new version will include. Being an uninformed

optimist, Bob realizes there will be some changes, but likely it will be fine;

he is more apt to focus on the stack of work on his desk and the emails in

his inbox. As time unfolds, Bob hears a bit more about some potential

downtime, a new add-on, some changes in reports, and a new bonus

structure intended to drive more process efficiency. WIFM (what’s in it

for me?) knocks at Bob’s door, and he begins to get skeptical, concerned,

and inquisitive. Is this upgrade necessary? How much is this costing us?

Has management thought about this bonus structure correctly? Bob has

some fantastic SmartLists built; are these going to be ported over? Bob

is sliding into Phase 2. This is a dangerous phase.

But, at the same time, Phase 2 is a necessary and vital phase for Bob and

your other teammates to flush out their concerns. If you, as the project

manager, don’t solicit the concerns from your team, do you think they’re

ever truly going to be “on board” with the new system? The complaints

will go away and people will adjust, but if you believe that commitment

is linked to productivity, don’t fret about this phase nor rush through it.

Embrace it; spend time listening, understand and address the concerns,

and don’t sugarcoat that Oz is waiting for us

at the end of this upgrade. If you approach

this portion of the project holistically and

positively, Bob and the team will adopt the

change, generate ideas, and promote the

project to others. As you may have guessed,

if you close down Bob’s input and discredit

his concerns and potential issues, Bob can

easily slip further into Phase 3 and enter the

red zone, which you’ll note is a dead-end.

You likely know someone who has done

this, and you know that it took a while for

them to recover, if they were able. That’s

a key point here: For someone who has

“checked out” of the project, they are unable

to mentally and emotionally simply jump

back onto the upward portion of the curve.

Before they can get back on track, they will

have to move back along the line and rejoin

the main curve by specifically addressing

the issues that caused them to check out.

Only by undoing those actions can they

start moving up the line to Phase 4.

I’m sure you know what Phase 4 looks

like – light bulbs are going off, unexpected

benefits are being realized from the new

version, and increased productivity is

being realized. Note that on purpose the

line ends higher than where it started, and

it is continuing upward. Just make sure

that you don’t lose focus and allow Bob

to slip backwards with new wrinkles or

issues not envisioned before.

As I emphasized, I think the beauty in

this model is its adaptability. It is critical to

think of the change from Bob’s point of view,

not yours. Bob may be a new, energetic

employee. His curve will be flatter, as he

doesn’t have much history to know what the

potential issues are and the reasons to not do

this upgrade. Maybe Bob has used Microsoft

Dynamics GP 2013 before and can’t wait to

leverage the functional enhancements here.

His curve would be shorter from beginning

to end; he already can envision the benefits

forthcoming. If Bob is out in the field and

hardly ever touches Microsoft Dynamics GP,

he will move through the cycle much more

quickly than “Fred” in financial services. If

Bob has been on your core team from the

very beginning, when you brought your key

stakeholders together to evaluate Microsoft

Dynamics GP 2013 and provided the

business case for upgrading to management,

Bob is always going to be further along in

the cycle than the rest of your end Users.

(This is a key gotcha. Management, having

made a financial decision, will always be

ahead of the Users in their adoption. You

must remind them that the rest of the

company has to be brought along, so be patient). I’m not saying you should plot every stakeholder

on this cycle, but use it to evaluate the likely involvement and support from your key stakeholders,

and leverage it when you’re struggling with a teammate who appears to be resisting the project. And

for key activities, make sure you think about where Bob and his teammates are at in the cycle. Are

you asking for their input on potential issues when they’ve just heard about the project? Are you

trying to conduct end User training before they’ve had the opportunity to voice their concerns? Are

you expecting immediate results after go-live when you have some key members in the red zone?

Referring to the cycle model throughout will pull you out of the details of new integration points

and remind you to think about the opportunity that lies ahead. Remember, software is only a tool –

humans make it work. Happy changes! GPUG

Over the years, I have had many challenges when creating SSRS

reports. One challenge has been to create simple ways for the

person running the report to have a quick visual cue regarding a

specific set of data. One of the simplest methods of doing this in SSRS

is to highlight the text or the background with a specific color.

You may be saying, “I already do this today on my SSRS reports”,

and that’s great. This example is to show a way to have higher control

over the color highlighting.

Now to the point I want to outline. Many people struggle with using

the Report Builder or BIDS (Business Intelligence Design Studio) to

do conditional formatting of the color. The simplest method I have

found is to use my SQL Script to define the color highlighting.

In this example, I will demonstrate how to define the color in your

SQL Script and then use this color in your SSRS report for the color

highlighting. Before going forward, assumptions are made that you

are familiar with creating Stored Procedures and starting the process

for building SSRS Reports.

Here I have a simple SQL Script, using the TWO databases in the GP

Sample Company and showing, by Customer, the Sales Invoices and

Returns between 01/01/2015 and 12/31/2017. I have set the Returns to

be a negative amount and the Invoices to be a positive amount.

Now, here is the simple trick. Using the same logic for the Document

Type, I defined the Color for each Document Type. Here is a snippet of

the returned results:

Notice the column named “Color”. This is the data we will use in

the report for highlighting the text or background.

Now, switching over to building the report. I have created a simple

report layout with the results on our SQL Script.

The next step is to apply the

Text or Background color to

the Document Type field.

Select the Document Type

field. On the Properties pane,

select the drop-down next

to the BackgroundColor

property, then click the

Expression option.

In the Expression window,

update the “Set expression for:

BackgroundColor” field. By

default, it has “No Color” in

the field. This will need to be

changed to the “Color” field

from the Dataset.

So, now when I execute the report in Preview mode, you will see

the field highlighting on the Return Document Type:

Expand/Collapse Sections

Another feature that I like to use to keep things simple for the User

is to add an Expand/Collapse option to your data. This is a little more

complex, but it’s worth the effort.

Let’s start with a SQL Script. This SQL Script is just a modified

version of the previous SQL Script above. I have added the Line Item

Information for the Invoices and Returns.

The next step is to build the report. (Again, the assumptions

mentioned above are taken into account.)

Here I have modified the report we used in the prior example. The

modification I made was to Group the data by the Customer Number.

The Details will be the Line Item Information.

Below I have a screen shot to help you with the setup of the report.

The next part is the “trick” to help you Expand/Collapse the Line

Item Information.

Select the row with the Line Item Information Column Labels:

Right-click and select Row Visibility:

Next, select Hide in the “When the report is initially run:” section.

Then, check the checkbox for “Display can be toggled by this report

item:”. Lastly, select the Report Item from the drop-down list. In

this case, I want the Expand/Collapse function to happen on the

SOPNumber field.

Click OK. Repeat the Row Visibility setup for the next two lines in the

Line Item Information rows: one for the Details row, and one for the empty

row below. The empty row below acts as a spacer between the data.

Now, when I run the report, here is an example of what it looks like:

Notice the “+” sign to the left of the Invoice/Return number? This

is the function that was just added by the above steps. When you click

on the “+” sign, this will Expand/Collapse the Line Item Information.

If you have accomplished this, give yourself a pat on the back. You

just added functionality to the report that seems simple to the User,

but you realize the effort behind it. This gives the User the ability to

drill down on specific data.

BONUS: One extra advantage to this is that when you export this

report to Excel, it keeps the grouping for you! The first screen shot

shows the report exported to Excel. The “+” sign is located on the left.

GPUG: What kind of feedback have you heard

from Users?

BM: Individual User feedback has been extremely

positive. They like that SmartList Designer is

embedded within Microsoft Dynamics GP and

that you can create new SmartLists from existing

SmartLists. Users also love that SmartList Designer

is very similar in design to SQL Report Builder, so

once they know one product, they know both.

SmartList Designer was also well received by our

ISV, MVP, and Partner community at the Microsoft

Dynamics GP Technical Airlift this past fall.

We are excited about Convergence 2014 Atlanta,

as it will be our first opportunity at getting broad

feedback from our Customers and Partners.

GPUG: Is the product as robust as it will get or

do you have new releases planned?

BM: Like the rest of the Microsoft Dynamics GP

product, we are continuing to explore ways to

enhance our offering.

As I mentioned, Convergence will be the first

time we’ll show this product to the masses, so

we’ll host individual research studies to gather

additional User feedback to help drive new features

and functionality. Because of the popularity of

SmartList, I foresee this feature continuing to be a

pillar in our business intelligence strategy.

GPUG: What else is your team working on?

BM: The team is focused on many areas with

support for a seven-cities product roadshow in

February and Convergence in March. Our main

focus continues to be on finishing up the great

features for the Microsoft Dynamics GP 2013

R2 release. Microsoft Dynamics GP 2013 R2

is shaping up to be another great release with

such features as Procurement, Time Entry, and

Workflow. There are 40 new features targeted in

Microsoft Dynamics GP 2013 R2.

Another thing you may notice is our transition

to more frequent releases so instead of having one

big release every two years, we’re basically dividing

those features into multiple releases. The cadence

is a lot faster with two releases per year. That’s

something that we and our Customers are getting

used to, although it’s nice because then things like

SmartList Designer can be finished and shipped

rather than waiting months for a major release.

We are also continuing work on our app strategy

with two new apps scheduled for release this

summer and further enhancement for Business

Analyzer with release 6 this spring, which will

enable support for Excel content, and release 7 in

the fall.

GPUG: You mentioned gathering feedback

at Convergence. How do you process all that

information after Convergence?

BM: Well, I’m going to take a vacation first, like

everybody else. But when we’re all back, we’ll do

a post-mortem with all the people who attended

to share key learnings. All that information then

goes back into our planning, and we see what fits

into the next release schedule, tweaking where it

makes sense.

We also set up separate research studies, using

GPUG to recruit Users to come in and meet with

us, showing them what we’re working on, asking

them what’s important, seeing how they would

use the features, and finding out if we’re missing

anything.

Another thing we try to do is reach out to the

people we met at Convergence to build those

relationships. Normally if somebody is spending

the time and money to attend Convergence and

they’re approaching us on things that are a concern

or that they particularly like, they’re a wonderful

contact for us.

GPUG: Is there anything else you’d like to share

with our readers?

BM: We’ve heard for years that people are

wondering if Microsoft Dynamics GP is going

away. The answer is very simple: NO! It is evident

from the sheer number of feature enhancements

to the product that we are here for the long haul.

The other piece of advice I’d like to share is

to stay up to date on what is being released.

Features will be released at a faster pace, so staying

educated about the product is important. It is also

important to begin to embrace the cloud and the

many advantages that strategy will have to our

In my 19 years working in the channel, I have found that many

Microsoft Dynamics GP Payroll Users do not set up benefits.

The apparent reason is, for the most part, that benefits do not

affect the gross to net calculation. So, why bother? (As long

as you do not have a taxable benefit, that is a true statement.)

But, benefits are still transactions that must be addressed in Payables

and the General Ledger; therefore, other procedures must be in place.

In my opinion, these other procedures are not as effective as

setting up benefits in Payroll. Here are the advantages of using Payroll

benefits as it pertains to Payables, General Ledger, and Payroll/HR.

Payables

Using benefits to accrue the employer portion of costs associated

with insurance creates a liability at the time payroll is processed and

posted. Without benefits, only the deduction portion is shown as

a liability. Once the insurance carrier invoice is received, someone

must audit the detail to ensure that employees who should be on the

invoice are present, and those who should not be on the invoice are

not present. Accruing the total cost once payroll is posted can be a

valuable tool in auditing and reconciling insurance carrier invoices

since theoretically, the costs accrued and the invoice should agree. I

know that certain timing differences may exist that may need to be

taken into account.

General Ledger

When not accruing benefits, the costs of the benefits are not

recorded until the insurance carrier invoice is received and recorded.

Depending on the detail in the distribution, the general ledger costs

must be recorded potentially against the expense accounts of each

department on the profit and loss statement. This distribution

requires analysis of the employees covered in that invoice, whereas

benefits in payroll can post those costs against the department

associated with the employees’ wages. Not only is this process much

more accurate, but it is also a time saver as well.

Payroll/Human Resources

Displaying benefits on a pay stub may be new to your employees,

and it can create a lot of questions, but it certainly has value. Most

organizations have experienced increased costs of benefits, and

in many cases, a portion of the increases are passed along to the

employee as a deduction. If this is the only portion of the cost that

the employee sees, then obviously that can be an employee relations

issue. If you can show the employee that the employer portion

increased by $40 and the employee portion increased $10, then

understanding a deduction increase may be easier for the employee.

Many of you reading this article may also be required to report

the total premium of healthcare premiums on the Form W-2. If you

are only reporting the deduction, then this is not a simple task. By

reporting both the deduction and the benefit and coding to W-2

Box 12 with the DD Label, you will have satisfied this reporting

requirement.

There are also valuable compensation reports in Human Resources

that can help in reviewing and assessing compensation of employees

if benefits are used in payroll. In a SmartList you are able to produce

a benefits/deductions letter using the Word mail merge feature. Here

is an example of a benefits letter:

My intent was to illustrate the various advantages derived by

setting up and using benefits in Microsoft Dynamics GP Payroll

and Human Resources. The capabilities not only impact Payroll and

Human Resources, but also Payables Management and Financial

There has been a lot of change with regard to Microsoft

Dynamics GP and third-party solutions in the last year.

GPUG® caught up with three ISVs, Fastpath, Inc., eOne

Solutions, and Professional Advantage, to hear the latest

on what they’re doing and what Users should look for.

Security Changes in Microsoft Dynamics

GP 2013

Jeff Soelberg, vice president of Fastpath, addressed the security

changes in Microsoft Dynamics GP 2013.

“The biggest change is that there are now full and limited Users.

The limited Users have read-only access, and this User type is meant

for light Users,” says Jeff. “Another change is the ability to activate and

inactivate Users. Previously you could only delete them, but now you

can reactivate Users, if necessary.”

The greatest impact here is that Users no longer have the discounted

ISV User license but can instead pay a discounted rate when they use

the limited User license type.

“If you have a sales force that only needs to look up Customer

information, they can use the inquiry and reporting features of

Microsoft Dynamics GP for a lower rate as a limited User,” says Jeff.

Jeff shares that this change isn’t broadly known at this point and is

normally discovered when a User attends a security-focused session

or webinar. For the most part, Jeff says that the Users he talks with

are happy with the change and that future releases will likely contain

enhanced reporting capabilities around security and drill downs.

The Latest on SmartList Builder

eOne Solutions has been busy this year, taking on the support and

maintenance for more than 13,000 SmartList Builder Customers when

its OEM agreement with Microsoft ended in December 2013. Abbey

Cooper, Partner relations manager at eOne Solutions, shares that the

biggest challenge has been getting to know new Partners and Customers.

eOne has also been active in releasing feature enhancements

suggested by their User community, including eight major features that

are now available to SmartList Users in Microsoft Dynamics GP 2013.

“The biggest feature is Table Finder, which helps Users find

tables that contain the data they’re looking for,” she says. “It can be

accessed in any of the builders or windows in Microsoft Dynamics

GP, and you can pick anything down to field level to help you figure

out which tables contain the information you desire. Table Finder

really removes the guesswork in finding where your data is hiding in

Microsoft Dynamics GP tables.”

Abbey also shares that a preview data option, where you can

preview SmartLists before publishing them, saves Users a lot of time

and has been well received by regular SmartList Users.

SmartList Builder is the second product that has come back under

its stewardship after completing OEM agreements with Microsoft as

last year the company brought Extender – and its 4,000 Users – back

under its wing. This major jump in Customers to support prompted

eOne to expand its team to meet Users’ needs.

“We’ve added support team members and web developers and

are still looking for more people,” says Abbey. “We have a brand new

office that we thought had all the desks we’d ever need, and now we’re

down to two open spots.”

New releases for SmartList Builder, Extender, and eOne’s other

products are normally aligned with Microsoft’s product releases, so

look for news from them throughout the year.

On that note, Abbey shares, “The developers who wrote SmartList

Builder also wrote SmartView, which is a complementary product

that makes SmartList faster and more flexible outside of Microsoft

Dynamics GP.”

Catching up with

Collections Management

Professional Advantage is in a similar position as eOne Solutions

in that its product, Collections Management, came back into its

possession after a completed OEM agreement.

Brent Hitterdal, Microsoft Dynamics ISV director for Professional

Advantage, says that there are three to four months left for the

Customer transition, and that the change has been great for getting

the company back to its roots. In the spirit of bringing awareness to

the OEM change, it’s also important to note that as of January 31,

2014, the product is no longer bundled with Users’ Microsoft Services

Provider License Agreement (SPLA).

“Because everyone that has a license to Microsoft Dynamics GP

Advanced Management has free access to a Collections Management

license, we have been able to engage with the majority of Microsoft

Dynamics GP Partners worldwide,” says Brent. “It has been great to

re-establish those relationships that quieted when we were focused

on our vertical staffing solutions.”

Professional Advantage wasted no time with new feature

development, pushing out a major release with Collections Plan,

which automates the collections process based on workflows,

triggering emails and phone calls.

“We’re focused on reporting now, offering our Collections

Management Customers a free license to Data Archive Express,”

says Brent. “Users who have had Microsoft Dynamics GP for 10 to

15 years have a lot of data in their system, and Data Archive Express

enables them to archive all their GL and AP data. We have the free

offering as well as an option to upgrade, if the User would like.”

A new area of focus that Users may find helpful crosses over to the

Microsoft Dynamics CRM world.

“We have built a rules engine for the staff onboarding process,”

says Brent. “It takes the hiring process and builds it into Microsoft

Dynamics CRM, automating the process for Users, ensuring all steps

are completed and automating things like electronic signatures for

payroll and tax documents.” GPUG

GPUG: Tell me a little bit about your company.

Martin Olsen (MO): eOne has been around since

2001, so I guess that makes this our 13th year.

We started in Sydney, Australia and grew a really

successful Microsoft Dynamics VAR practice.

Much of that success was a result of differentiating

ourselves in the market by developing our own IP.

We then started selling those products globally

so that other VARs could benefit in the same way

we had from a unique Microsoft Dynamics GP

product offering. We eventually sold the VAR

business so we could concentrate full time on our

software development as an ISV. We now have

grown the business to 20 people and concentrate

entirely on developing software around Microsoft

Dynamics that reduces the need for mid-market

companies to engage developers.

GPUG: How do your solution(s) work with

Microsoft Dynamics GP?

MO: We have multiple solutions that work as

add-ons to Microsoft Dynamics GP, but we are

most well-known for SmartList Builder, which is

a simple list reporting tool that really meets the

needs for everyone who uses Microsoft Dynamics

GP. We currently have 14,000 companies on this

product. Then there is Extender, where Users can

develop new screens for Microsoft Dynamics

GP without employing developers or writing any

code. SmartConnect is our current flagship and

growth product. It is a data migration, integration,

and automation tool for Microsoft Dynamics GP/

Microsoft Dynamics CRM and SalesForce.com.

GPUG: What’s so great about “no code’?

MO: Mid-market companies should never need

to employ a software developer – or at least that’s

how we approach the development of our software.

We want mid-market companies to “configure”

software – not write it. The most important factors

are flexibility and cost. Mid-market businesses are

often more complex in their business processes

than large companies, so they need really flexible

software, but they need this flexibility at a

reasonable price. Our solutions are configurable

so that Users can make it work how they want.

I think of it as a “DIY Ikea Model” where we give

Customers the toolset needed to build exactly what

they need, but without the expense of a “carpenter”.

Some companies don’t want to mess with it at all,

and we can help there as well, providing consultants

to implement and “build” it for them.

GPUG: You recently went through a major

transition with Microsoft. Can you tell me

more about that?

MO: We had an OEM agreement with Microsoft

for SmartList Builder and Extender, meaning

they sold our products with a Microsoft badge

on them. This past year, we took this all back in-

house at eOne and off Microsoft’s hands, and

it’s been a win-win for everyone. It’s a huge shift

in our business model, but we also had time to

prepare and grow our team enough to support

our Customers as well as make big plans for the

future of those products. The development cycle

for us is measured in days and weeks – while with

Microsoft it is measured in years. We are now able

to accelerate all our development, which makes it

exciting to exceed all our Customers’ expectations.

GPUG: What makes your software unique in

the Microsoft Dynamics GP space?

MO: Our biggest differentiator is that we let

developers (with guidance) decide what functions we

add to our product. All our senior developers are on

a commission plan where they get paid based on the

sales of the products they write. Therefore, they are

even more inspired to write clever stuff they would

want to use and ultimately what the Customers want

to use. This type of entrepreneurial mindset makes

our business very Customer-centric. We rarely write

a bunch of programs just hoping it works out. Instead,

we put effort into writing things we know will work.

GPUG: Why do you love the Microsoft Dynamics

GP community?

MO: The passion. Microsoft Dynamics GP

Customers put the effort into knowing Microsoft

Dynamics GP and getting the most out of

their systems. I love the small and mid-market

mentality of “getting things done”. In eOne’s case,

our solutions are configurable tools that need

creative, hands-on people to make them work for

a business’s specific situation. So, to work with

a community that has both the passion and the

creative juices to design unique solutions always

surprises me. When we meet our Customers, we

are often surprised to learn about the amazing

solutions they have built – oftentimes seeing our

Th e session went over so well that they had to move the

next speaker to a future meeting because they ran out
