2014 ILMEA District 7 Senior Winds and Percussion Audition Info Dear ILMEA District 7 Band Directors, Band auditions are Wednesday, October 8th at A. E. StevensonHigh School. Cars please drop off and park in Lot B. Busses and minibusses will drop participants off at Entrance 1. Minibusses should then park in Lot D and busses will be directed to the Port Clinton parking lot. Please communicate this to parents also wishing to pick up students. Doors will be marked. Please follow the times below:

• Check-in: 4:00pm – 4:25pm. • Room monitors need to be at assignments by 4:30pm. • Auditions start at 4:45pm. • Please use the time from 4:30pm to 4:45pm to answer any questions that the judge may have and to make sure that the room is set-up to enforce blind auditions.

The administration of A. E. Stevenson High School requests that we DO NOT ENTER the building before 4:00pm. It is imperative that we honor this request!! There will be a door monitor in place who will reinforce this policy. Anyone who arrives early will be instructed to wait in the parking lot until 4:00pm. Beginning at 4:00pm, one director from each school should check in at the tables located in the Patriot Lobby located just inside the main entrance of the school at the top of the stairs (there will be guides to show you where to to). You will be given an envelope with your students' ID tags. They must be wearing these tags at all times during the auditions since the auditions are blind and the students are known only as a number to the judges. You are also asked to report any “DNA’s” (including auxiliary auditions) at this time. If you registered an alternate and that student will be auditioning, you must inform me at this time. You must also inform me which student the alternate is replacing. Once you have given your students their ID tag, they may go to their first room and sign up for a time using their ID #. Students may then go to the warm up rooms until 20 minutes prior to their scheduled time.

After you have picked up student ID tags, make sure to continue at the check in table to receive your room monitor information/packet and turn in your confidentiality form.

The audition headquarters is 2104A/B. This is where Shan Kazmi and I will be for the evening (after 4:30pm). Please look for us here if you have any problems and at the end of the evening to turn in any materials. Dinner (sub sandwiches, chips, drink, etc...) will be provided for all directors and may also be picked up in the audition headquarters.

The next page is a student information sheet which includes a list of the audition room numbers for each instrument so that you and your students may be more familiar with where they need to go before you arrive. Please share this info with your students. Copies of the school map will be available at the director check-in table. Every year we field questions from students about this information and it usually includes the statement, “My director never told me...”

Please remember to pick up your free dinner from audition headquarters before going to your assigned location.

GENERAL INSTRUCTIONS:

Your presence is essential to maintaining the integrity of auditions. Keeping judges on time, managing students in

audition and warm up rooms, and helping maintain quiet in the hallways will provide a positive experience for all

students involved. Ultimately, it is our goal for all students to feel secure and successful throughout this process.

Blind Audition Policy: The District 7 Senior Band Division maintains a blind audition policy to ensure objective

scoring. No judges may have visual or verbal contact with students. Students should not try to speak to judges even

if they recognize them. All communication and instruction is handled by the room monitor.

Students should audition in this sequence:

Flute/Clarinet/Saxophones/Trumpet: Scales Sight reading Slow Etude Fast Etude

Bassoon/Bass Clarinet/French Horn/Trombone/Tuba/Euphonium: Scales Sight reading/Fast Etude Slow Etude

Oboe: Scales/Fast Etude Sight Reading/Slow Etude

Percussion: Timpani Tambourine/Cymbal Snare Mallets

Student Sign Up: A signup sheet will be posted outside of each scale room (starting room). Students may begin

signing up for audition spots once they receive their ID name tag from their director and find the scale room (at

approximately 4:15p). Students are to be called in the order they signed up and proceed through the room

sequence in this order.

Auxiliary Auditions: Students who are completing an auxiliary audition (such as piccolo, English horn, Eb clarinet

etc…) will return to the etude rooms to perform on the secondary instrument. Auxiliary auditions do not repeat

scales or sight reading.

Student Music: Students are permitted to use their own marked music for auditions. Each room will have an extra

copy of music to provide to students should they not have it.

Scores: Judges scores are confidential!! Directors are not to look over a judge’s shoulder to view scores out of personal

interest. Judges should not ask room monitors for their opinion in scoring. Judges will record scores on both a

paper scoring sheet and into the RNS online entry system during auditions. If a judge asks for assistance and you

happen to view a score, it is your responsibility to keep that information confidential. Every judge and

representative will be required to sign a confidentially agreement pertaining to scoring and student information

before being permitted to administer auditions.

AUDITION ROOM MONITORS: *BE AT YOUR ASSIGNED ROOM BY 4:30P.M.

Jazz Room monitors MUST attend the jazz division meeting in contest headquarters at 4:15p.m. Details regarding jazz

procedures will be covered by the jazz division reps at that time.

All Other Senior Winds and Percussion Room Monitors:

All cell phones are to be turned off! This includes directors, judges, and students entering the room.

Announce each student’s ID Number to the judge; have the judge repeat that number back to you to ensure

proper score entry. For rooms auditioning multiple instruments (ie: Low Reeds, Saxophones), you may also

clarify instrument. DO NOT identify any student by name or school.

Stay INSIDE the room as each student performs! You cannot enforce the blind audition policy from outside

the room.

Each room monitor will be provided with a master list to keep track of students as they come through.

DNA’s will be reported to room monitors by 5:30p.

Remind Judges to enter scores into the RNS online scoring system with each student audition and quickly

submit the entry.

Scale Rooms: Assist Judges with maintaining the 3 minute time limit. Judges may not stop a student before the 3 minute limit is up, but must stop a student if they exceed the limit. Students who are also doing Jazz auditions should be allowed to 'cut' in line if they were at their jazz audition during their 'assigned' scale time.

Sight Reading Rooms: Students are allowed 30 seconds to view the music before performing. You must time

and enforce this policy. Students are to remain silent during the study process. Students may not play,

sing/audiate, mark the music, or ask you for help during the 30 second viewing. They may finger.

Etude Rooms: Inform students of the excerpt from the etude they are to perform. You may want to mark

their music, or allow the student to mark their music. There is no time limit, but encourage students to

begin and continue in a timely fashion. Avoid constant starting over. There are no “do-over’s”.

When your room is finished, return to contest headquarters. Bring any room lists, DNA sheets, or other

papers to turn into the division reps. Please bring the music stand and check out with the site host. Judges

are responsible for returning their own materials – do not handle judging materials.

WARMUP ROOM MONITORS:

Please keep doors to warmup rooms closed to contain noise.

Warm up rooms may or may not have music stands; students will have to work with what is available…

NO FOOD or DRINKS are allowed in the warm up rooms. Bottled water is OK.

Please keep area hallways quiet!! And continue to remind students as needed that there is NO PLAYING in

the hallways, and keep talking to a whisper.

Hall monitors should be on duty to keep the halls quiet and help direct students.

STUDENT WAITING AREA MONITORS:

There is absolutely no instrument playing in these areas!! If students want to play, they need to go to a

warm up room.

Food and drinks are permitted in these areas.
