Fairview Community Gardening Initiative Meeting Minutes
November 27th, 2013, 7:05pm

1.
Introductions around the table
2. Update on where we are at:
- initial stages, re-summarized from last meeting - chatting with city, CHS, getting the
initiative running
- Vanessa Hanel has joined the board and will act as the chair and liaison with the Fairview
Community Association; this will allow formation of a formal committee under the FCA.
3. Subcommittee descriptions
Administrative (Admin) -coordinate meetings, coordinate subcommittees, establishing
guidelines/policies, membership, rental of spaces, liaison with the FCA, , insurance
Communication outreach (CO)-getting the community aware of the garden as well as some
things required for approval process - education plan, support from councillor, neighbourhood
survey (2/3 support of people with sightlines of the garden)
Location/design (LD)- location selection, license of occupation, garden design
Fundraising/finance (FF) -submitting a budget, startup and maintenance costs, fundraising -
(grants, donations, businesses, City funds), events
Building/maintenance- to form once all of the other stuff is further underway

5. Tasks for subcommittees by next meeting
Location/design
-
prioritize locations - visit each site, leave all on the table, pros/cons of each site (Adrian,Dave, Ryan, Jano)
Administration
- documents required by the City most immediately; letter or board motion by the
community association supporting the idea (Katie)
- Talk to CHS about attending next meeting (Katie)

Check turn around for application with City of Calgary (Katie)
Finance/fundraising
- outline/plan of different line items requiring money (Stacey)
- revenue sources - different grants, companies, etc. (Stacey, Katie)
Communication outreach
- starting a website (Jano),
- writing full article for newsletter/website (Lynda and Kelsey)
- start skeleton of education plan (Jano)
- awaiting further progress before more outreach; possible film night, consider a CG film
night with CG-type movie(s)
6. Info from Fairview Community Association
As discussed above, plan to form a formal committee under the community association at
Decembers board meeting. Discussed additional people volunteering for the board again, time
commitment involved with this, benefit of having more bodies on the board
Once committee is formed, all members of the community garden committee need to be a
member of the community association, so please purchase a membership for this year - this is a
shortened year, fee is only $5 until end of February. This can be done online or there will be an
insert in the newsletter in December with many easy options to submit form/payment
Casino for FCA is coming up March 20/21. This is a huge fundraiser, bringing in $65,000-
75,000 for the organization. Likely, some of this money will go towards community garden, so it
would be ideal if members of the committee volunteer for this event as it will benefit this
committee. More info will come out in Januarys newsletter. Shifts are day or evening, several
different jobs, all quite easy. Contact Dave to volunteer - [email protected]

Also some upcoming events for FCA - Jonathan Denis Xmas open house on December 12th (5-
8pm) - also would be good to get the word out to elected officials as we will want their support
for community gardening. Skate with Santa on December 15th, Shinny hockey on December
22nd.
7. Dates for next meetings
Wednesdays are ideal as are beginning of month - want to be before Board meetings and
newsletter deadlines
Plan for first Wednesday of each month except for January (which will be January 8th)
Meeting dates for the next six months are:
January 8th
February 5thMarch 5th
April 2nd
May 7th
June 4th
Sub-committee meetings and any additional full garden committee meetings will be determined
as needed.
