Annual Winter Conference in Rochester, New York.We believe that our exhibitors are a significant element in our conference and consider the opportunityfor our members to meet and greet their partners in the music industry a major benefit of conferenceattendance. Last year’s conference attracted 1800 in-service teachers and college music majors, 890 All-State high school students, and 3000 parents as well as a host of performing groups. We will continue totry to maximize exhibit traffic to make our conference valuable for you and our membership!
� The dates of the conference exhibition are Friday November 30 at 9 a.m. through Saturday, December 1 at 4:00 p.m. Set up will take place on Thursday,November 29.

ALL booths will be in the main exhibit area at the Rochester Convention Center and are 10' x 8' and INCLUDE a table, draping, two chairs and a standard two-line sign. All vendorswill be accommodated per “Reservation” information in the General Exhibitor Regulations.Booths are available at the flat rate of $600. GENERAL EXHIBITOR REGULATIONS
2012 marks the 77th
anniversary ofthe New York
State School Music Association WinterConference. The Winter Conference will beheld at the Rochester Riverside ConventionCenter in Rochester, NY, November 29 -December 2. NYSSMA® is a member organ-ization engaged in music education frompre-school through college.
Exhibits are vital to our conference sincemusic educators depend on the music indus-try for the tools to supplement their teachingskills. Music exhibitors have the opportunityto display their products and services to thosewho influence purchasing. You will reach anexclusive education audience. Total atten-dance at our last annual conference was5,600 of which over 2,000 were qualifiedbuyers.
This brochure provides essential informa-tion needed for participation by the musicindustry. The floor plans show the exhibitorscheme for the exposition.
APPLICATION FOR SPACE
Applications will be accepted by mail, emailor fax. Applications must be accompanied bya check or credit card authorization to reflectthe amount of booth space desired. Full pay-ment is due with your booth space reserva-tion request.
BOOTH RESERVATIONS
Booth assignments will be made first toInstitutional Members (based on postmark,level of Institutional Membership and number of booths requested) for contracts which are received no later than September 7, 2012. Thereafter, assignmentswill be made on a “first-come, first-servedbasis” and no preferential treatment will beassigned to any vendors.
BOOTH RATESAll booths will be in the main exhibit area atthe Rochester Convention Center and are 10’x 8’ and INCLUDE a table, draping, chairsand a standards two-line sign. Booths areavailable at a flat rate of $600. A special dis-counted rate of $500 will apply to colleges.

An attendant must be in charge of each display during the hours the exhibit area isopen. Guard service will be provided whenthe exhibit area is closed.
EXHIBITOR REGISTRATION &HOUSING
Exhibiting firms are provided with twobadges for each booth. Non-institutionalmembers will be charged $145.00 for eachadditional badge. Associate Members areentitled to one additional exhibitor badge.Sponsoring Members are entitled to twoadditional exhibitor badges. PatronInstitutional Members are entitled to twoadditional exhibitor badges. Pre-registrationforms will be sent to exhibitors after spacehas been assigned. There will be a specialregistration area to enable conference mate-rial and badge pick-up. Please look for thespecial Exhibitor Registration Desk in theNYSSMA® registration area. A housing appli-cation is enclosed.
EXHIBIT FACILITIES
All exhibits will be located in the RochesterRiverside Convention Center. Most spaceswill be provided with a standard 8' high backwall. One 10' x 8' space includes drapedtable, chair and waste basket. One standardtwo line sign with exhibitors name, city, andstate address will be provided. Decoratingand furniture rental order forms will be
mailed when space is assigned so that additional equipment may be ordered inadvance. Arrangements for special electricalservice or equipment must be made with theappropriate vendor found in the follow-uppacket from the decorator. Resulting expens-es are the responsibility of the exhibitor.
SHIPPING, PACKING &STORAGENationwide Expo Services has beenappointed the official receiving and ship-ping agent for the handling of exhibitswhich are shipped by freight and, there-fore, necessitate local pick up and for-warding.

INSTALLATION &DISMANTLING
Installation may begin 8:00 AM, Thursday,November 29th and shall be completed notlater than 8:00 PM of that Thursday. Theexhibits open Friday morning at 9:00 AM.
EXHIBITOR EX PRESSLY AGREES NOT TO DIS MANTLE HIS/HER EXHIBIT OR TO DO ANY PACKING BEFORE THE FINAL CLOSING OFTHE EX HIBIT AT 4:00 PM ONSATURDAY, DECEMBER 1, 2012.
Goods must be crated and placed for ship-ment immedi ately following the close of theexhibit.
CANCELLATIONS
All cancellations must be made in writing tothe NYSSMA® Office. If notification is receivedon or before November 1, 2012 all monies, lessa $100 service charge, will be refund-ed. Cancellations received after November 1st
obligates the exhibitor to FullPayment of the booth cost and forfeitureof all monies paid. NO REFUNDS WILLBE MADE AFTER THIS DATE. Failure tooccupy booth space in no way releases theexhibitor from the obligation to pay the fullcost of the rental. If booth space is not occupied by the end of set-up on Thursday,November 29, 2012 NYSSMA® Managementshall have the right to use such space as itsees fit or to eliminate empty space in theexhibit areas.
SALES PERMITTED
Selling and taking orders are permitted onthe exhibit floor. All demonstrations or othersales activities must be confined to the limitsof the exhibit booth. No exhibitor shallassign, sublet, or share the space allottedwithout the knowledge and consent of themanagement. No exhibitor is permitted toshow or sell goods other than those manu-factured or dealt in by him in the regularcourse of business.

NYSSMA® LOGO, NYSSMA® ART-WORK OR CONFERENCE LOGO, ISEXPRESSLY PROHIBITED UNLESS AN
AGREEMENT FOR SUCH USE HAS BEEN

EXECUTIVE DIRECTOR
USE OF SPACEDisplays shall not exceed eight feet in height.The space within two feet of the front linemay not have displays higher than four feet.The backs of exhibits which may extendabove or beyond the adjoining exhibit mustbe decorated so as not to be objectionable tothe adjoining exhibitor. Nothing shall bedisplayed at a height above the top of thebackdrop of eight feet. Normal security willbe provided, but it is recommended thatexhibitors use good judgement in leavingmaterial and equipment when booth isunattended. Covering of booth materials isrecommended during non-exhibit hours.
CARE OF BUILDING & EQUIPMENTExhibitors, or their agents, must not injureor deface the walls or floors of the build ing,the booths, or the equipment of the booths.When such damage appears, the exhibitor isliable to the owner of the property so dam-aged.
REGULATIONS & CONTRACT
These regulations become a part of the con-tract between the Exhibitor and the New YorkState School Music Association. They havebeen formulated for the best interests of theexhibitor. The Management respectfully asksfull cooperation. All points not covered aresubject to the decision of the Manage ment.
SHIPPING & STORAGE
Deliveries will be made to the space num berof the exhibitor and picked up at the close ofthe convention. Empty crates and cartonsmust be stored with Nationwide ExpoServices, Inc. These charges are to be
assumed by the individual exhibitor. Allshipments should be prepaid. Bills of Ladingand Notice of Shipment should be madepromptly to Nationwide Expo Services, Inc.
SECURITY
Exhibit management will provide necessaryguards when exhibits are closed. However,the exhibitor is responsible for his ownexhibit material and should insure againstloss or damage. All property of an exhibitoris understood to remain in his care, custodyand control in transit to and from or withinthe confines of the exhibit areas.
CIRCULATION/ SOLICITATION
Distribution of circulars or promotionalmaterial may be made only within the spaceassigned to the exhibitor presenting suchmaterial.
LIABILITY
Neither NYSSMA®, the Rochester RiversideConvention Center or Nationwide ExpoServices, nor their agents or representativeswill be responsible for any injury, loss, ordamage that may occur to the Exhibitor orto the property, from any causes whatever.The exhibitor, upon signing the exhibit con-tract, expressly releases the aforementionedof any and all claims from such loss or damage.
