Committee Meeting held on 12th May 2014

Preamble to Meeting:
JH confirmed that there were sufficient members present to form a quorum, under the rules of the constitution. The meeting, therefore, proceeded to the agenda.
Review of previous meeting updates in red
JH: SB has provided a copy of the New Charter vehicle check list to compare with the one JH prepared
for the minibus. This had yet to be done. ACTION JH JH: The online calendar booking system was working fine; however, there was a problem with KI and
JH not being able to see each other’s bookings. DB to investigate. ACTION DB JH: Yew Tree notice board locks still needed repair and the inside was going mouldy. Key was passed to
KB to arrange repair/replacement. KB awaiting quote from Rondar Signs. ACTION KB Questions from Residents
Regarding young people who stand on the staircase outside the newsagents on Yew Tree Lane shops: LW: The Youth Team will be visiting to talk to youths in the area to find out where they are from.
LW the youth team have gotten involved. The Crucial Crew Theatre Group: SB looking at involving Astley and All Saints schools in the Street
Scene. No updates from SB.
Minibus update, publicity and funding LW: will chase up the coms team over the Tameside Radio advert for minibus. ACTION LW
Tenant’s extended gardens. JH the tenant has agreed to take over the plot after New Charter have cleared the area.
KB Green Charter has cleared the area and the tenant has requested shrubs for the areathat were the subject of discussion with Sarah Chiltern. The committee agreed to contribute £150 towards the cost
of these as NC would match the amount. ACTION KB
The bins, the bins! LW: there is still no agreement over who would empty new bins.
KB spoke to New Charter Clean Team and they would not empty the bins. She will examine the shop
holders’ leases to see if they have any responsibility to empty the bins. LW suggested that we write to our MP, Jonathan Reynolds but JH had already discussed the issue with
him and other TMBC council members ACTION LW, KB & JH

SY and TM asked if they could hold the meeting at Broadbent Fold School, they will enquire if there is a
room available free of charge.
KI will speak to her friend about a room at the golf club, after June 9th. ACTION KI
Minibus Update
JH suggested that Lee or Mark, caretakers Astley Sports College, might be prepared to do the check list.
KI: proposed we provide Astley with a £50 float for sundries such as antifreeze, oil and light bulbs. They
will need to provide receipts. ACTION KI to ask Mark/Lee
DB suggested that we buy a set of fuses and bulbs for the bus and keep in the vehicle. ACTION JH
KI will create an evaluation sheet for comments from the user about how important the use of the DERA
bus was to their trip, to be used for future funding. ACTION KI
April public consultation meeting at Lyne Edge.
LW: 22 people filled in the questionnaire, the outlook is positive. 4 or 5 people were interested in getting
involved with the committee. LW to email JH with list of names. ACTION LW
Jamie Eastwood, New Charter looked at the area in terms of poverty and thinks that this would sit well
with the Lottery for funding. He will need to take people from Legal, Green Charter & Investment (who do
the building work) to look at the area. ACTION LW
LW: NC would need to consult with more residents before applying for funding.
JH: asked LW if she could arrange visits to other sites. ACTION LW
Minibus – Management of Partnership Scheme
JH: we need to formalise the renewal scheme so that annual fees are paid on the due date .
DB: the receipts are recorded on the income & expenditure spreadsheet.
Update by New Charter & news of Upcoming Events.
LW: 10:00am Sunday 27th July, New Charter, Great Community Walk, from New Charter up to Hartshead
Pike, entry £1 per person, looking for volunteers to warden on the day.
KB: will be using the Children’s’ Centre on Yew Tree Lane as a drop in on Mondays 1:30 to 4:00.
KB: entered two environmental requests:
1. Painting the balconies and improved lighting at the Yew Tree shops.
2. Convert one of the grass verges on Yew Tree Lane in Green Parking bays; this would require
consultation before action.
LW: New Charter will be running a Value for Money Conference in Buxton on 18th June and would like
representatives from local residents groups to attend.
