    KEY AND KEY CONTROLS

    Different keys are issued to different members of thestaff according to their job and responsibilities. Theseare very important for the security, of the guestbelongings and hotel property, and keys are issued out

    at the beginning of a shift, signed for and returned at theend of the shift. The key issue register is maintained forthis purpose.

    All doors of the guest- room in a hotel lock automaticallywhen closed from outside. This means that the door is

    double locked. Many hotels have chains inside the room,for extra security.

    Various types of keys are:-

    . Room Keys:There are different keys for each room issued to a guest and it is importantthat this key is taken back from the guest when checking out. Normallyguest keys have a heavy tag to discourage the guest from removing themfrom the hotel.Sub-Master Key:

    These are issued to room attendant /chambermaids and normally opendoors of a section of room. This key does not open double locked doors andhotels usually insist that room attendants /chambermaids wear a key beltaround the waist so that they are not accidentally misplaced.Floor Master Key:These are used by floor- supervisors and opens the doors for one floor.

    They do not open double locked doors.General Master Key:This opens the doors of any rooms of any floor but does not open double

    locked doors and is carried by Assistant H/Keeper.

    Grand Master Key:It is carried by the Executive H/keeper, and in her absence by thesecurity manager or duty manager. It opens all double locked doorsand can even open double locked doors from outside.Card System:

    Electronic card system replaces keys and offer more security aseach guest is issued a card with a different program. The cardsystem cuts out the danger of the room being locked in the case ofthe key getting misplaced. This type of room-locking mechanismuses regular door locks and special plastic cards that act as keys tounlock the doors. The plastic card look like credit card with holespunched in them, some have a magnetic strip. The system uses a

    computer, which codes the card to lock and unlock doors. If a card islost or stolen, the procedure for re-keying is quick and inexpensive.

    A log can be used to monitor the distribution of masterkeys. This log should include the date, time, and thename of the person who signed for a particular key.Every time the employee receives or returns a masterkey, he or she should be required to initial or sign the

    log. The person issuing the keys should also initial orsign the log for each master key transaction.Employees issued keys should keep the keys on theirpersons all the times. Key belts, wristbands, or chainsare recommended devices for keeping track of master

    keys. Room attendants are also responsible forretrieving the guest -room key if the guest leaves the keyin the room. The key should always be returned backinto the custody of the Front Office.

    Rationale

    The rationale determines how many keying levels there will beand who gets what keys. Considerations include the physicallayout of the building, departmental needs for access, theinteraction of these needs with the productivity and staffing ofthese depts., the needs of the guests, and the overall security

    needs of the facility.Records

    Key control records, involves a number of elements. Withregard to the guestroom, effective key control calls for keepinginformation about the status of guestroom keys, the names ofroom occupants, and the names of any other people who have

    access to the room. Records should indicate which employee haswhich key. Policy implementation may rely on these records.Hotels also need to maintain records of problems with guestroomlocks and of actions taken to enhance security, including rotationand replacement.

    Retrieval

    Retrievals involve all actions to retrieve keys from guests andemployees when they leave the building. For guest these involvemanagement attempts to get the guest to leave the key for theroom. Asking for the key when the guest checks out and providingdrop boxes for the keys at exit points assist in this process. Also

    housekeeping staff should be told what to do with the guest keysfound in the room. It is also important to retrieve keys from theemployees.No keys should be taken out of the premises by the employees.Keys needed for the work shift should be signed out at the start ofthe shift and returned at the end. Housekeepers should keep the

    key on their person. Particular attention has to be paid to keysgiven to outside contractors for access to a portion of the building.

    rotation

    Rotationinvolves moving locks from room to room to maintainsecurity- a sort of preventive security action. Some propertiesrotate locks on a regular basis (every six months or one year)whereas others rotate when a given number of guestroom keysare lost. Rotation is also good practice when it appears that the

    room security has been compromised.Replacement

    In spite of all efforts to deal with proper key control, thereplacement of part or all of locking system will eventually benecessary. The loss of master keys may trigger the replacementof all locks at the hotel. Replacement of locks also should be

    considered when the property is sold, especially when there is amajor change in staff.
