Agenda
• Link Resolver usage• Add additional attributes to E-Inventory SA • Add missing elements in the PO Line shared dimension • Add fund information to the physical items SA • Add "Related ISBN ISSNs" to the bibliographic details• Add electronic material type for Portfolios• Course Reading SA• Vendor productivity and audit trail for acquisition workflow
5
Link Resolver usage
• Background: Today information on electronic resources usage is obtained from different vendors (i.e. Ebsco) and then uploaded to UStat
• The data from UStat is then extracted to Alma Analytics. Reports are then made in Alma Analytics based on this data
• One significant issue regarding this is that some vendors don’t support providing usage information.
• Additionally, if we look at the usage from a vendor it is “vendor specific”. From the Alma Link Resolver we can see the “large picture” – for example most popular journals/books etc.
6
Link Resolver usage
• The plan: A new subject area will be added called “Link Resolver usage”
• It will include data which is recorded in Alma on the “Link Resolver usage”
• The “Link Resolver usage” is today recorded in Alma and with this development it will also be part of the ETL process and therefore reportable in Analytics
7
Link Resolver usage
• The information appearing here and how the end user responded to it (Accessed? Did not access?) will be recorded in the new Link Resolver subject area
8
Link Resolver usage
• All the traffic in the “ViewIt” is done though Alma Link Resolver.
• When and end user clicks a link Alma “knows” and records the traffic
• It does not matter where the end user starts (PubMed, Primo, Ebsco etc.)
9
Link Resolver usage
• Samples of types of reports which will be available:1. Top ten e-journal portfolios accessed2. When was full text option available but not
accessed3. Which are the most popular vendors4. How often is the citation linker used?
• These reports will provide information on how the Link Resolver is used and this will enable the library to make strategic decisions such as which vendors to continue working with
10
Agenda
• Link Resolver usage• Add additional attributes to E-Inventory SA • Add missing elements in the PO Line shared dimension • Add fund information to the physical items SA • Add "Related ISBN ISSNs" to the bibliographic details• Add electronic material type for Portfolios• Course Reading SA• Vendor productivity and audit trail for acquisition workflow
11
Add additional attributes to E-Inventory SA
• In the ‘Electronic Collection Description’ tab of the ‘Electronic Collection’ editor there exists the ‘Public name (override)’ and the ‘Library’.
12
Add additional attributes to E-Inventory SA
• Here is the ‘Public name (override)’ in the discovery interface
13
Add additional attributes to E-Inventory SA
• The ‘Public name (override)’ and the ‘Library’ will be added as fields of type ‘description’ to the dimension ‘Package’ in the E-Inventory subject area
14
Add additional attributes to E-Inventory SA
• Having the ‘Public name (override)’ and the ‘Library’ appear in reports will be particularly useful and provide a more accurate reflection of the E-inventory
• It may be used as a filtering parameter and appear in the report.
15
Agenda
• Link Resolver usage• Add additional attributes to E-Inventory SA • Add missing elements in the PO Line shared dimension • Add fund information to the physical items SA • Add "Related ISBN ISSNs" to the bibliographic details• Add electronic material type for Portfolios• Course Reading SA• Vendor productivity and audit trail for acquisition workflow
16
Add missing elements in the PO Line shared
• The dimension “PO Line” appears as part of the ‘Physical Items’ subject area.
17
Add missing elements in the PO Line shared
• There have been several requests to add fields to this dimension.
• The following will be added:• Material Type• Identifier• Vendor Inv. Number • Manual Packaging • Routing During Receiving• Binding During Receiving
18
Add missing elements in the PO Line shared
These are the fields as they appear in the user interface
19
Add missing elements in the PO Line shared
• The addition of these description fields will allow the library to
1. Create detailed reports2. Arrive to very specific sets of PO Lines by using these
new fields as filters
20
Agenda
• Link Resolver usage• Add additional attributes to E-Inventory SA • Add missing elements in the PO Line shared dimension • Add fund information to the physical items SA • Add "Related ISBN ISSNs" to the bibliographic details• Add electronic material type for Portfolios• Course Reading SA• Vendor productivity and audit trail for acquisition workflow
21
Add fund information to the physical items SA
• Currently the Physical Items subject area contains no information about funds
• There is a PO Line dimension but it does not have fund information
No fund dimension and no fund information in the PO line dimension
22
Add fund information to the physical items SA
• A new dimension for Fund will be added
Fund
23
Add fund information to the physical items SA
• By using the new dimension for Fund information the library will be able to create many additional reports by both displaying and filtering on the fund information.
• For example the library will be able to report on the number of items received since a particular date ordered with a particular fund.
• This can then be combined with the “Time Loaned” to gain fulfillment statistics (‘Time Loaned’ Stores the number of times that the physical item was loaned)
24
Add fund information to the physical items SA
• Libraries will be able to make reports such as “How many items ordered from fund ‘mathematics-2014’ were loaned and how many times were they loaned”
• In this way libraries can evaluate the effectiveness of their funds
25
Agenda
• Link Resolver usage• Add additional attributes to E-Inventory SA • Add missing elements in the PO Line shared dimension • Add fund information to the physical items SA • Add "Related ISBN ISSNs" to the bibliographic details• Add electronic material type for Portfolios• Course Reading SA• Vendor productivity and audit trail for acquisition workflow
26
Add "Related ISBN ISSNs" to bibliographic details
• The 776 is used to designate the ‘Additional Physical Form Entry’.
• The subfield x contains the ISSN of the related record, and the subfield z contains ISBN of the related record.
• This is similar for other 77X fields such as the 775 ‘Other Edition Entry’ and the 773 ‘Host Item Entry’
• The 785 ‘continued by’ also includes the ISSN in subfield x• Until now it has not been possible to filter or display the
related ISBN or ISSN in reports• It will now be possible because the related ISBN and the
related ISSN will both be displayed.
27
Add "Related ISBN ISSNs" to bibliographic details
• For example:• ISSN 0270-6679 is the physical version of “Feminist
Issues”• ISSN 2168-6793 is the electronic version of “Feminist
Issues”• ISSN 0270-6679 (physical) has a 77608 field like this:
$$i Online version: $$t Feminist issues (Online) $$x 2168-6793 $$w (OCoLC)42815930
• ISSN 2168-6793 (electronic) has a 7761 like this:$$t Feminist issues $$h microfilm $$x 0270-6679 $$w (OCoLC)16934431
• Both above records have a 78500 like this:$$t Gender issues $$x 1098-092X $$w (OCoLC)38483617$$t Gender issues $$x 1098-092X $$w (OCoLC)38483617
28
Add "Related ISBN ISSNs" to bibliographic details
Continued as
Electronic
1. Print and electronic each relate to each other (red)
2. Old print and electronic version both relate to new ‘continued as’ version (blue)
29
Add "Related ISBN ISSNs" to bibliographic details
• With this new development it will be possible to both display and retrieve all related ISSN and ISBN fields
The ISSNs and ISBNs of these related records will also be in Analytics with the “main” record
30
Add "Related ISBN ISSNs" to bibliographic details
• With this new development it will be possible to both display and retrieve all related ISSN and ISBN fields
Related ISBNRelated ISSN
31
Agenda
• Link Resolver usage• Add additional attributes to E-Inventory SA • Add missing elements in the PO Line shared dimension • Add fund information to the physical items SA • Add "Related ISBN ISSNs" to the bibliographic details• Add electronic material type for Portfolios• Course Reading SA• Vendor productivity and audit trail for acquisition workflow
32
Add electronic material type for Portfolios
• Every electronic portfolio has a material type
33
Add electronic material type for Portfolios
• Every electronic portfolio has a material type
34
Add electronic material type for Portfolios
• In Alma the Electronic portfolio type may be faceted
35
Add electronic material type for Portfolios
• For example:
36
Add electronic material type for Portfolios
• Currently in Analytics it appears as “None”
• With this development the ‘Material Type’ will be filled in with the same value as the Alma User Interface.
• It will be retrievable and appear in the reports
37
Agenda
• Link Resolver usage• Add additional attributes to E-Inventory SA • Add missing elements in the PO Line shared dimension • Add fund information to the physical items SA • Add "Related ISBN ISSNs" to the bibliographic details• Add electronic material type for Portfolios• Course Reading SA• Vendor productivity and audit trail for acquisition workflow
38
Course Reading SA
• There will be a new Course Reading SA• It will contain, for example, a Reading List
Citations Dimension with the Reading List and the Course Information “collapsed” into it.
• The user will be able to create such reports as:1. Course Reserves circulation count (title, call
number, barcode, course number, course name, instructor, department, semester)
2. Course Reserves title list by course number (title, call number, course number, course name, instructor, department, semester)
39
Agenda
• Link Resolver usage• Add additional attributes to E-Inventory SA • Add missing elements in the PO Line shared dimension • Add fund information to the physical items SA • Add "Related ISBN ISSNs" to the bibliographic details• Add electronic material type for Portfolios• Course Reading SA• Vendor productivity and audit trail for acquisition workflow
40
Vendor productivity and audit trail
• The ordering process has many steps, each assigned with a date. For example, the date:• A bibliographic record was catalogued• The related item was ordered• Item arrives• Items is scanned in at circulation desk
• This data is currently saved in Alma, but not part of ETL
• A new dimension will be created for the order steps including date and user.
• This will allow libraries to run vendor productivity reports
