Invoicing Roles

Roles Description

Invoice operator creates and reviews invoices

Invoice operator extended can delete (cancel) invoices

Invoice manager create invoices, review and approve invoices

Acquisitions manager manages invoice configuration rules

Receiving operatormanages arrival of purchased physical items and performs post receiving processing tasks in appropriate receiving department

Invoice OverviewAlma menu > Acquisitions > Create Invoice

Entering Taxes into InvoiceVAT % and Amount fields: • Enter either the tax

% or amount; Alma will auto-calculate the other field

Vendor tax (local currency): • If relevant, enter

note indicating tax is charged in local currency and the invoice itself is in a foreign currency

Tax Options in InvoicesInclusive: Invoice total amount includes tax • If selected:

Taxes already included in invoice total amount

• If not selected: Adds tax to invoice total amount

Tax Options in InvoicesExpended from fund: Tax amount expended from each invoice line’s fund • If selected:

Amount distributed among each invoice line

• If not selected: Amount applied as a separate line item
