Setting the job type to match the work flow – an example

The Scenario: A property maintenance firm offers a 24 hour call out service to apartment owners. Part of the service is a fully itemised account showing all times and a CD containing digital images of the fault and the completed work.

The Job Type is set up with the following status tree.L Live Job, just phoned in.

A Technician allocated

TTS Travelling to Site: Allows charging of travel time and kilometres

AOS Arrived at Site ie ready to work.

IP In Progress: work started; difference between this time and AOS could be chargeable as waiting time to get into an apartment

OSC On Site work Completed: Now for the paperwork.

RSTC Reports and CD sent to Customer: Paperwork done,

C Complete: Job fully complete – now raise the invoice

A just as valid but simpler status tree for the same type of work could be L,A,IP,C ie Live, Allocated to Technician, In Progress and finally Complete

Configuring JobPro UsersEach User : Can have different menus, printers, etc set up to suit them . Or these may be derived automatically from the User Group

User Group : Determines what version of the software each user will run. At this level, whole functions of the program suite are either activated or deactivated, depending on various system settings. For example, at the TDS_EL1 level, the user has 5 desktop diaries – at the Admin level, the user has unlimited.

Menus Menus in JobPro are set up as simple text files.

Each user group can have its own menu, and each user can have their own menu.

The default is that a user will access the menu set up for the group.

However, the ability to assign a menu to each user means that JobPro can be specifically tuned to an individual user, not just the business.

Menus For example, the user GP has been set up with his own menu.

This restricts him to the following;-

1. Listing the masterfile information.

5.Creating and dispatching jobs.

In particular, this user cannot add new customers, products, or resources.

The user cannot see any pricing, and cannot rate and invoice jobs.

Each Tile : Each tile within any diary can be configured to suit a user. For example, the main job tile here shows Customer order #, Reference # and Docket #

Each Tile : The job tiles do not show Customer Order#, ref#, Dkt# , etc as these tiles are showing future work. The reference numbers will be attached at a later stage

Setting the Desktop DiaryAt the Admin level, the user can select from a range of filters including Geographic location, Job Type, Job Status, Dates, and Customer.

In this case the user is showing a job tile for each of Call Out , Fix, and Site Inspection Jobs. The “Configs” option from the main menu is selected and the selection saved as PropMnt.

Saving the specific setting Saving the configuration results in that configuration being slotted to the top of the 5 most recently used.

The 5 settings or Configs are of course the ones used for the JobPro entry level.

More configurable features

Reports: Each business can have its own version of any of the JobPro reports. These customer version reports are kept separate from the main reporting function. When JobPro is asked to run any report, it first tries to find a customer specific version. If none exist, then then standard report is run.

Popups: The popups that are accessed from the F3 function key can be configured separately for each user and each form that they are called from.

Diary Tiles: Each diary tile eg Job, Resource, can be configured for both User Groups and individual users via a simple text file. This means that some fields can be hidden to some users eg money fields, but able to be seen by other users in the same user group.
