Overview• Dates: August 2nd – August 20th• Schedule:
– Students work Monday - Thursday • 9:00 – 5:00• You have flexibility
– May change the hours to correspond to your standard work day or to student’s commute– Discuss how lunch and breaks are typically handled in your office
– Orientation on 1st ½ day (August 2) at Companies That Care– Fridays students will meet (9-5) as a group to participate in a seminar with
Companies That Care Staff at a location TDB. Any ideas for computer labs downtown?

Goals

Work Experiences
• Provide students with a variety of work experiences in different departments
• Provide students with work experiences that contribute to function of department and mission of organization
• Communicate the importance of administrative work
• Some suggestions– Attending client or other meetings– Note taker at meetings and
drafting a summary (give feedback)
– Draft website copy– Research – internet and phone
calls– Data analysis – finance, due
diligence– Senior executive for a day– Developing software skills
• Word, Excel, Power Point, email, etc.
– Hold Lunch n’Learns about different functional groups
– Proofreading– Photocopying, filing – only as part
of a whole process or task– Prepare a presentation

More Work Experience Ideas…
• Example of Law Firm– Paralegal work– Attending client meetings– Going to court– Organizing files for litigation – preparing for depositions, interrogatories– Analyzing documents– Drafting summaries– Note taker at meetings– Draft website copy– Research – internet and phone calls– Data analysis -- finance– Look at job descriptions from existing internships that companies offer– Photocopying, filing – only as part of a whole process or task– Managing partner for a day– Look into what intern materials/programs already exist at your

College Preparation
• College Identification Assistance– Help your student identify at least 9 colleges to apply to
• 3 safety, 3 target, 3 reach• Instructions and websites/resources will be in Internship + College Prep
Workbook
• College Application Assistance– Help your student complete the entire Common Application,
including essays– Help student develop ideas for various essay and edit
• Financial Aid Workshop– On a weekday (5pm-7pm) at a Location TBD. If your company is
interested in hosting this for our group, please contact [email protected] or chat right now.
– Parents/guardians will be invited and encouraged to attend

College Prep- Common Application
• Common Application is accepted by most colleges• Students will fill it out online• Download it at www.commonapp.org• Key Parts
– Data Gathering and Input Sections (Personal Data, Address, Future Plans, Family, Academics, Standardized Tests, Activities, Work Experience)
– Writing Sections• Short Answer (elaborating on activity or work experience, 150
words max)• Personal Essay (250 word min, 6 topic choices including topic
of your choice)– Recommendations
• Identifying and contacting teachers/counselors

Supplemental College Applications
• Many colleges that accept the Common Application also require a supplemental application
• Access via Admissions page of college’s website• More essays• Essay about “why I want to attend XX college”

Internship + College Prep Workbook
• A tool that will help turn this experience into a text from which to learn.
• A place to keep college planning organized.• Mentors will receive an electronic copy in advance for
your reference and will help students complete it.• Students will be given physical copy at internship
orientation on Day 1.• Includes “work readiness assignments” (some of which
will involve mentors) and “college planning tools.”– Examples:
• Interviewing an Employee Project• Weekly Performance Evaluation• Colleges of Interest Tracker

Internship + College Prep Workbook (cont’d)
• Mentors should allow some time during work week for students to work on these important college prep activities. (Suggested, at least 1 hour per day)
• Handbook will also include:– College Match Worksheets
• Identifying Safety, Target and Reach Schools• We will provide resources/websites to assist in search
– College Application Worksheets• Filling out Common App• Specific Deadlines for Specific parts (we will provide mentors with copy
so you can keep up with your student)– Financial Aid/Scholarship Search Worksheets– College Major/ Career Planning Worksheets, etc– Milestones worksheet (with deadlines for various parts of college
prep process)

Feedback• Weekly Check-in
– Have a time each week, preferably Thursday, where each student’s “internship supervisor” can sit down with the student one-on-one for 30 minutes to discuss:
• How the student is doing, feeling about work/internship• What the student is enjoying, not enjoying, etc.• What student finds easy, more challenging, etc.• Is the student getting the work done and getting it done well
• Performance Evaluation – To be conducted on last day of Internship, August 19th
– Companies That Care will provide rubric– Will include evaluation of:
• Professionalism– Attendance– Attention to detail– Accuracy– Making good impressions– Hitting milestones and deadlines
• Engagement– Asking good questions– Discussing their plans going forward

Fun
• Invite students to fun activities at work• Ask people to “visit” the student at his/her desk• Take them to a site visit/client visit• Invite them out to lunch one day

Transportation & Food
• Students are responsible for their own lunch (except Day 1)
• Students are not responsible for transportation costs to and from their worksites.– For City Sites: Students can take CTA.– For Suburb Sites: We are looking into ways to coordinate
and will touch base with companies individually.

Companies That Care Responsibilities
• Create Internship + College Prep Handbook– Prepare all Resources and Materials to be distributed to
Students/Mentors for all worksheets/activities
• Provide planning support to mentoring teams• Conduct Student Orientation• Conduct Weekly Practicum for Students• Provide ongoing support to mentoring teams throughout
internships• Figuring out (with the mentors’ help) how to get the students
back and forth to the office everyday. Students can take CTA to city sites. Some ideas for suburban sites include:– Nearby Metra stop? – Shuttle service? – A mentor that lives in the city that could meet the student in the
morning?

Student Responsibilities
• Complete assignments and fulfill performance expectations• Act professionally
– Be on time– Work a full day (Mon – Thur)– Dress appropriately
• Convey a positive attitude– Positively contribute to the work environment and organization– Be open to all types of work
• Be a Learner– Explore the organization, the different roles and functions people
play– Begin to think about what types of work they enjoy, discover their
strengths and weaknesses, where they can improve
• Provide own lunch (except first day), unless told otherwise by mentor

Mentor Responsibilities
• Plan the internship– Think through what orientation your student(s) will need for your
office– Anticipate “supplies”
• Desk• Computer• ID card• Security codes
– Look into what intern materials/programs already exist at your workplace that could be of use
– Anticipate any confidentiality issues and deal with ahead of time– Plan work for the first week
• Reach out to other departments to see what their needs in August might be
• Brainstorm among your team how your student will get back and forth to work everyday. Email or call David Fine to discuss (312-661-1010, [email protected]). Companies That Care is ultimately responsible but would like to brainstorm with mentors of suburban sites.

Mentor Responsibilities
• Provide an internship supervisor for each student – Assigns work to student– Collects feedback from colleagues– Leads weekly Thursday check-in and Final Performance Evaluation
• Provide computer & internet access for each of your students• Preparing Meaningful Work for the Students (does not have to
be in your dept). • Provide Feedback to Students• Assist with Completion of Internship Handbook• Write a letter of recommendation
– We hope each student will come out of this internship with a letter of recommendation that can be used/modified for the college application process. Best to do electronically so it is easily modified.

Be sure to share this slide with whoever will be making the students’ schedules. Remember to schedule in time for students to work on Internship + College Prep Workbook activities as well as a Weekly Performance Check-In.

What Students Walk Away With Upon Completion of Internship
• A real work experience they can write about, reflect on and grow from
• A closer relationship with their mentors• List of Safety, Target and Reach Schools to which they

aside from Teacher Recs, but will have created deadlines for this that will be shared with mentors)

Key Learnings from Last Year
• Being on time is a challenge for many students. The internship supervisor needs to play a “hard” role to help students overcome this.
• Confirming summer plans with students and their parents is a challenge. We will start early on this!
• Students are not familiar with navigating downtown.• Some students will need to alter their internship dates
because of college programs and other summer plans already in place.

• We will have a “check-in webinar” on July 1st at 1pm.
• Start thinking about projects/assignments for your students…
• Be in dialogue with your students about the upcoming internship, share what you are planning, get them to be excited and appreciative, and confirm/adjust the proposed dates as needed, etc.
