Community & Library Information:
Garden City is a Class V Library. It serves a population of 27,692 residents located in Wayne County, MI. The Library has 1 full time and 5 part time employees. The Library is a member of The Library Network. The Library has an appropriation from the City’s General Fund to operate through December 2011. A millage proposal will be decided by voters in November.
Qualifications:
ALA accredited Master of Library Science degree
Level 1 Michigan Librarian’s Permanent Professional Certification
Thorough knowledge of modern public library service, techniques, and principles, including appropriate application of technology
Experience with budgets and staff supervision
Duties:
Responsible for the supervision, recruitment, and administration of library personnel

Shared Automation System Users Group June 23, 2011 – Franklin Public Library
Meeting called to order at 9:39 by Chair, Heather Sturm (MANC)
Approval of Agenda
Two revisions were made to the agenda: 1) for Celia Morse to deliver the Board Report; 2) to remove the Network Update. Motion to approve the revised agenda by Paulette Medvecky (WAYN), seconded by Joan Rogers (WATE). Motion passed unanimously.
Approval of Minutes from May 2011 Meeting
No changes were proposed. Motion to approve the minutes by Elizabeth Gulick (CLAW), seconded by Celia Morse (BERK). Motion passed unanimously.
System Update – Anne Neville Garden City Update The User Profile of all patrons that are registered at the Garden City Library was changed to the LIBCLOSED User Profile as of Tuesday, June 21, 2011. This means that Garden City registered patrons will not be able to checkout or renew items, or place holds.
While the Garden City library is now closed for the foreseeable future, there is apparently a very slim chance that the library could reopen in mid-2012, should the millage proposal on the November ballot pass. With even a slim chance of the library reopening, we do not want to begin permanently removing Garden City items from the database at this time. Therefore all Garden City items have now been shadowed; this means their items will not be visible in eLibrary. In Workflows, staff will have to perform Keyword searches in order for Garden City items to be included in the search results.
We have also removed Garden City as a Search Library choice on the eLibrary Basic Search screen and removed Garden City from the eLibrary Index page so that patrons will not be able to select the Garden City environment to enter eLibrary.
An email was sent June 22, 2011 to the Sasmanagers email list attached to which was a list, in order by owning library, of all items currently checked out to patrons registered at Garden City. The list includes item ID, author, title, date checked out, date due, current location, user name, user ID, address, and phone. While overdue notices and assumed lost/bill notices will continue to be generated as usual for these items, staff may want to use this list to follow up on your items that have not been returned.
Symphony 3.4 Upgrade Revisited After attending the annual SirsiDynix Users’ conference in April, we had decided to hold off upgrading to Symphony 3.4 this spring and instead upgrade to Symphony 3.4.1 when it was released sometime this summer, as it looked to have some features that would really benefit library staff. However, we have learned that SirsiDynix is planning to add more new features and functionality to Symphony 3.4.1 than originally planned, and so will not release it until

sometime near the end of the year. Therefore we will go ahead with plans to upgrade to Symphony 3.4 this fall; we will let you know as soon as we have a timeline for the upgrade.
Setting the Path for WF Reports in Windows 7 64 bit
In WorkFlows, the delivered path to view and print reports(C:\Program Files\Windows NT\Accessories\WordPad) is incorrect in 64 bit versions of Windows 7.WordPad is a 32 bit program, so in the 64 bit Windows 7, it is installed in the Program Files (x86) folder.
The correct path can be entered using the gadget in the Report Settings Wizard in the REPORTS login. The correct path for 64 bit Windows 7 installations is C:\Program Files (x86)\Windows NT\Accessories\WordPad
Library Anywhere If staff or patrons report any problems or issues with the mobile app, Library Anywhere, please open a helpdesk ticket to report those issues to us. If we can’t resolve the problem, we will contact the Library Anywhere tech support staff at Bowker; they have been very responsive to issues we have reported thus far. Please use a helpdesk Category of eLibrary and Subcategory of Other when reporting problems with the Library Anywhere app.
Holiday Closing Reminder
TLN is closed on Monday, July 4 for the Independence Day holiday. The helpdesk will not be staffed and the shared system will not be available for use. TLN staff will use these holiday hours to perform a full system backup. eLibrary will be unavailable while the full system backup is being completed, which generally takes 5 to 6 hours.
Helpdesk – Reminders
As we move into vacation season, we just want to remind everyone to open tickets in the helpdesk rather than emailing or calling individual TLN staff. The TLN centralized helpdesk system is in place to support you and to help us respond to your requests in a timely manner. We ask that you either call the helpdesk for assistance or open a helpdesk ticket. By doing this, it eliminates the guessing game for library staff to figure out which TLN staff person to call and whether or not they are in the office.
When you open a helpdesk ticket, please do not change the 4 character library code to your name. For reporting purposes, there is one login for each library and we request that the 4 character library code name not be changed. By all means, change the email address to your own email address if you are the requestor of the helpdesk ticket. There is a default email address in place for each library but the requestor can override that with his or her own address so that the requestor will receive updates on their helpdesk ticket from TLN staff.
Also, be sure to select the appropriate category and sub-category for your request. Doing so will also help us in responding to your requests in a timely manner.

Report from the Executive Committee - Celia Morse ExComm was mystified by the attorney’s first draft at modifying the Symphony maintenance contract. For unknown reasons, he made changes to the original contract with SIRSI. The draft has been returned with a reiteration of the work we wish done for a 5 year maintenance contract. Half of the bill for current year maintenance has been paid to SIRSI in the meantime.
TLN is investigating using PayPal to allow patrons to pay bills online through eLibrary. Comprise’s online payment product is extremely expensive. The model being considered is to have TLN collect all online bill payments and distribute them to the libraries owning the items occasioning the bills. It may be possible to set up accounts for individual libraries to use at point of sale.
A committee has been established to investigate current use and establish guidelines for use of non-resident profiles. Its first meeting follows this SASUG meeting. Any interested volunteers should contact Paul McCann (DEXT).
ExComm discussed reciprocity for AV formats, within SAS and in MelCat occasioning the new business items to come later in this agenda.
Report from the TLN Board Meeting - Celia Morse Board reviewed a letter from Doreen Mayhew regarding management controls, and discussed the effect of closures on reciprocity. The new representative from Wayne County is Annette Haley from Trenton. Betty Farhat’s term is up in October. There is at least one candidate so far.
Report from the Technical Services Committee - Cheryl DeCovich All libraries now should be running Sky River. There is a known issue: when requesting more than 7 records at a time, some end up missing. This is under investigation. If you see it occur, please inform Jim Flury. Otherwise issues with this change have been minimal. Open a Help Desk ticket for any problems. If an item is not in Sky River, send the physical item to BDBS. BDBS asks pardon if there is any lag time as new processes become familiar. Tech Services Committee will be looking at records customization in the fall. The committee next meets July 20 at Livonia Civic Center.

Unfinished Business Proposed changes to Ultra-Lo-Gen user profile Lawrence Marble (SLYN) had proposed change to 1-year privilege limit, and 5-10 holds allowed. Currently the thresholds for Ultra-Lo-Gen are: Privilege Limit 3YEARS; Overdue Threshold 10; Bill Threshold 5; Charge Limit 100; Hold Limit 25. By email, Amy Rosen (WHLK) indicated White Lake would not want to go lower than 10 holds. Among users of the profile present, Celia Morse (BERK) and Paulette Medvecky (WAYN) were opposed to a 1-year privilege limit. It was pointed out that there are two other profiles with both 3- and 1-year privilege variations. Motion by Paulette Medvecky to lower the hold limit in the Ult-Lo-Gen User Profile from 25 to 15, seconded by Celia Morse (BERK). Motion tabled. The meeting felt that profile users should have more notice of this proposed change, and that the motion should appear on the agenda for next meeting. New Business 1. Reciprocal lending of audio-visual items within the Shared System There was a discussion of inconsistency in reciprocity among SAS libraries for Audio-Visual formats. The starting contention for the discussion was that interlibrary lending of AV should be more widely allowed. As it developed, the discussion extended to new books and MelCat lending as well. Prominent points of the discussion included:
Since users cannot be restricted from requesting any available item within the Shared System, the libraries that do not lend AV should ask themselves, is it fair to have your patrons requesting and receiving DVDs and CDs from other libraries, but not providing the same to those others?
To address fears that new material will not be available to browse if local holds restrictions are lifted: the most popular items will never be on the shelf, unless they are made unholdable by anybody; less popular items will still be on the shelf nearly as much as if they were a local hold only.
Demand management causes holds from users of any particular library to have priority over all other holds for that library’s materials, even if they place holds after users from other libraries. Universally allowing holds on new materials would not impact what happens with blockbusters. It would have the greatest impact with B-list fiction and the vast majority of non-fiction, and would improve service to patrons by increasing the availability of less widely-held items available throughout the system. Arguably, this also would increase the diversity of titles system-wide, as libraries would not be compelled to buy their own copies of lower-demand items, but could get altogether different items.
Item types Local hold -- 1, 2, or 3 Week, cause additional concerns. Since they are assigned independent of format, they do not appear in search results for material-specific searches (the options on the right-hand column of the main search screen). NEW item types (NEW-BKONCD, -DVD, -CD , etc.) allow libraries to have place restrictions on new items without using Local Hold Item types.

Libraries which allow system holds on AV and/or all books reported an initial spike in requests, but subsequently no hardship, or depletion of their shelves.
Questions were raised whether local rental fees or use of the Acquisitions module affects this discussion.
DVDs are the material people most often jump from the Shared System to MelCat to obtain. Allowing such material to circulate through the SAS would reduce the extra work for libraries and TLN delivery involved in MelCat loans. Increased potential for damage to materials through handling by RIDES is also a concern.
The original group of MelCat libraries agreed to loan Item types BOOK and VIDEO (i.e. VHS). Since then Mel determined which libraries actually had any VIDEO to loan, and created a group within TLN that cannot request AV based on patron profile.
The discussion also included what action should be sought. It was noted that strong recommendations have been made for opening collections to sharing for some time, with only sporadic effect. It was argued that the proposed motion should be to make sharing of specific types of resources mandatory for participation in the Shared System, and see if the membership will support this or not. Libraries would need to allow all holds or none for these items.
It was decided that the agenda for the July SASUG meeting should include a presentation on Demand Management, and further discussion and formulation of the proposed motion. A vote was tentatively set for the September meeting to allow for full notice to and participation of the membership.
2. MelCat lending review: video tapes and other audio visual items This item was deemed to be a subordinate issue to the previous item, and to have been covered for the time being in that discussion.
