SAVING TIME, MONEY AND ENERGY

THROUGH SUPER EFFECTIVE EMAIL

ORGANIZATION

Email is a ginormous part of the business world in 2013 (in case you haven’t heard).

SOME COMPANIES PRIMARY MARKETING STRATEGY (SEE THE CLYMB) IS EMAIL

MARKETING.

But, recent studies show that email is one of the BIGGEST time wasters in American business!

BUT…

So, without further ado, this is how to organize your inboxes and mail service to maximize efficiency and time!

WITHOUT FURTHER ADO

Remember when everyone in the offi ce had inboxes? Little shelves on the corners of desks where they and co-workers could shuffl e, send and receive papers?

This is where email “inboxes” came from

FIXING YOUR INBOXES, BOTH PERSONAL AND PROFESSIONAL

YOU WOULD NEVER LET THERE BE 2,000 PIECES OF PAPER IN YOUR

INBOX!!

YEAH, NO THANKS!

Why do we let our email pile up infinitely? Because we can.

Unfortunately it’s just so easy to ignore our inboxes and let them pile up indefinitely.

But the truth is, that it’s just mental clutter!

SO WHY DO WE LET THIS HAPPEN WITH EMAIL?

So the first step is:

DELETING EMAILS TILL YOUR INBOX IS EMPTY

1ST STEP

As overwhelming as this sounds, it will take you one or two hours tops.

Carve out a few hours of your workday and get it done!

Get rid of everything that’s not important, and put everything else in a to-be-sorted fi le.

THIS MAY SOUND OVERWHELMING, BUT…

“Nothing like a deep clean and a fresh start!” -somebody famous probably said this at some point in history…

Now that we are all cleaned out, we are going to keep our inboxes organized so they never pile up again!

NOW THAT WE ARE SQUEAKY CLEAN

Set up folders based on subject.

Many email apps already have these set up, but we recommend customizing your folders to your needs.

Also, we have folders for each major project we manage or website we own.

FOLDERS

Another cool way to organize your email is (Thank you Stephen Covey) by roles:

-father–husband –CEO –golfer –music junkie-etc.

-Boxer….

There are 4 things you can do with any new email that comes in

WHAT TO DO WITH NEW STUFF

If you can do it in two minutes or less, just get it done.

Otherwise, see “Delegate it”

The “Do It” category also includes things like checking out a sale being promoted, or reading the personal letter from your friend. Both of these after fi nishing however, require sorting via deletion or folder-ing.

1. DO IT

This is naturally the best option and our personal favorite.

Every time you delete an email, pretend you are playing virtual trash can b-ball

DELETE IT

PUNT IT

Punting it essentially just means sending it back to the sender.

A lot of emails are just looking for a quick response and just require a quick “punt” back to the person.

Punting it also includes sending it back, asking for clarification.

DELEGATE IT

Delegating is our 2nd favorite.

Is there somebody else who can handle this request better?

Is there a subordinate or V.A. that can do it? If so, send it down the line!

Notice that “read it and leave it,” and “don’t read it, just let it be/ignore it” are not options!

These two choices are what lead to your inbox getting cluttered and over run in the fi rst place!

The goal should be to check your inbox infrequently, say once or twice per day, but check it to COMPLETION, meaning your inbox is empty when you are done. If you force yourself to choose between one of the 4 options listed above for every e-mail you look at, your inbox will be empty when you complete your check.
