Planning a Presentation
● Know the audience (Who?)
● Focus on the topic (What?)
● Structure the talk (How?)
Peter M. Roth Scientific Presentations SS 2017 15/59
Institute of Computer Graphics and Vision
Who: Know the Audience
● Who is my audience?
Peter M. Roth Scientific Presentations SS 2017 16/59
Institute of Computer Graphics and Vision
Who: Know the Audience
● Presentation site?– Seminar, defense– Scientific conference– Popular scientific event
● What is the general background knowledge of the audience?
● What is the specific knowledge about the topic?● What language does the audience speak?
Peter M. Roth Scientific Presentations SS 2017 17/59
Institute of Computer Graphics and Vision
What: Focus on the Topic
● Reflect your work– Which information is essential– Focus on the most interesting parts
● How can this be supported?– Videos, figures, tables, equations, etc.
● Main idea or message of the presentation– Continuous chain of reasoning– Story telling
Peter M. Roth Scientific Presentations SS 2017 18/59

How: Time Management
Plan 30 minutes preparation time for each minute of presentation!
Rule of thumb:
Peter M. Roth Scientific Presentations SS 2017 20/59
Institute of Computer Graphics and Vision
Structure of a Presentation (1)
● Classical formula– Tell them what you will tell them– Tell them– Tell them what you told them
Peter M. Roth Scientific Presentations SS 2017 21/59
Institute of Computer Graphics and Vision
Structure of a Presentation (2)
● Structure similar to a scientific work– Title slide– Motivation– (Outline)– Related work– Main part– (Results)– Conclusion
Peter M. Roth Scientific Presentations SS 2017 22/59
Institute of Computer Graphics and Vision
Title Slide
● Title of talk● Presenter (+ Co-workers)

Peter M. Roth Scientific Presentations SS 2017 23/59
Institute of Computer Graphics and Vision
Motivation
● Motivation of the work● Put the presentation in context:
– Known problems– Needs of the audience
● Raise the attention (now or never)– Address the curiosity, tell some surprising facts,
tell an anecdote– Give an interesting example– Show an interesting image related to topic– Start with good results
Peter M. Roth Scientific Presentations SS 2017 24/59
Institute of Computer Graphics and Vision
Outline
● Not a must– Matter of taste– Depends also on the structure of the talk
● Content, Agenda, Overview, …
● Do not discuss in detail!– Better to invest time in technical details and
results
Peter M. Roth Scientific Presentations SS 2017 25/59
Institute of Computer Graphics and Vision
Related Work
● Show that problem is important (indicated by many references)
● Problem is new/exotic (not many references)
● Do not waste time here, your talk is about your work!
Peter M. Roth Scientific Presentations SS 2017 26/59
Institute of Computer Graphics and Vision
Main Part & Results
● Describing main question● Discussing the main idea● Logical argumentation flow, red line
– Chronological– Single steps in algorithm– Building blocks of system
● Present the obtained results● Structure can diverge from paper
Peter M. Roth Scientific Presentations SS 2017 27/59
Institute of Computer Graphics and Vision
Conclusion
● Prepare the audience for the end● Conclusion of the main idea● TAKE HOME MESSAGE● (Thank to co-workers, List of references)● Last sentence should be a positive statement and
should be remembered ● „Thanks for your attention!“

Slides – General Notes (1)
● Slides are only an aid to support the talk● No full sentences● Text should be self-explanatory● (Almost) every slide has a short and concise title● Slide title: Use upper case style!● Start each item with an upper case letter● Do not overload slides: One idea per slide
Peter M. Roth Scientific Presentations SS 2017 30/59
Institute of Computer Graphics and Vision
Slides – General Notes (2)
● Proof-read slides, use spell-checker !!● Use animations/overlays wisely
– Focus on current item– Focus on previous item(s)– Capture temporal information– Use only if there is an information gain
● Put references where they are used – Self-contained on slide: [Smith et al. CVPR'16]– Reference list in the end
●
Peter M. Roth Scientific Presentations SS 2017 31/59
Institute of Computer Graphics and Vision
Slides – General Notes (3)
● Slide meta content– Name of presenter– Presentation site– (Affiliation)– Slide numbers: Easier referring to content– Overall number of slides (longer talks)
● Longer talks– Make structure of talk apparent– E.g., inline table of content
● Use meaningful style!
Peter M. Roth Scientific Presentations SS 2017 32/59
Institute of Computer Graphics and Vision
A Picture is Worth a Thousand Words
● Computer Graphics & Vision → no problem!
Peter M. Roth Scientific Presentations SS 2017 33/59
Institute of Computer Graphics and Vision
Formulas
● Mathematical formulas only if– absolutely necessary– information gain is provided– really explained in detail
● Introduce all terms, which are known/unknown
● Use symbols consistently over slides, re-introduce them if used later
Peter M. Roth Scientific Presentations SS 2017 34/59
Institute of Computer Graphics and Vision

Number of Slides
● Depends on – experience of speaker– content of the slides– length of the talk
● Guideline– Rule of thumb: in average 1 minute per slide– Lower boundary: ½ minute per slide– More realistic: ~2 minutes per slide
● Keep hidden slides in reserve
Peter M. Roth Scientific Presentations SS 2017 41/59
Institute of Computer Graphics and Vision
Length of talks
● Typical scientific talk: 15 – 20 minutes● Defense: 30 minutes● Invited Talk: 45 – 60 minutes● Lecture: 45 – 90 minutes
Peter M. Roth Scientific Presentations SS 2017 42/59
Institute of Computer Graphics and Vision
Common Mistakes
● Too much information– Too much slides– Too much text– Long sentences– Too much numbers
● Too small font● Too thin lines in plots● No color or too much colors● Only a 1:1 copy from the scientific work
Peter M. Roth Scientific Presentations SS 2017 43/59
Institute of Computer Graphics and Vision
Software?
● Use MS PowerPoint or LibreOffice Impress– Easily draw figures– Do last-minute changes– See the script during presentation– Easier to re-use existing slides (?)
● Use LaTeX– Easy to re-use material from the paper– Managing formulas much easier– Easier to change layout/style– Cross-platform format: PDF
● Tradeoff: LibreOffice Impress + OOoLatex: PDF output

Giving a Presentation
Peter M. Roth Scientific Presentations SS 2017 45/59
Institute of Computer Graphics and Vision
Giving a Presentation (1)
● Familiarize yourself with the environment– Choose position, be familiar with equipment,
do not block view on slides● Use your voice to transport the message
– Talk to whole room in a loud voice– Emphasize important parts– Use voice to structure sentences, separate
thoughts by pauses– Speak more slowly than usually (stage fright)– Avoid fillers (eehhm, äh, … → well)
Peter M. Roth Scientific Presentations SS 2017 46/59
Institute of Computer Graphics and Vision
Giving a Presentation (2)
● Use body language to transport the message – Avoid nervous behavior– Use supportive gestures– Hands out of the pockets– Keep eye contact– Do not pace up and down or stand tight– Speak as freely as possible
● Practice!– Friends / family– Video camera
Peter M. Roth Scientific Presentations SS 2017 47/59
Institute of Computer Graphics and Vision
What makes a good speaker?
● Experienced speaker talk freely, only peer on the notes sometimes
● Inexperienced speakers learn phrases by heart– Sounds unnatural and hard to understand
● Weak speakers read from the paper or slides– Strenuous for the audience
● Full audience feels concerned● Be careful with jokes: e.g., cultural differences
Peter M. Roth Scientific Presentations SS 2017 48/59
Institute of Computer Graphics and Vision
Handling Slides
● Show slides long enough
● Meaningful transitions
● (Content of next slide)
● Render content in your own words
● Use laser-pointer to highlight certain parts (do not overuse)
● Do not talk to the slides, but to the audience!
Peter M. Roth Scientific Presentations SS 2017 49/59
Institute of Computer Graphics and Vision
Personal Well-being
● Why not nervous?– Everybody is ...– Audience most likely does not notice– Too much self-confidence appears arrogant– Flow of words reduces stage fright– Script first sentences; or if timing is very strict,
script everything● Clothing
– Important to feel well– Formal attire: only for master/PhD defense
Peter M. Roth Scientific Presentations SS 2017 50/59
Institute of Computer Graphics and Vision
What to Do in Case of Disaster?
● 87 slides for only 15 minutes– Remove slides, focus on the main content– Better: Structure talk in before!
● Questions asked during talk?– Briefly answer or refer to later
● Lose the plot in middle of sentence– Excuse and restart sentence– Continue (audience most likely does not register)
● Several persons start a collateral discussion– Ask if there are any questions– Make a short break
Peter M. Roth Scientific Presentations SS 2017 51/59
Institute of Computer Graphics and Vision
Questions & Answers
● Usually after a talk: 2 – 10 min., fill time slot● Reasons
– Clarify: second chance to explain a point– Give additional information– Possibility for interaction with audience
● Listen to full question attentively● Repeat question● (Compliment question and questioner)● Highlight positive aspects for difficult or controversial
questions● Re-formulate uncomfortable questions
Peter M. Roth Scientific Presentations SS 2017 52/59
Institute of Computer Graphics and Vision
Questioner
● Normal– Short question– Short answer
● But (observation Prof. Schmalstieg)– The nerd– The rival– The fool
Peter M. Roth Scientific Presentations SS 2017 53/59
Institute of Computer Graphics and Vision
Chairman
● Welcomes the audience● Introduces the speaker and the topic
→ “Thanks for the introduction.”
● Checks the time limit● Asks the audience to ask questions● Leads the discussion (and stops if necessary)
Peter M. Roth Scientific Presentations SS 2017 54/59
Institute of Computer Graphics and Vision
Final Advises (1)
● Time management: Start early enough● Schedule the talk: time + number of slides● Practice the talk● Check the setup
● Be aware of copyright issues– Use references– Do not use content from unknown sources– Be aware of different license models
Peter M. Roth Scientific Presentations SS 2017 55/59
Institute of Computer Graphics and Vision
Final Advises (2)
● No golden standard– Different topics require different style – Different people have different flavors– Slides should be self-containing– Story telling, thrill audience
● However, avoid typical errors!– Slide quality– Not well prepared– Reading instead of presenting
