The 3 Rules for Report Wri-ng

•  RULE 1 – Know thy data

•  RULE 2 – Know thy repor-ng tool

•  RULE 3 – Maintain a library of reports

Rule 1 – Know thy data •  Primavera P6 EPPM data in the actual PMDB database since year dot i.e.

version V1.5 back in 1999 and in V1.6, V3.5.1, V4.0, V5.0, V6.0, V6.1, V6.2.1, V7.0 and even V8.0 (aka P6 R8) only contains 70% of your data needs –  You will NOT find all fields e.g. dura-ons, %completes as it is only

calculated when needed by P6 soGware –  You WILL find them in the ERD (P6 Enterprise Repor-ng Data

Warehouse – if you have it) •  BUT …. in P6 R8.1 we have it all, and more, in the P6 EPPM database

–  the data has been deliberately structured and named for easy repor-ng including addi-onal hierarchy data structures to navigate just for repor-ng!

Rule 2 – Know thy repor-ng tool •  So we learnt how to use the Report Wizard in P6 windows client •  We discovered the ‘Use Current Screen’ op-on in the Tools menu •  Some of us have even mastered the ‘Modify’ bujon that launches the P6

Report Editor into the wonderland of the repor-ng canvas •  For those of use embracing the web, we can run reports in the P6 web in

My Reports and Project Reports portlets but are limited to genera-ng HTML output only with… –  No page headings, no page breaks, very limited formakng op-ons

•  We know it has NO calculated fields, NO embedded graphics, NO run-‐-me parameters, so.. –  We created extracts to spreadsheets –  We installed the SoGware Development Kit hoping that would help –  We used and probably s-ll use dubious excel spreadsheets and macros to get

the repor-ng needed •  BUT… along came BI Publisher 10g and 11g capability in P6 R8.1

Rule 3 – Maintain a library of reports

•  So we get a prebuilt library of over 100 reports in PMDB (to use copy and change)

•  We copy, change and use these only with the P6 windows client •  We lean how to copy any components inside these reports to reuse into

other reports and start sharing using imports and exports to grow the library and our skills, some of us even ajend For-or’s P6 Repor-ng Wri-ng training

•  We could become a bit frustrated if someone else deletes our report, so we started to export these as .erp files and save them into our own libraries on our personal drives

•  BUT… along came BI Publisher 10g and 11g capability in P6 R8.1 with a new (addi-onal) report repository of 30+ pixel perfect reports including new security features. The library contains samples to build on and copy from.

•  Seeing is believing … •  The next few slides show the output of reports produced directly from Primavera P6 EPPM

HOW IS IT DONE? Pixel Perfect Project Repor-ng from P6

•  So how is this done ? •  Approximately 65 new tables have been added to the P6 database schema, as well as new logical views for repor-ng. The new tables are installed by default on upgrade to P6 Release 8.1.

•  All repor-ng in P6 web is done using BI Publisher •  Reports are run on demand or to a schedule directly from P6

•  The Publish Project service will recalculate and publish all project business objects containing calculated or denormalized data. This includes, but is not limited to, the WBS, ac-vi-es, resource/role assignments, high-‐level planning assignments , rela-onships, risks, documents, expenses, steps, milestones, UDF values, notes, issues, budget change logs, -mesheets, code assignments, funding source assignments, etc.

You gained an insight into how P6 accepts parameters, automa-cally schedules, generates and imbeds charts and includes all the important data from mul-ple sources and reported in the posi-on, fonts, colours, tables and layouts you need for your high quality stakeholder repor-ng requirements.
