Conditional Formatting

Conditional formatting in MS Excel highlights important information in spreadsheet. User

can display data in a particular color or style depending on a particular condition. For

example, consider the data table shown in fig 2.21 in which we want the marks which are

less than 20, to be displayed in orange color.

To display select data in a specific color (here orange) follow these steps:

1. Select the range containing data. In the example given, the range is C4:D13.

2. Click conditional formatting in the styles group of buttons on the Home tab. The

conditional Formatting drop-down menu appears (Fig. 2.22).

3. Select Highlight Cells Rules and choose Less Than from the submenu.

4. The Less Than dialog box appears. Type 20 in text box labeled Format Cells that are

LESS THAN (Fig. 2.23).

5. Click the arrow in the With list box. Select the desired format option.

6. If you want to have a format style of your own, click Custom Format option from the-

down menu. The Format cells dialog box is displayed (Fig. 2.24).

7. Select he desired font style and color. Click ok. The Less Than dialog box appears

again.

8. Click ok. You will see that all cell values with marks less than 20 are displayed in

orange color (Fig. 2.25).

To Clear Conditional formatting, click the arrow next to clear Rules option in the Conditional

Formatting drop-down menu. Choose any of the two options— Clear rules from Selected

Cells or Clear Rules from entire Sheet.

To apply conditional formatting to selected rows, follow these steps:

1. Select the entire table shown in Fig. 2.26.

2. In the conditional formatting drop-down menu, click New Ruled. The new Formatting

Rule dialog box appears (Fig. 2.27).

3. In the Select a Rule Type section, click use a formula to determine which cells to

format (Fig. 2.28).

4. In the Formatting Rule dialog box, type = and then click any cell in the Geography

column.

5. Delete the dollar sign before the row number and type <20 so that the final

expression becomes =$D4<20.

6. Click Format. The Format Cells Dialog box appears.

7. Click the Fill tab and choose orange as the background color (Fig.2.29).

8. Click ok in the new Formatting Rule dialog box. The Rows with less than 20 marks in

Geography will be filled with orange color (Fig. 2.30)
