DEPOSITS
A 50% deposit of the total booth rental fee is required to reserve a space. All deposits are non-refundable. After May 22, 2015, deposits are no
longer accepted and the booth rental fee must be paid in full in order to reserve the space.
PAYMENT & EXHIBITOR CANCELLATION POLICY
All booth rental fees must be paid in full by June 26, 2015. Exhibitors cancelling their booth(s) more than two (2) months prior to the show date will
receive a 50% refund if their booth rental is paid in full. No refunds will be issued after May 22, 2015.
BOOTH DIMENSIONS AND LIMITATIONS
Standard booths are 10’ x 10’. Dividers may not exceed 4’ in height on the sides and 8’ in height in the back.
LINE OF SIGHT LIMITATIONS
Exhibits must be constructed so as not to obstruct the view of adjoining booths. No signs, banners, etc., in the aisles will be permitted.
BOOTH CARPETING
Exhibit hall is fully carpeted (patterned) – photo is available upon request. You may order carpet from the general services contractor, Shepard Exposition Services, for your booth to coordinate with your display. Shepard will be emailing you an Exhibitor Kit with more details including prices.
OUTSIDE FOOD & BEVERAGES
Outside food & beverages are prohibited by the Omni and will not be allowed inside the Exhibit Hall. All food and beverages must be secured
through the official conference caterer at the Omni.
EQUIPMENT DEMONSTRATIONS/ENTERTAINMENT
All equipment demonstrations/entertainment must be carried out within the boundaries of the exhibitor’s booth space and must not interfere with
the normal traffic flow in the aisle or overflow into adjacent booth space and must be approved by FOWA prior to the conference.
SUBLEASING
Booths may not be subleased, assigned or apportioned in whole or part without permission of FOWA.
EXHIBITOR MOVE-IN & MOVE-OUT SCHEDULE
• Exhibit setup is Thursday, July 30, 2015, from 7:00am to 5:00pm.
o Large Booths (20 X 20’ and up) - Oversize & Heavy equipment must be at the loading dock at 7:00am.
o 10X10’ and 10 X 20’ booths will set up from 12:00pm – 5:00pm • Booths will be dismantled immediately following the posted closing time for the show on Saturday, August 1, 2015. All booth equipment-
materials must be removed by 6:00pm that day.
• No booths may be dismantled prior to the closing of the exhibit hall on Saturday, August 1, 2015, without prior approval of FOWA.
Exhibitors that dismantle their booth(s) prior to the posted closing time for the show will be fined $250. Exhibitors who do not pay the assessed fine will be prohibited from exhibiting the following year
FORFEITURE OF EXHIBIT SPACE
If exhibit space is not set up by 5:00pm on Thursday, July 30, 2015, without prior approval of FOWA, the booth(s) will be forfeited by the exhibitor,
and the space may be resold, reassigned, or used by FOWA.
SOUND DEVICES
The use of sound devices, megaphones, loudspeakers, music, or other amplified equipment is prohibited.
BOOTH OCCUPANCY
A vendor’s booth must be occupied during all times when the exhibit hall is open with the exception of the posted optional hours prior to the first Education Program Exhibit Hall sessions on Friday, July 31, 2015 from 7:30-8:00am and Saturday, August 1, 2015, from 9:00am-10:00am.
EXHIBITOR LIABILITY (HOLD HARMLESS)
The exhibitor assumes complete responsibility and liability for all loss, damage, or destruction of his/her property, employees, guests. The exhibitor
also assumes full responsibility and liability for injury to any persons caused by the exhibitor, its representatives or employees. The exhibitor will hold
harmless the Florida Onsite Wastewater Association, members, directors, and employees and the show decorator from any damage to property, personal injury, or loss caused by the exhibitor, its representatives , employees or other such persons.
CANCELLATION OF CONFERENCE
In the unlikely event that FOWA has to cancel this conference due to circumstances under its direct control, FOWA’s liability is limited to the refund
of booth rental fees received with no additional liability for travel, hotel expenses, cancellation fees or any other costs or expenses whatsoever. In
the event this conference is cancelled, rescheduled or postponed due to a fortuitous event, Act of God, unforeseen occurrence or any other event that renders performance of this conference impracticable, illegal or impossible, FOWA shall assume no liability whatsoever, however will
reimburse exhibitors pro-rata any rental fee paid less any and all legitimate expenses incurred by FOWA for advertising, administrative services and
other related costs. For purposes of this clause, a fortuitous event shall include, but not be limited to: war, fire, labor strike, extreme weather or other
emergency.
SPEAKER/TOPIC CHANGES Please note that while speakers and topics were confirmed at the time of publishing, circumstances beyond the control of the organizers may
necessitate substitutions, alterations or cancellations of the speakers and/or topics. As such, FOWA reserves the right to alter or modify the
advertised speakers and/or topics if necessary without any liability whatsoever. Any substitutions or alterations will be updated on the FOWA website as soon as possible.
