Greetings,
The 2020 KPC Gulf Coast District Junior Conference will be held June 26‐28, 2020 at the Courtyard By
Marriott Gulfport Beachfront, 1600 E Beach Blvd, Gulfport, MS, 39501. Zone 3 is busy preparing for what
is sure to be a fun, busy, informative conference for our juniors. The conference theme is “Keeping Peter Claver’s Love and Affection - (KPCLA)” CONFERENCE REGISTRATION: Conference Registration is $100.00 per participant. All attendees are
to be registered. Non‐Claver chaperones are also required to pay the $100.00 registration fee. This fee
covers conference materials, t‐shirt, dance, Saturday breakfast, banquet, and ball. Please note that a late fee
of $25.00 per participant will be required for registrations postmarked after the May 12, 2020 deadline.
Remember to make council or court checks and money orders (no personal checks) payable to 2020 KPC
Gulf Coast District Junior Conference. Mail to: Attention: Oliver Mahone 1180 Azalea Circle, Conyers, GA 30013. There will be no onsite registration. The Conference will pay the Hotel rooms for the District
Junior Board, the appointed conference parliamentarians and only required Senior Board members. The District will pay for all Board Members Registrations.
The Guardian Housing Release Form must accompany the conference packet. The entire conference
packet will be returned if the above form is not included. Commanders/Counselors remember Child
Protection Certificates are needed for everyone accompanying our juniors to be on file at the Junior
Conference (see deadline).
CONFERENCE DUES: Conference Dues are a flat fee of $25.00 per branch/court. Dues are used for
conference administrative costs (i.e. signs, posters, board supplies…). The dues are obligatory for all
financial units within the district, regardless of conference attendance. Early Bird awards will be given to
the branch and junior court that submits their conference dues first. Only entrees that are postmarked
after April 13, 2020 will be considered for the Early Bird Contest. Obtain and include mail receipt with
time stamp.
Branch dues should be sent to Knight Oliver Mahone at 1180 Azalea Circle Conyers, GA. 30013 and Jr. Court dues should be sent to Lady Roberta James at 6500 Eastwood Glen Dr. Montgomery, AL. 36117.
Council or court checks and money orders shall be made payable to 2020 KPC Gulf Coast District Junior
Conference. Refer to Check‐Off List for deadlines.
LODGING: The conference hotel is the Courtyard by Marriott Gulfport Beachfront, Gulfport MS, 1600 E
Beach Blvd, Gulfport, MS 39501. The hotel room rate is $129.00 per night plus 7% sales tax and 5% occupancy
tax (parking is complimentary). Attendees may begin making hotel reservations via: https://www.marriott.com/events/start.mi?id=1578524194049&key=GRP through June 4, 2020.
Individuals must identify themselves as being with the group,” KPC Junior Conference” 2020 at the time
the reservation is made to receive the special group rate of $129.00 per night. The hotel reservation phone
number is 866-504-9846. For hotel reservations, the direct number 228-864-4310 Ext. 712 is the preferred method. The preferred payment method is by credit card. (No Swimming).
CREDENTIALS: The Conference Credentials Form is used to list the delegates, alternate delegates, and
other junior non‐delegates. The Early Bird Awards are a friendly competition between the units attending
the conference. The unit returning the Credentials Form first will receive an award. Only complete forms
postmarked after April 13, 2020 will be considered for the Early Bird Contest. Obtain and include mail
receipt with time stamp. The Junior Knights’ credentials should be submitted to Director Leslie and the
Junior Daughters’ credentials should be submitted to Directress Simmons by May 12, 2020.
Commanders/Counselors please complete entire credentials form.

� Director or Directress will take care of credentials for the Junior Conference Officers.
� Delegates will be comprised of the Junior Grand Knight/Lady (or representative) and up to five juniors.
� Alternate Delegates’ representation equals the same number of listed delegates. Alternate delegates
represent their branch/junior court during the plenary sessions when the delegate is not in chambers.
NOMINATIONS/ELECTIONS: 2020‐2022 Jr. Knights & Jr. Daughters GCD Jr. Officers Elections will be
held at this conference. Enclosed in this package you will find a Nominations Form with the criteria.
Please send nominations by May 12, 2020 to the Director (knights) or Directress (daughters).
ANNUAL AWARDS: Junior Knight/Daughter of the Year and the Branch/Court of the Year will be
recognized at the Conference for years 2019/2020. Please send nominations by May 12, 2020 to the
Director (knights) or Directress (daughters).
CONFERENCE CONTESTS: Contest rules and registration forms will be included in the Jr. Conference
Packet. There will be no on‐site registering for contests. Submit all contest registrations by May 12, 2020
Deadline to Director Leslie (knights) or Directress Simmons (daughters). No Exceptions.
COMMITTEE ASSIGNMENTS: As previously informed, we are seeking to obtain from you your first
and second choice for committee assignment, earlier than in the past. The senior division makes up the
“advisory” component of the committees at our junior conferences. The idea is to get the committees
formed (Sr. Advisor, Jr. Chair and Jr. Members) and conduct pre‐conference meetings. We share your
concerns for ensuring that our juniors have adequate time to discuss in its entirety, the issues they bring
up and make appropriate recommendations. Consequently, we are pre‐assigning members to joint
committees. Individuals who may have already expressed interest in a certain joint committee will be
included. If any committee is over/under populated, the Director/Directress along with the Junior
Conference Presidents will make the final assignments. Preference from the seniors and juniors are being
accepted now. Please complete and submit the attached CONSOLIDATED COMMITTEE SIGN‐UP
FORM and return it by March 2, 2020. Also, we ask for your patience in this new process as we iron out
the kinks that we have yet to realize.
QUARTERLY REPORT: Commanders and Counselors quarterly report form deadlines are January 31,
April 30, July 31 and October 31. Commanders to Director Leslie and Counselors to Directress Simmons.
Adhere to deadlines for Dress Code, Code of Ethics, Safety & Security Guidelines, and Photo & Media
Consent Form. Refer to Check‐Off List for deadlines.
CONFERENCE RAFFLE: The raffle is a joint endeavor between the Junior Knights and Junior Daughters
to assist with the administrative costs. Each Branch or Jr. Court will be issued twenty‐five (25) tickets at
$1.00 per ticket. It is mandatory every unit support the raffle whether attending the conference or not. All
raffle tickets sold above the initial twenty‐five tickets is considered a fundraiser for the respective unit.
Early Bird Awards will be given to the first Branch/Jr. Court to turn in their raffle tickets. Only raffle
tickets postmarked after the April 13, 2020 will be considered for the Early Bird Award, the deadline is

SOCK AND SHOE DRIVE. Each Junior Knight/Daughter is asked to bring one (1) new pair of socks or
shoes suitable for youth/adult to be donated to a homeless shelter or other facility in support of the Junior
District Service Project.
REMINDERS: •Conference dues and raffle tickets are obligatory for all financial units within the
district, regardless of conference attendance • All candidates seeking office must be in
good financial standing •Candidate’s unit must meet conference dues and raffle ticket
obligations by May 12, 2020 • Any candidate who will reach age 17 by June 26, 2020
will be ineligible to run for an office; must have form. All juniors should be financial.
SPECIAL REMINDERS. Please ensure that your Branch and/or Junior Court submit the obligatory conference
dues, mandatory conference raffle and registration late fee per participant, if any. It would be unfortunate to
have your delegates not receive voting credentials due to not meeting any of these obligations. Also, please
ensure individuals serving as chaperones meet their diocesan’s requirements by May 12, 2020.

MS. Expect to receive Raffle Tickets soon.
If you are no longer the Grand Knight, Grand Lady, Commander, or Counselor, please assist us by

2020 CONFERENCE SNAPSHOT
The 2020 KPC Gulf Coast District Junior Conference begins the fourth weekend of June. We generally
meet at the conference site on Friday for conference registration, get together activities, and some
preliminary meetings. We encourage all Commanders and Counselors to please be present for the
Commanders/ Counselors meeting on Friday. The Official start of the conference begins on Saturday
morning with the first plenary session and concludes with the third plenary session on Sunday morning.

2020 STANDING RULES OF ORDER
51ST GULF COAST DISTRICT JUNIOR CONFERENCE
1. The Conference shall be called to order on
Saturday, June 27, 2020 in Gulfport, MS at 9am and shall adjourn at 11am on Sunday, June 28, 2020. Lunch and break times will be in accordance with activities planned by the host zone. Should deviation from the rules of order become necessary, then the agenda of the Chair will prevail.
2. The Credentials Committee, under the direction of the Junior Secretary, shall collect credentials for delegates to be verified. This committee will begin work on Friday, June 26, 2020 at 3pm at a place designated by the host group. The Credentials Committee shall make its first report at the Saturday morning session and will remain on stand-by throughout the Conference to make necessary adjustments.
3. Guards shall report to their assigned stations to receive the passwords, fifteen minutes prior to the opening of each session and remain on duty until excused.
4. Voting delegates shall at all times sit in the
section reserved for them.
5. Any delegate seeking the privilege of the floor should proceed to the microphone displaying her voting card. Being recognized by the chair, she is to state her name, junior court number, city and state.
6. Preference in assigning the floor shall be given by the Chair to delegates Representing Junior Courts whose delegates have not spoken to the pending issue or question.
7. No motion shall be subject to debate until it
has been duly seconded and properly stated by the chair. Long motions shall be put in writing, upon request of the Chair.
8. Debate shall be limited to Delegates.
Delegates may not speak longer than two minutes at one time, and not more than twice on the same subject.
.
9. All members shall be courteous and considerate in their deliberations, not indulging in personalities, and upon being called to order by the Chair, shall cease speaking until the question of order is determined and permission is given to proceed.
10. In the event that the Junior Grand Lady or
Delegate finds it necessary to leave the meeting chamber or be absent from the meeting, the Junior Vice Grand Lady or Alternate Delegate will be given
their voting cards and permitted to function in their places. It is understood that the Alternate of either office does not assert her right of voice unless the Delegate is not present.
11. Each member of the Conference is reminded of her obligation to attend the meetings of the Conference and be on time.
12. Delegates and All members will not be
permitted to talk, smoke or chew gum in the meeting chamber. Violators will be fined .50 cent.
13. Cellular phones should be turned off or placed
on vibrate in the meeting chamber.
14. Delegates and members should limit their
entering and leaving the meeting chamber.
15. Nominations for Junior District Officers, namely: Junior President, Junior Vice President, Junior Secretary, Junior Treasurer, and Junior Mistress-at-Arms, shall take place at the Saturday, June 27, afternoon session. Voting shall take place on Sunday, June 28, between 7am-8am.
16. The Newly Revised Robert’s Rules of Order
shall govern all proceedings of the Gulf Coast Junior Conference.
17. All juniors are to be with a chaperone
throughout the conference.
18. All juniors are to obey the 12am curfew, unless a supervised affair is in progress. In such instances, one must either be in attendance at the supervised affair or in her room. If one is attending a supervised affair, then curfew will be thirty (30) minutes after the time designated for the affair to end.
19. Regarding discipline and conduct – after an
investigation and all parties involved have been heard, the ranking senior officer reserve the right to suspend a delegate from the conference meeting by confining said delegate to his room (other than for meals) or by having said delegate return home (after proper notification to parents/guardians). Said delegate will be accompanied by adult sponsor to their home, this will include the complete delegation, if only one (1) adult sponsor is attending the conference.
20. Adult sponsors will be expected to display only
the finest character always, which would be an asset to Claverism.
DECORUM: Members shall NOT indulge in private conversations during the sessions to disturb the meeting • No gum chewing, eating, or drinking (not including water) or sleeping will be permitted in the meeting sessions or during Liturgies • No members shall indulge in a personal conflict or indecorous language reflecting upon the Order while attending the Junior Gulf Coast District Conference.
SAFETY AND SECURITY GUIDELINES
2020 Gulf Coast District Junior Conference The following guidelines should be reviewed carefully by the Commanders and Counselors and shared with your Juniors and Chaperones: 1. The Security Team shall be made up of Knights and Ladies from all zones that are attending the Conference and would like to volunteer. 2. The Security Team will be on duty Friday – Sunday 3. Security will work in teams to patrol the hotel around the clock especially after the curfew hours. 4. Juniors should not be moving around the hotel after the curfew hours. If an emergency occurs that you must leave your room, the Commander, Counselor or Chaperone must accompany the Junior and notify security (when possible). 5. Commanders and Counselors are obligated to know the whereabouts of their Juniors at all times. The safety of our Juniors is all of our responsibility. An un-chaperoned Junior in a strange place is dangerous. 6. The Security Team will be identified at the Joint session on Friday. Security will provide the Conference body with additional information or security procedures, if necessary. 7. Junior will show respect to security and anyone that is helping them.
8. All juniors, commanders, counselors and adult chaperones must be pre-registered.
9. Juniors, Commanders, Counselors and adult chaperones must wear Conference name badges at all times.
10. Swimming will not be permitted at any time during the conference.
11. The code of ethics, rules & regulations will be binding on all Delegates, Chaperones, Commanders, Counselors and senior members attending the conference.
12. Conduct not adhering to the stated rules of the conference will be investigated and a decision will be made as to the proper action that will be taken.
13. Juniors caught damaging hotel property will have to pay any financial cost(s) assessed by the hotel.

SPELLING BEE RULES & ENTRY FORM
Each Branch and Court is allowed two (2) contestants in each group to compete. Check in 15 minutes prior to start time.
The Spelling Bee words have been selected from words that are age/grade appropriate. Words will be pronounced according to diacritical markings in the Merriam Webster’s
Collegiate Dictionary 11th Edition.
Pronunciation – If a word has two or more acceptable pronunciations, both pronunciations will be given by pronouncer.
Contestants are allowed to pronounce the word once before spelling it.
A contestant may request the pronouncer to repeat the word or use it in a sentence before beginning to spell
the word.
Judges may disqualify any contestant who ignores a request to start spelling.
A contestant may start over only once when spelling a word.
Upon missing the spelling of a word, the contestant is eliminated from the contest. The next word on the pronouncer’s list is given to the next contestant.
TIE BREAKER – When the contestants are reduced to two, each are called a word on the pronouncer’s list.
If both contestants spell the words correctly, the pronouncer will begin the tie breaker list. If a speller misspells a tie breaker word, the second speller is to be given the same word. If word is spelled correctly, that speller is the winner. However, if both spellers miss the word, the pronouncer is to continue until a winner is determined.
PROTEST Questions relating to the spelling of a word should be referred to the judge immediately. A contestant should file a protest before receiving the next words. Any protest after a word has been given to the speller or another speller will not be accepted. THE JUDGES DECISION SHALL BE FINAL ON ALL QUESTIONS.

1. Each Branch/Court may enter a four-member team or combine as a unit. Each member must speak, points will be taken away if the entire group does not participate. Other members can be used for research or speech preparation.
2. All times must be followed as stated below, or the team could be disqualified:

Rebuttal: Provide further clarification regarding the questions asked or the statements presented by the opposing team. Closing Statements: Team Members summarize their position.

5. The validity of the quotes or statistics can only be challenged by the opposing teams, NOT the judges.

determined by the pulling of a number. Therefore, all teams must be present at least 15 minutes prior to the start of the tournament.
10. Each team should be prepared to debate, upon completion of bracket placement. No team will be allowed to alter their debate time, due to lack of preparation.
11. Debate on pros/cons and affirmative/negative will be determined by flipping of a coin.
