Happy New Year-------well here I am writing my last letter for the Antlers. It has been a difficult year with many long-time employees resigning for various reasons. The transition for those who replaced them has been tedious at best. However, as Elks we hung in there and the new hires are working out very well
We need to extend a special thanks to our Loyal Knight (Walt Sewell) who spearheaded the transition in the kitchen. Walt has tirelessly given of his time to ensure that our services would continue to serve the Elk community. Many thanks Walt.
Please keep in mind that the 19th thru the 21st of March, we will be hosting the GER visit at the State Convention which will be held at our lodge. We need volunteers to help with various tasks at the lodge
Especially in the kitchen and banquet areas. See Mike Collins to sign-up.
I would be remiss if I did not thank Ruth Collins- Shaw for the many times she has given me advise and filled in where she was needed throughout the lodge. The lodge would have been short handed on many occasions if not for Ruth.
Lastly, it has been my
pleasure to serve the Hagerstown Elks as your Exalted Ruler this past year. I will always keep in mind all of those who helped make this a good year.-----------Frank

Our February meeting will be the last noon meeting until October. Jane Potts has scheduled a program on balance. It is our plan that our meeting start promptly at 12:15 as our speaker will need to return to work after her
presentation.
Dues cards will be available at the February meeting. Remember our new year begins on April 1st. If you have not received your dues notice letter, please contact me immediately. My contact information appears at the bottom of this article. Please do not place your dues payment in the Lodge Secretary’s mailbox—that delays the process. As stated in the dues
notice letter, it is best to mail your payment or place it in the Ladies of the Elks mailbox; cash is not a good idea. Checks should be made payable to LOTEA. My address is
at the bottom of this article.
When you receive your dues card and the accompanying letter and meeting schedule; you will find that we will meet April 13, at 6:15; June 8, at 6:15; October 12, at 12:15; and December 14 at 12:15. There are no meetings during the months
not listed.
There will be no bonanza or bazaar this year. If any member has a suggestion for a fund raiser, you may contact Jane Potts or Mary Waterman. We will hold open the
date of Sunday, October 11, until April 1. If we receive no suggestions, that date will be
released to the Elks.

check for the $50 initiation fee and the member bringing the guest and his/

Each year we review applications from the area high school seniors for the ENF Most Valuable Student Scholarship. Of the applications we review, we select the top five students for monetary awards from our Hagerstown Lodge 378. We also know these five students will have their applications move on to the West District level of judging. From there, selected applicants move to the state judging and then on to the national level. National winners can receive scholarships ranging from $1000.00 per year to $12, 500 per year.
The following students were awarded the following by our local lodge and will be moving on to the next level for further judging. 1st Place $1000.00 Winner – Abigail Kittel – Smithsburg High School 2nd Place $500.00 Winner - Tracy Kinzer – Boonsboro High School 3rd Place $300.00 Winner - Cecelia Telemeco – Boonsboro High School 4th Place $250.00 Winner - Matthew Healey - North Hagerstown High School 5th Place $150 Winner - Kiandra Houser – South Hagerstown High School Congratulations to these exceptional students and we wish them success in the coming years. POLICY, PROCEDURES AND GUIDELINES FOR RESERVING THE BANQUET FACILITIES AND CONFERENCE ROOM
THE BANQUET FACILITIES AND CONFERENCE ROOM CAN ONLY BE RESERVED BY A MEMBER OF HAGERSTOWN LODGE #378 IN GOOD STANDING AS THE SPONSOR FOR AN OUTSIDE ORGANIZATION OR OTHER PERSON(S) NOT AFFILIATED WITH HAGERSTOWN LODGE #378.
THE BANQUET AGREEMENT MUST BE PROPERLY PREPARED AND SUBMITTED TO THE EXALTED RULER FOR APPROVAL. THE BANQUET AGREEMENT MUST BE ACCOMPANIED WITH THE APPROPRIATE DOWN PAYMENT. THE DOWN PAYMENT MUST BE SUBMITTED BEFORE THE EXALTED RULER CAN APPROVE THE BANQUET AGREEMENT. ONCE THE BANQUET AGREEMENT IS APPROVED, THE RESERVATION DATE WILL BE ANNOTATED ON THE LODGE RESERVATION CALENDAR AND MUST INCLUDE THE NAME OF THE SPONSOR AND TELEPHONE NUMBER. ONCE A RESERVATION IS CONFIRMED, UNDER NO CIRCUMSTANCES CAN THE RESERVATION BE REMOVED WITHOUT THE EXPLICIT APPROVAL IN WRITING OF THE SPONSOR. UNTIL THE DOWN PAYMENT IS RECEIVED, THE RESERVATION DATE IS NOT APPROVED AND AFTER A REASONABLE AMOUNT OF TIME(30 DAYS) THE RESERVATION DATE IS AVAILABLE AS AN OPEN DATE IF THE DOWN PAYMENT IS NOT RECEIVED.
IF THE BANQUET FACILITY IS BEING USED FOR A LODGE FUNCTION, NO DOWN PAYMENT IS REQUIRED. HOWEVER, THE LODGE FUNCTION MUST BE APPROVED BY THE EXALTED RULER AND/OR THE CHAIR OF THE BOARD OF DIRECTORS. AGAIN, THE DATE OF THE LODGE FUNCTION MUST BE ANNOTATED ON THE LODGE RESERVATION CALENDAR. IT IS RECOMMENDED, ALTHOUGH NOT REQUIRED, THAT THE BANQUET AGREEMENT BE USED FOR A PAPER AUDIT TRAIL. ONCE THE LODGE FUNCTION IS CONFIRMED, THE LODGE RESERVATION MUST CONTAIN THE NAME AND TELEPHONE NUMBER OF THE LODGE MEMBER AND THE RESERVATION DATE CANNOT BE REMOVED WITHOUT THE EXPLICIT AGREEMENT IN WRITING OF THE MEMBER ORIGINALLY RESERVING THE DATE.
THE LODGE OFFICE MAINTAINS A SEPARATE CALENDAR BOOK FOR ANY MEMBER WANTING TO RESERVE THE CONFERENCE ROOM. THE LODGE OFFICE MANAGER MUST BE CONTACTED FOR RESERVING THE CONFERENCE ROOM. AGAIN, ONCE THE RESERVATION IS CONFIRMED, ONLY THE PERSON ORIGINALLY RESERVING THE CONFERENCE ROOM CAN REMOVE THE RESERVATION DATE. THERE IS NO CHARGE FOR USE OF THE CONFERENCE ROOM AND DOES NOT REQUIRE THE APPROVAL OF THE EXALTED RULER OR THE CHAIR OF THE BOARD OF DIRECTORS.
