Cash Posting Requests Via Eclipsys

This presentation is for all PFS staff. The presentation will show you how to complete Cash Posting Requests in Eclipsys.

YOU WILL BE FAMILIAR WITH SOME OF THE PROCESSES DESCRIBED IN THIS PRESENTATION.

PLEASE TAKE THE TIME TO REVIEW ALL OF THE DOCUMENTATION.

AN ADDITIONAL PROCESS HAS BEEN ADDED.

Cash Posting Requests Initial requests are initiated in Eclipsys using the Add Account

Comments function.

Adding the correct Cash Posting comment sends the account to a Cash Posting Work Queue in Eclipsys.

Until now, it has been possible to send only one Cash Posting Request on a visit. This meant that no follow-up requests could be initiated in Eclipsys and multiple segments for recurring visits had to be handled manually.

The option to initiate a second Cash Posting Request for a visit has been added. Second requests will use the Follow-up function.

For your initial Cash Posting Request on a visit:

Verify that the correct Patient and Visit number for the account on which want to send the Cash Posting Request is in the Context header.

Click on the Add Account Comments function.

The Comment Entry screen displays.

In the Comment field, enter “cp” and press the TAB key.

A detailed list of Cash Posting Request comments will display in the drop-down menu.

Employee Request-select this option for Family First discounts.Payment Transfer-Select this option for payment transfers on recurring accounts or when a payment needs to be split between multiple accounts.Patient Complaint-Select this option for all other cash posting requests.

Select the correct Cash Posting Request from the menu and press the TAB key.

The Comment type and Applies to fields will auto-fill. Do not change this information.

Enter the details of your request for the Cash Posting team in the Extended Comments area and click “OK”.

ENTER THE DETAILS OF YOUR REQUEST FOR THE CASH POSTING TEAM HERE. THIS WILL BE THE NOTIFICATION TO THE TEAM OF EXACTLY WHAT NEEDS TO BE DONE ON THE ACCOUNT.

The Display Comments screen displays.

Click OK to return to the Patient Management screen.The account is now in a Cash Posting work queue.

This screenshot of the extended comments on a visit shows the comment added when the original Cash Posting Request was done using Add Account Comments. Note the “CP” prefix on the comment.

This is the Action and Result posted by Cash Posting when the work queue item was resolved. It also has a “CP” prefix.

When Eclipsys ‘sees’ a “CP” Action and Result posted on an account where there is a corresponding “CP” request, no further

“CP” requests will be processed.

You are able to go to Add Account Comments and select a CP comment and it will display in the account notes, but it will not be sent to a Cash Posting Work queue.

The “CP” Action and Result tell Eclipsys all CP items have been resolved, regardless of the date(s) they are entered.

No action will be taken on additional CP requests even if, for example, you selected “CP Employee Request” the first time and “CP Payment Transfer” the second time.

The only way to successfully initiate a second Cash Posting Request is from the Follow-up menu as detailed in the following screens.

You will use the Follow-Up function for your second Cash Posting Request on any visit. Review the Display Account Comments screen to determine if a prior request was sent. If there is already a “CP” comment on the visit you will have to use the Follow-Up menu.

Click on Follow-Up to open the menu options.

Click on Create Follow-up Item.

The Create Follow-Up Item screen displays.

Enter ‘ca’ in the Follow-Up Reason field, TAB to open the drop-down menu.Select “CASHPOST2” from the drop-down menu by clicking on it.Click OK.

You are returned to the Patient Management screen. Click on Add Account Comments from either the Main or Shortcuts menu.

The Comment Entry screen displays.

Enter “cp” in the Comment field and TAB to open the drop-down menu.Select “CP2 SENT TO CASH POSTING” by clicking on it.

The Comment type and Applies to fields will auto-fill. Do not change this information.

Enter the details of your request for the Cash Posting team in the Extended Comments area and click OK.

You are returned to the Patient Management screen.Click on Resolve Fu Item.

Standalone Wqm Resolution screen displays with the item you created highlighted. Click Resolve.

Follow-Up Resolution screen displays.

Enter “cp” in the Follow-Up Action field and TAB.

.

Select “CP2 2ND REQUEST” from the drop-down box by clicking on it and TAB.

.

Enter “cp” in the Follow-up Result field and TAB.

Select “CP2 SENT TO CP” from the drop-down box by clicking on it and TAB.

.

Select “YES” at the REMOVE FROM WORK QUEUE field.

Select “NO” at the DEMAND NEXT REVIEW DATE FIELD. Click OK.

You are returned to the Standalone WQM Resolution screen, which no longer contains your follow-up item. Click Cancel.

.

You are returned to the Patient Management screen. Click Display Account Comments to review your work.

Your CP2 Comment is posted and will display a “+” prefix when you enter details for the Cash Posting team in the Extended Comments area.

You also posted a Foll/Up Activity comment when you resolved your Follow-Up Item. Highlight this comment and click Expand.

Note the CP2 prefix on the Follow-Up Action and Follow-Up Result.

Cash Posting’s Action and Result will also have a CP2 prefix.Cash Posting’s CP2 Action and Result will resolve all CP2 requests on the visit. You can only use Create Follow-Up Item once to create a Cash Posting request for a visit.

Click OK to return to Display Account Comments and the Patient Management screens.

SUMMARY:

You are able to create a maximum of 2 Cash Posting requests for a visit.

The first one is created through the Add Account Comments function.

When using the Add Account Comments function you must TAB through the fields to be certain the item will be sent to the Cash Posting work queue.

The second is created through the Follow-Up function. You must remember to resolve the item in order for it to be directed to the Cash Posting work queue.

Any subsequent requests must be handled manually. Eclipsys allows you to create additional comments, and it may appear the process has worked, but subsequent requests are not being directed to a work queue. You are only creating a comment that has no effect on the visit.
